The project started with Laura Waldyn from FBSPL, who optimized and organized agency workflows and procedures by creating streamlined and efficient processes for managing daily workloads. Once all of our processes and procedures were accessible in one place, the next part of the project utilized virtual assistants to take some of the mundane back-office tasks away from the agents.  
Agents need to bring in business and not focus on back-office tasks.  We worked with two Virtual Assistants who helped with quoting, processing polices, checking on mortgage payments, processing endorsements, etc.  They really took a lot of the back-office tasks away from the Agents.  We also hired a part-time licensed agent to work a portion of our book when an Agent left unexpectedly. Having our process and procedures in place really made this a smooth transition.

The process with the Virtual Assistants and the Agent was pretty seamless because our processes and procedures were all laid out for reference.  Took the back-office mundane tasks away from the agents.

They are a well-oiled machine when it comes to project management. From the very beginning of the project, we connected via online meetings or phone calls.  If we found anything that wasn't just right, they were quick to respond with a solution on how to make it better.  
We received daily reports from the Virtual Assistants and the Agent on work completed for that day, and weekly and monthly reports as needed by the Agency on in-house employees.  They achieved our project timeline as expected.

One area that could have been improved is the creation of a structured and prioritized Standard Operating Procedure (SOP) during the initial onboarding phase. While processes naturally evolve over time, having a clear, well-documented SOP or a structured outline within the first month of service would have helped establish a consistent workflow and improved the onboarding experience for current and future virtual assistants.
A more defined process for developing and finalizing the SOP would have ensured that tasks were handled uniformly from the start, reducing the need for corrections and adjustments later on. This would have also provided new hires with a reference guide, minimizing the learning curve and improving overall efficiency.

Enhanced Internal Quality Control Measures:

While FBSPL has significantly improved our operational efficiency, a stronger internal QC system could further refine their service. Close to 150 quotes resulting in over 40 policies sold.

They assist in the processing of renewal policies with the same carrier and requesting any necessary changes.  Processing is being done utilizing our workflow and documentation.  Communication for questions is done utilizing Teams, Email and also participating in Zoom meetings.  

Work status of assigned activities are tracked and reveiwed utilizing a shared file in teams and we also are provided with weekly summaries. Pending is the starting of Certificate processing and issuing. The processing backlog has been eliminated allowing our support team the capacity to assist in other tasks, in return allowing our Servicers to better serve our clients and increase their book of business.

• Per their assistance and an increase in our support staff our processing backlog has been eliminated.

• Assist the Account Executives with sales and marketing efforts and provide very responsive customer service for our clients and prospects.
• Reporting, Processing and Follow Up of all Personal Claims
• Promote our Brand to Enhance our Client Experience

Key Deliverables:

•  Develop a working knowledge of entire agency office procedures, agency automation system (EPIC) and insurance rating systems.
• Collect information and data to keep accounts and files accurate
• Process new business policies, renewals and endorsements
• Manage administrative projects such as:  change requests, certificates, cancellations/reinstatements, evidence of insurance requests, billing inquiries, LPR’s, summaries of insurance, binders and recommendations from risk control.
• Maintain suspense system to follow up on outstanding orders, correspondence, reports, and follow up on overdue items.
• Assist in the handling of claims including reporting and following-up on claims progress with company and clients.
• Support AE’s in quoting of new business and additional coverages
