Zenevent, our virtual event platform, was kicked off just as the pandemic was closing down face to face meetings around the world.  Our clients needed a platform to continue to hold meetings.  As we work orimarily in pharma, life sciences and financial services, many of our clients are legally required to hold the meetings.  We had a quick requirements gathering with our clients, who had limited experience with virtual events.  We knew going in that this project would be built and deployed agilely in phases, with tight turn arounds, as live meetings do not shift dates if the system isn't ready.  The scope below is where the project ended up, the scope grew rapidly.

What were the measurable outcomes from the project that demonstrate progress or success?

I have used eDot since 2006 at various organizations I have been with.  When this opportunity came up for me to join innoVia to build and manage a virtual platform, my first call was to eDot.  Once they were on board, I joined innoVia.  I knew this project would be large, complex and would grow as we were developing.  I needed eDot's ability to join me, not as a vendor or partner, but as team mates on this journey.  I needed their ability to take my designs, ask great questions and deliver great code.  

Prior to the pandemic, innoVia had not done any virtual meetings on a platform.  By the time pandemic was over, we had completed hundreds of successful meetings on the Zenevent platform.  This is the strength of our teamwork.  Our clients would ask for features, we would quickly determine feasibility and build/test/deploy for their events.  We had a matrix of over 100 features that were in development and what shows were using them so we could determine what would be built/tested/deployed next.  We hit every date, delivered every feature.  Some months, we had 20 or more deployments.  

Our clients loved our flexibility.  A great example is a financial services client did their site walk through on a Friday for an event launching Monday and asked for several last minute changes.  We indicated we would see what we could do, if anything.  We came together, got requirements together, prioritized the various requests and met with the eDot team Friday night.  Sunday morning all of the changes were in production so they could be incorporated into the event site.  Monday the event was live for 5,000 people with all of the new features.  The clients were ecstatic.   

Our internal team and clients could not have been happier with the support of eDot.  

Describe their project management. Did they deliver items on time? How did they respond to your needs?

As this was not my first project with eDot or other providers, I knew based on the size, complexity, number of team members, geography/time zones, that we would need a project management tool.  We started the project with TeamWorkLive, which we had used on previous projects, but quickly moved to ClickUp. 

The project was broken in various scrums, as mentioned on previous responses, we could have 20 deployments on a busy month, though thankfully this was the exception.  Our average was closer to 2-3 deployments per month. 

On our end, we would provide the documentation for the functionality, grouping them together into common sections were we could.  We would load these into ClickUp.  We would have a planning meeting, review the new features, review our feature grid/roadmap to see when the various features were required for client events.  eDot would assign the features to the various scrums, based on the deployment dates.  We worked as a team within ClickUp, using it for questions/clarifications, testing, etc.  Once an item was ready, it would be put on the deployment schedule. 

eDot was great at keeping ClickUp up to date so our team of Event Producers knew when the features they needed for upcoming events were going to be ready.

I have worked with numerous companies in the custom software space.  To me what seperates eDot is the relationship we have. The eDOT Solutions team goes above and beyond, integrates into our team and process to deliver exceptional products.  They care about us and our clients and ensure our sucess.

Backing up the relationship, is a high quality team of dedicated professionals who deliver great product.  

The best compliment I can give is that we often forget that they are not our employees.  They embrace our culture, sometimes more than our team, know and care about our clients and are great people to work with.  

Are there any areas for improvement or something eDOT Solutions could have done differently?

Not really.  We continue to use eDot, though the project size is much smaller due to the return to face to face meetings.

The projects we have engaged eDOT solutions are many and varied and have been of differing complexity. 

They started by creating a bespoke App for members to conduct their Continuing Professional Development, which proved to be very popular. 

The next brief was to create a member search App which has been successful.

A new instinctive and intuitive student portal was developed from scratch. This investment has transformed the way students interact with IIMS and how they study. Many neat features were built in.

Most recent, eDOT has been an online On-Demand Training Portal and, although in its early days, it is set to transform the way marine surveyors learn about the profession.

What were the measurable outcomes from the project that demonstrate progress or success?

The hundreds of members who migrated to the Continuing Professional Development App to maintain their records electronically.

The surveyor search app is downloaded many times each month.

Positive feedback from students underpins the insightful work that has been undertaken to develop a state-of-the-art portal.

We never set a hard deadline, because we wanted to get each project exactly right.

Arranging meetings with the eDOT team has never been an issue. They have been attentive to our needs, even when, mid-project, we have asked for revisions and extra items to be added.

Scope of Work:

1. Design, develop, deploy, host, and support a secure, scalable, HIPAA-compliant SaaS EDC platform support multiple concurrent observational studies, chart reviews, registries, and longitudinal data-collection programs in the HEOR space. 
2. Translate study protocols, eCRFs, analytical requirements, and operational workflows into configurable digital solutions.
3. Manage requirements, project delivery, testing, releases, change control, and ongoing production support.

Key Deliverables:

1. Configurable electronic case report forms, eligibility workflows, cohort logic, repeating forms, multilingual content, and role-based access.
2. Functional and technical specifications, screen mockups, validation rules, audit trails, and data-quality controls.
3. Secure AWS-hosted environments with encryption, access controls, monitoring, backups, and de-identification or date-shifting capabilities.
4. System testing, regression testing, UAT support, defect resolution, production deployment, and post-release verification.

3. Reduced study build time through reusable platform components, standardized workflows, and configurable eCRFs by 20%
4. Improved data quality across the boad through rigorous validation, eligibility logic, audit trails, and controlled record-locking processes. 
5. Provided secure, HIPAA-compliant AWS hosting with ongoing monitoring, backups, access controls, and production support.
6. Delivered consistent, analysis-ready data exports, reducing manual data preparation and reconciliation effort.
7. Supported complex multicenter and multilingual studies from requirements through UAT, production launch, and study closeout.

This includes developement in software formats starting with log-in to the module, tracking of hazmats, recording in customized Tracking sheets, receiving Declarations in customized form of Material Declarations & Suppliers Decl of Comformities.  

Further the Module would be accessed by All our numerous Clients, Marine Statutory Inspectors & Surveyors on-line to verify compliance
