SoftDoes developed a web tool that collects information through a structured questionnaire and helps me prepare an individual plan. The tool organizes the answers, applies the rules we agreed on, and creates a draft that I can review and adjust. I can save different versions, add my own notes, and export the final document. We spent quite a bit of time on the questionnaire itself. Some questions that seemed perfectly clear to me were confusing when other people tried them. SoftDoes helped us simplify the wording and change the order, which made the whole experience much easier. There is also a small admin area where I can update the questions and some of the content without asking a developer to make every change.

The biggest difference is the time we spend preparing each individual plan. Before, it could take us around 45 minutes to go through the answers, organize everything, and put the document together. Now the first draft is ready in about 10 minutes, and we can spend that time reviewing and personalizing it. We've also had fewer incomplete questionnaires since changing the structure. The completion rate went from roughly 65% to 82%, which means I don't have to follow up with people as often. Around 120 people have used the tool so far. It's still a relatively small number, but for my business, being able to handle that volume without adding more administrative work is a meaningful improvement.

Some of our service locations have poor reception, so the app needed to save everything locally and sync it once the connection came back. We spent a good amount of testing time on that part. SoftDoes worked with our existing platform: they developed a matching system that uses information we already have about students and teachers to suggest the best available options. Our team can review those suggestions and make the final choice when needed. They also worked on scheduling. The system checks availability before suggesting a match and can flag situations where someone's regular schedule is likely to become difficult to maintain. There were some smaller changes on the admin side as well. We can see why a particular match was suggested, change the priority of certain criteria and track cases that still need someone from our team to step in.

Before this project, a new match could take our team around 15 minutes when the request wasn't completely straightforward. It's now usually under 5 minutes. About 72% of new matches are currently completed using one of the system's first three recommendations, without our team having to search manually. We've also seen teacher changes during the first month of lessons decrease by approximately 18%. For me, that last number matters the most because a faster match isn't very useful if it isn't a good one.

The main deliverable was a browser-based operations system for our office team. The schedule is at the center of it. Coordinators can see upcoming visits, assigned caregivers, open shifts, availability conflicts, and changes that still need confirmation. If someone calls out, we can work from the open shift instead of checking several calendars to figure out who may be available.
Each client also has an operational record with their recurring schedule, service requirements, assigned caregivers, contacts, important notes, and recent visit history. On the caregiver side, we can track availability, current assignments, completed visits, and documents that need attention. SoftDoes added alerts for things such as an uncovered shift or an upcoming document expiration so those issues don't depend on somebody remembering to check them.

We also saw roughly a 40% reduction in the internal calls and messages related purely to confirming who was assigned where. Another improvement was uncovered shifts.
During the first two months after rollout, the number of cases that were still unresolved by the end of the previous business day was about 30% lower than during the comparable period before launch. The platform follows a campaign from setup to distribution. When we create one, the team adds the advertiser, offer, campaign dates, required formats, tracking information, and the partners or placements involved. From there, each part has its own status, so we can tell immediately whether something is ready or what is holding it up. SoftDoes also created a partner directory that keeps previous and current campaign activity together. That was important for us because we work with recurring partners and needed more than a simple contact database. Creative management is built into the workflow as well. Files have versions and approval states, which means the team isn't relying on filenames like “final_final_v2” to decide what should actually go out. They added reporting views for the marketing team and a restricted external view where partners can pick up the materials intended for them or provide what we are waiting for.

What were the measurable outcomes from the project that demonstrate progress or success?

Before this, preparing a campaign for distribution could easily stretch over two or three working days even when nothing was technically wrong. A lot of that time was just waiting for someone to confirm which version, partner, or tracking setup was correct. For our standard campaigns, that is now usually done within a day. We also used to spend around four hours a week reconciling campaign information before reporting. That is closer to 60-90 minutes now. The other number I personally watch is asset corrections. We had several cases in the quarter before launch where an outdated file had to be replaced after it was already shared internally or with a partner. In the following quarter, we only had one.

SoftDoes created the main web portal, moved our existing records into it, connected several tools we still needed to keep, and set up different access levels for our team. Projects, documents, approvals, notifications, and reporting all sit inside the same system now.
We also added custom dashboards during development because different people on our team needed very different information when they logged in. The data migration was probably the least visible part of the project, but it was a big one for us. We had quite a lot of historical information and couldn't afford to lose or mix anything up during the move.

Across the team, we're saving approximately 8-10 hours a week on work that was basically just looking for information or moving it from one place to another. Those numbers were better than we expected.

SoftDoes updated the architecture of our tournament and registration system and rebuilt the parts that were causing the most problems for staff and participating teams. The work covered team registration, roster submissions, eligibility checks, document uploads, payment status, tournament approvals, and communication between the national office and local associations.

They also created separate dashboards for administrators and event organizers, so each group sees the information relevant to them. Another important piece was data migration. We had years of records that could not simply be left behind, so the team moved that information into the new structure and checked it carefully before launch.

What were the measurable outcomes from the project that demonstrate progress or success?

Registration reviews are much quicker now, and staff no longer have to compare several forms to confirm the same information.
