RemoteCoworker should make sure all of their employees are fully set up on all systems that are used by RemoteCoworker prior to hiring the employees out. This would make for a faster, cleaner onboarding process.

What evidence can you share that demonstrates the impact of the engagement?

We have another two teammates doing the same role. We track how many tasks they complete at the end of the month, and Remote CoWorker’s employee is in line with the other two. He performs at the same level.

They hit the target timeline. We have internal tools and a CRM system to manage the project. Additionally, we use emails and Microsoft Teams to communicate daily.

We’re happy with our employee; he’s been working nicely for us.

Keep an open mind and review the candidates. We were surprised to find that our candidate had worked for a local law firm. We weren’t expecting to see that close of a connection, but it was a pleasant surprise.

To onboard these resources, Remote CoWorker has handled most of the recruiting process themselves. For every role, they've done prescreening and some trial tasks. Then, they've delivered a pool of candidates who have passed the trial tasks, and we've chosen the most appropriate ones for the project.

Remote CoWorker has been extremely easy to work with, as their process is quick and flexible. We've measure success for them the same way we measure it with everyone: by looking at the quality of their work, the user feedback, and the KPIs. Their resources have been very good.

Remote CoWorker delivers items on time and responds well to feedback, both individually and as a company. We communicate via email, phone, and Zoom.

I would like to give a shout-out to Kirby (Chief Staffing Officer), who has been our liaison on this project. He has been excellent to work with.

Remote CoWorker's flexibility is impressive. They've been extremely quick and responsive, and they also have flexible contract terms, which have been very useful. Moreover, they've delivered good candidates very quickly.

It would be great if Remote CoWorker had more clearly highlighted areas of responsibility between their company and ours, especially for staff management.

Onboarding was extremely efficient. The administration team is extremely responsive and very quick to assist with problems. The company removes any inertia associated with hiring a virtual assitant.

It would be useful to have a written summary of the VA's background, even if this is very short, as a prelude to interviewing them. It is difficult to conduct an interview when you have little to no information of their background, or why Remote CoWorker has put those assistants forward, in particular, as being suited to your project.

Measurable outcomes are difficult for our project because one of our main goals was to take our manager's focus reporting and build a better culture where we are free to connect with our staff. The amount of time that has been freed up by adding our VA has been a huge win for our company.

We needed many positions covered. Mostly to rebuild and manage our websites and social media sites

How did you select this vendor and what were the deciding factors?

I have used many VA services before. Most services lacked the quality of candidates and communication. Remote co-worker was quick to find qualified candidates within a day of my support request. Also, the onboarding procedure as fast with work being able to start same day as interviews.

The VA's were tasked to create new social accounts, build a new website for Woman Up LLC, and update our other two websites. After completion of the website, the staff was tasked to rewrite content for each business for an entire quarter and schedule it. Phase Three is to promote the websites through our social media platform thus bring new followers and engagement. The Last Phase is to Launch the services provided by the company.

I have had the team for a week in a half and we are almost ready to launch.

How effective was the workflow between your team and theirs?

The feedback from the team and management was exceptional. We communicated through phone and email. But most communication with the team was through slack including our daily project huddles.

What did you find most impressive or unique about this company?

There was two main challenges I faced, however the team quickly helped me solved them. I had an issue with our product's layout, but the team was able to provide a solution and get our project back on track. Their technical skill level and communication are excellent. We felt comfortable in asking for help whenever we needed it, knowing that the team would be there to support us every step of the way.

Things could always be done faster, however I appreciate their accuracy over speed.

They work in a very organized manner. They use HubSpot and Hubstaff for project management. For communication, we interact via email and Zoom.

My company has grown to a point where I need more and more support. In the last six months, we’ve needed virtual assistants. We hired a company to assist us Monday through Friday, but they don’t offer weekend support, and since we’re open seven days a week, we needed another provider for the weekend.

SOLUTION

What was the scope of their involvement?

Remote CoWorker provides a virtual assistant for us who works on the weekends. First, we told them our needs, and they found three recruits who could be a good fit for us to choose one. We created templates and models with our other virtual assistant provider as a support system for our clients and therapists. We’ve taken that model and put it in place for Remote CoWorker.

They provide access to the virtual assistant, who must have their own resources. To onboard them, we connected with the assistant to ensure she had the supplies and support she needed and got everything systematized and running. 

They offer weekend support as our second line of defense for phone calls. We have a call center that answers our phones, and when people ask questions requiring more nuance or longer answers, the call center forwards those calls to Remote CoWorker; our virtual assistant can answer most of those questions. She’ll also call or text people back to provide the answers they need. 

If a client is running late for an appointment, she communicates that to the therapist and ensures everyone is up to speed. Regarding our software, she can use ours to communicate with clients and therapists. She also books appointments, and if a therapist has an emergency and needs to take off, she manages their schedule.

I primarily work with one virtual assistant from Remote CoWorker. Once a month, we’re in touch with her superiors to reenlist and make sure she gets paid.

I found them online. We researched 10 companies, and Remote CoWorker kept coming up, making it to my top three list. I contacted those three companies and asked them for some conversation demos. From there, we chose Remote CoWorker because they seemed the best fit, and we had a two-week trial period.

Remote CoWorker’s resource is aligned with our needs, and thanks to them, we now have support seven days a week, which is amazing. In the first couple of weeks, she sent texts that weren’t phrased correctly, so we had a check and balance, and she learned on the spot. Although it took her a bit to get comfortable, she’s now very good. 

How did Remote CoWorker perform from a project management standpoint?

Their project management is good, and the team is great at following up and getting back to me. They have good tools to communicate and are consistent. We use Zoom and email. 

What did you find most impressive about them?

Remote CoWorker’s biggest strength is that they offer really good candidates from around the globe. The other two companies I was interested in dropped the ball in terms of helping me set up, while Remote CoWorker has met their commitments. 

Are there any areas they could improve?

They could improve in terms of fluidity and ensure their employee gets paid. We’re on a monthly payment schedule, and they’ve sent us emails to remind us of the payment the day before it’s due. The larger the company, the harder it is to get money where it needs to go; we have to jump through many hops to ensure everything is where it needs to be. Therefore, Remote CoWorker should have better communication on the frontend regarding the monthly payment.

If the candidates they give you aren’t what you’re looking for, don’t hesitate to go back and ask them to find someone else.

I asked her if I could interview the candidates. I was able to interviewed two of the three candidates. The third had already gotten a job, so she did not attend the interview. We spent approximately 20 minutes with each candidate via Zoom. We selected Charmi and we have been very happy with our selection.

Charmi has been very responsive and professional. She has been very eager to service us and very patient. The quality of her work has been very good as well.

We used email to communicate with Hazel in the very beginning. She was very prompt. We then used Zoom to meet Hazel and candidates virtually. I have been using Asana and email to manage the work projects with Charmi, our VA.
