Our ongoiong project with FBSPL is to provide virtual assistance for our employee benefits brokerage team. It is an evolving project with fluctuating tasks being met and fulfilled by our amazing FBSPL representative, Paul. Paul functions not ony as a virtual assistant but also as a valued member of our team, providing back up customer service representation to our clients. He provides high quality support and work, paying close attention to details. He completes data entry tasks into multiple software systems. He submits requests for proposals to our carriers, analyzes costs against client needs, and generates proposals with recommendations based on the most competitive results. He communicates with carriers to process client requests for enrollments and terminations. He also creates and updates client accounts in our database and reviews and corrects missing/ inaccurate stored client data. He provides support in our Employee Benefits Administration system, building out plan details and creating new client accounts. Paul also helps keep track of commission activities for our producers. He communicates with clients to help make sure that we always have their most current employee data and demographics. One of the really amazing things about working with FBSPL is that they also create, update, and maintain an ongoing training document that they share in house so they can always continue operations if Paul is unavailable so that we still have support. This document also helps us train our new hires on some of their tasks as they beceome familiar with our various systems. Paul and his management team are delightful to work with, always ready to take on new tasks, embracing challenges, contributing positively to our team, and being true collaborative partners.

What were the measurable outcomes from the project that demonstrate progress or success?

As a growing agency, we've recently had to move to multiple new software programs, requiring data importing, which always leaves some error that needs attentive correcting. Paul and FBSPL have been integral to our data review as we've transitioned to each new system, always taking an invested, proactive approach to learning the new software and being ready to help wherever it is needed. Paul currently helps to support about 500 client accounts on an ongoing basis and works with us in about 20 different carriers systems. Much of what we do requires time management to meet deadlines and uphold compliance standards. Paul and FBSPL have always delivered timely, high quality work, helping to make sure that we never miss a deadline.

Every deliverable requested has always been not just on time, but ahead of schedule. They take a very proactive approach and are highly responsive as new tasks arise. We are in constant communication through Teams and email about developing projects and work through shared documents to track shared tasks and workloads. We have vitual meetings once or twice a week to review, workloads, questions, new training etc. FBSPL and Paul provide daily updates on work and task completion as well as weekly wrap up documents to track status and progress.

There is a genuine warmth and comraderie that truly makes FBSPL feel like an extension to the team and not just an standard outsourcing partner. They actively contribute to ideas and development. They communicate and engage with all team members and are highly responsive. We love the opportunities to share cultures and celebrations. The positive mindsets and proactive approach is refreshing and helpful. We genuinely don't know what we would do without Paul!

They are always forward thinking, staying ahead of the curve on technology developments, utilizing their inhouse resources to help each other as they learn new systems. We have been incredibly please with all aspects of our work with them.

Development and revisions to the excel based rate sheet were extensive, as it replaced 2 software programs and now serves as the only resource needed to rate and process any of the insurance products sold by the company.

Measurable outcomes were the acceptance of the rate sheet by the insurers and the brokerages, which was accomplished, reflecting its accuracy and ability to properly rate the underlying risks and price accordingly.

Sam Carter managed both projects and delivered both on time and responded to repeated requests for enhancements to both the monthly reporting package and the rate sheet.
