 Since 2023, StaffCloud has run an ongoing outsourcing engagement for Better Be Goods, an e-commerce group selling on Amazon and other marketplaces in Europe, the UK and the US. They provide a dedicated team of about 2.5 FTE across two workstreams. Capacity can be moved between the workstreams as our priorities change. In September 2026 we shifted the allocation to 1.0 FTE Finance and 1.5 FTE Content, keeping the same total. The content workstream supports our marketplace catalogue. It covers product images, A+ (enhanced brand) content, setting up and maintaining product variations, handling buyer messages, and resolving issues with our ChannelEngine integration and our marketplace accounts. The finance workstream covers recurring back-office tasks. These include booking tax invoices each month and processing purchase invoices, such as carrier and supplier invoices, in our invoice-scanning tool. Every week the team downloads advertising invoices for our US entity, released transaction files from our Seller accounts, and Amazon Vendor remittances. They also correct the matching bank-statement lines in Exact Online, and once a month they upload the transaction files to our reconciliation tool. A project manager is our single point of contact. Every week we receive a structured report showing hours spent, volumes processed and outstanding backlog per activity, which gives us clear visibility on progress and priorities.

What were the measurable outcomes from the project that demonstrate progress or success?

The clearest outcome is continuity. Since 2023, StaffCloud has delivered a stable team that handles a large share of our recurring content and finance work, so our in-house team can focus on other tasks. The weekly routines run reliably, and every Monday we receive a progress report showing hours, volumes processed and outstanding backlog per activity, which makes the results transparent and measurable. Flexibility has been a second measurable result. When our finance backlog became a critical priority in September 2026, we asked StaffCloud to double finance capacity from 0.5 to 1.0 FTE by moving capacity away from content. They confirmed and implemented this the same day. They also updated the reporting format straight away, adding year-to-date figures and live backlog counts, at our request. On the content side, the team consistently delivers good-quality images, A+ content and variation setups for our catalogue.

Project management is lean and low-maintenance. A dedicated project manager is our single point of contact. Day-to-day contact is limited because the team mostly works independently on a fixed weekly routine, and every Monday we receive a structured progress report. Recurring deliverables are completed on schedule. When delays do happen, it is usually because the team is waiting on input or clarification from our side. When we reach out, the project manager responds quickly and does what we ask. For example, when we asked to reallocate capacity from content to finance, the change was implemented the same day, and our requests to change the report were picked up straight away. One thing they could do better is take the initiative more often: flag issues, propose improvements or check in on priorities without waiting for us to start the conversation.

What impressed us most is the team’s deep, hands-on knowledge of Amazon. They know the platform’s content requirements, policies and account processes very well. That makes them especially valuable on compliance-related topics and content work, where getting the details right directly affects whether listings stay live and perform. Because of this expertise we don’t need to explain marketplace basics, and they can handle complex account and listing issues themselves. Combined with their flexibility to shift capacity between content and finance as our priorities change, this makes them more than a standard outsourcing provider. They work as a knowledgeable extension of our own team.

Are there any areas for improvement or something StaffCloud Services Pvt Ltd could have done differently?

The main area for improvement is proactivity. The team is responsive and reliable when we ask for something, but they could take the initiative more often: flag risks or bottlenecks early, propose process improvements, or check in on priorities without waiting for us to start the conversation. Given their deep Amazon knowledge, they are well placed to bring ideas forward on their own, and we would welcome that. To be fair, part of this is on our side as well. Clearer instructions and SOPs from us help them work more autonomously.

I have a team of 4 agents and a supervisor that have been hired.  Nwo in the 2nd month they have started to asisst with bettering the AI system, implementing new macros and clearing out older issues that have been sitting there

When we hired the team we were sitting at a backlog of tickets at nearly 1200. Within 2 months we have gotten that backlog down to 250 tickets. As we start to get towards BAU, it will be easier to measure success with generic Customer Support KPIs such as AVG handle time, resolution time, QA tickets, CSAT responses and so on.
