What challenge were you trying to address?

I initially sought out Veza Reception to help me manage initial calls to our office. At the time, Veza Reception catered primarily to landscaping copanies (not law firms). But I took a chance on them, because they were a small business (like me) and the owner was very attentive and responsive.

SOLUTION

What was the scope of their involvement and team dynamic?
Initially, Veza answered our phones during certain hours, and I was happy enough with their service that I eventually had them handle all of our calls. I still believe Veza Reception is capable of providing quality service, but my experience has shifted, and I wanted to update my previous 5-star review accordingly.

What's the status of this engagement?

 I've since terminated my engagement with Veza Reception. They seem to have scaled quickly, and somewhere along the way, the careful attention to detail that initially drew me to them has slipped.

RESULTS & FEEDBACK

How did your relationship with your partner evolve?

 One of their receptionists made a significant error on a live call that deviated from the detailed call flow I had carefully built out with Veza. I was initially told the recording would be pulled so I could review what was said. When I followed up, I was told Veza doesn't actually record calls, so I had no way to review the exchange.

 In what ways can they improve?

 Be clear on at all times on what Veza Reception can and cannot do. I chose Veza over a competitor based on their assurance that call recordings would always be available to me on request. At some point that appears to have changed, and a policy shift like that should be communicated to clients. New receptionists should also receive sufficient training before being put on live calls.

What advice do you have for clients with similar needs to yours?

 For solo practitioners considering Veza Reception, my advice is to get clear upfront on what they can and can't handle, and to ask what specifically qualifies them to field inquiries directed at legal professionals.

I was looking for a reliable reception service that would answer when our phones were busy and after hours, in both English and Spanish. Veza was able to deliver that at a reasonably affordable cost without upselling me.

We hired them to provide overflow reception and after hours reception. They screen calls, do basic intake, and take messages. This is all I use them for, but they offer other services as well.

Every call was answered no matter the time, which gave me peace of mind. It also allowed me to pick up a case on a weekend because when it is an intake, they prioritize the call and inform me right away. The ability to pick up new cases outside regular hours was an important benefit for my practice.

We wanted to ensure we didn't miss any incoming calls while not being tied to our phones. We also needed high-quality customer service.

What was the scope of their involvement?

Veza Reception answers all inbound calls to our business phone. They answer any questions, provide estimates for potential clients, schedule inspections, and offer additional services to clients.

Veza Reception also answers my phone 24/7, can enter orders directly into my scheduling software, and adjust all aspects if a client calls back.

We did an initial training on how to use the software. In a VERY short period of time all agents were able to use the software. This allows them to directly enter inspections right in to my calendar, add additional services and edit any part of the appointment if the client calls back

How did you come to work with Veza Reception?

We found Veza Reception through a referral. We chose them over other options because of their personalized service, willingness to learn our scheduling software, and availability of agents to answer our business phone.

What is the status of this engagement?

We started working together in March 2025, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

We have fewer missed calls than the national call center we had been using, and our revenue per inspection has increased. Our missed calls are less than 5%, and our increased home inspection total revenue is 25%. We no longer stress about answering our phones or monitoring the app to see if we are missing calls. Missed calls equal missed revenue.
The short learning curve with a couple clients having additional questions was a challenge. However, Veza contacted me quickly and I was able to talk with the client as well as add additional notes to the team for future reference.

Veza Reception's project management is extremely professional. They deliver each milestone as promised and provide feedback every step of the way. We are confident our phones are being answered by professionals that present the best voice for our company. We communicate via email and phone calls.

They developed a script that their virtual receptionists use that I signed off on. They collect information from our callers and then send us that information via email and text. They don’t really do much else other than that…

We have them in place just because our phone lines are too busy and we can’t get to everyone. We found we were losing way to many potential clients because we couldn’t get to everyone when they first called.
