Portage Point Partners has performed a number of tasks that have helped push our internal processes forward. Two core scopes of work that should be highlighted are as follows..
By creating a new Pitchbook integration with our CRM we needed to identify Pitchbook IDs for over 15,000 companies between our CRM and Pitchbook. Portage Point Partners was able to work through this process is approximately two weeks to the point that we had all of the Pitchbook IDs (where applicable) back in our system before the connection was complete. This saved our internal teams hundreds of hours and push our integration forward much faster than anticipated. Portage Point Partners were able to place team members that were familiar with automation on our staff. They helped us build proprietary applications that allowed us to increase our efficiency when performing back office tasks. These automation applications have helped ensure we have scalable processes but also a lean and efficient back office.

Top Virtual Assistant were able to identify 10,506 Pitchbook companies in under 10 days which means they were averaging about 1,051 companies a day across three analysts.

Top Virtual Assistant is very quick to respond. We have a Teams chat set up where they are able to add updates or post questions. Their project lead checked in frequently and provided the updates I needed to feel comfortable that the project was moving forward at an appropriate pace.

Top Virtual Assistant took care of all inbound support, it included inbound phone calls, each chat and email. To start with, they came aboard on a trial basis and during the first two weeks, the onboarding process took place, during which they were familiarized with our products, brand voice and the process of escalation. They easily fitted in our front-line team. All the incoming traffic has been received within their channels, and the outbound one is organised through RingCentral. Also, they have installed the Tawk.to live chat on our site that has elevated the customer interaction by a large amount and lead conversion has boosted.

What were the measurable outcomes from the project that demonstrate progress or success?
The partnership with Top Virtual Assistant has led to the objectively measured increase in customer satisfaction rates. They customer care has been excellent and the overhead savings has been notable, especially in recruiting, training and maintaining an in-house team to handle support. We will be saving at least 70 percent or more cost of operation.

Projection management has been effective and very reactive. We collaborate directly with one of their project managers that helps us know about every step. There is no hassle in terms of communication through Monday.com or RingCentral to communicate about the task and make a voice call. This has been a smooth collaboration based on their flexibility and the capability to integrate into our current workflow processes.
