I’m the owner of Optimized Resume, a resume writing company. We do ATS-optimized resumes designed to pass the application tracking system. We were one of the best services during COVID for optimized resumes and still are throughout all the states of the US.

What challenge were you trying to address with Appointment Setter Online?
During COVID, our office was closed, and we saw a hike in the orders of the resumes. Most people were looking for remote jobs, so we hired Appointment Setter Online to answer the incoming calls and chats.
SOLUTION
What was the scope of their involvement?
We provide a free resume review whenever someone comes to our website. They can submit the resume, and we will call them to give them a detailed review of it. During our initial engagement with them, Appointment Setter Online was responsible for calling the customers and giving them the detailed points of what needed to be done. Then, they either closed that resume order over the phone or scheduled the final call with the writer.
At that time, we had around 15 writers, and they were all fully booked, so we needed extra help. Appointment Setter Online also helped us manage the incoming calls and chats. They were doing everything except the resume editing. They managed all the calls, chats, and emails for the business.
Sometimes, they had to make outbound calls. They called previous customers who submitted the form and never got a chance to speak with them. The team handled all the inquiries for our resume writing, cover letter writing, and LinkedIn profile optimization services.
For the calls, we used RingCentral, and for the management, we used GoHighLevel. We still use them for our answering services. After 5 p.m., our calls go to their office, and they have two people who answer those calls, chats, and emails.

During our main engagement, we hired around 13 people to take and answer calls. We also hired two closers to close inquiries when needed. We currently worked with two teammates.

What is the status of this engagement?
We worked with them from December 2020 to February 2023. After that, our office opened, so we were able to take it from there. We still use them for answering services.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
During our main engagement, we had in our CRM that if we received around 100 leads a day from ads, we needed to convert at least 90 of them into a closing call or sell the product on the initial form. If they received 100 leads, they had to close at least 30 of them. We needed to give the customers a call within a few seconds whenever a lead landed in. We didn’t accept anybody if we didn’t call the lead within 30 seconds.
Appointment Setter Online did well. We started with around three people and then scaled up to four. Resume writing is a different thing; it requires a lot of knowledge. I had to train the teammates and tell them the basics of resume writing. They learned quickly and were able to close more than 90% of leads. That was a big win for us, and I was satisfied with the team.

We hired them on an hourly basis during our main engagement, so we paid them for the hours the agents worked and at the end of the week for whatever hours they consumed. They were within the price range.

They have good agents, and I’m still using their services. They aren't pricey; they're within the price limit we set. Appointment Setter Online has been able to deliver the target more than I expected.

They’re not greedy and never asked me to onboard any other services. They've strictly done appointment setting, and they did it well.

We were getting too many leads, and our team couldn't close them all. Our team was taking around 5–6 hours to call each lead, and we were losing those leads. We wanted to contact any lead within 1–2 minutes as soon as it landed in our CRM.

We have a fixed price, and we have never had any issues with it. The account manager manages the project and all the SLAs, and he's been good. We use a software tool for cleaning companies that has a dashboard and all the management tools within it. We utilize that for everything.
We have a WhatsApp chat for each team. We communicate on WhatsApp most of the time. We sometimes do WhatsApp calls, and all of us jump in together. We also have weekly meetings with them, where we discuss the progress of each week.

What was the scope of their involvement?
Appointment Setter Online mainly does cold calling and prospecting for us. They also handle some phone support.
In the beginning, they didn't handle inbound calls, but after 4 to 5 months, they already knew everything we do. Now they can answer customers and handle those calls; if someone calls in, they’re the first response.
We use them for our 24/7 on-call service. We have an online phone system, and they can transfer calls to our project managers if needed.
Most of the inquiries are callbacks from numbers that have reached out to us. Sometimes we get calls from ads we run. Appointment Setter Online’s job is to receive the call and schedule a good time with the project manager so they can go through the details.
We currently use HubSpot, and we gave them the logins for our accounts. For calling, we’re using PhoneBurner, which is a power dialer. They also manage incoming calls after office hours.

We’re currently working with around 12 people. Eight of them are working on outreach, and four of them answer the calls. The owner is our main point of contact.

If there's a technical issue or if something's wrong with the CRM or the phone system, we can address it on time because we have a dedicated person on our team who handles all the logins. We also have access to the call recordings. If there’s a problem with the system, they usually fix it themselves. However, if they need assistance, we have an in-house project manager who takes care of it.

We use Slack for communication. We also added them to our group channels. For management, we use HubSpot.
What did you find most impressive about them?
Their CEO is the most detail-oriented and focused person I’ve ever seen in the call center industry. Appointment Setter Online is unique to us because we’ve tried around six providers previously. They were good for the first few months, but then they showed their true colors. Jay has been consistent and speaks to us the same way he did on day one. The management has been a great help.

We asked for female agents for the calls, but they didn’t have any. If they had some, that would be better. However, the male agents are good.

They have good agents, and they’ve learned about our programming languages. Even new-age developers don’t know much about those languages, but Appointment Setter Online has spent the time to learn.
