Some of our service locations have poor reception, so the app needed to save everything locally and sync it once the connection came back. We spent a good amount of testing time on that part. They also built a small admin interface for managing checklist templates and reviewing submissions that need attention.

What were the measurable outcomes from the project that demonstrate progress or success?
Before this project, a new match could take our team around 15 minutes when the request wasn't completely straightforward. It's now usually under 5 minutes. About 72% of new matches are currently completed using one of the system's first three recommendations, without our team having to search manually. We've also seen teacher changes during the first month of lessons decrease by approximately 18%. For me, that last number matters the most because a faster match isn't very useful if it isn't a good one.

The main deliverable was a browser-based operations system for our office team. The schedule is at the center of it. Coordinators can see upcoming visits, assigned caregivers, open shifts, availability conflicts, and changes that still need confirmation. If someone calls out, we can work from the open shift instead of checking several calendars to figure out who may be available. Each client also has an operational record with their recurring schedule, service requirements, assigned caregivers, contacts, important notes, and recent visit history. On the caregiver side, we can track availability, current assignments, completed visits, and documents that need attention. SoftDoes added alerts for things such as an uncovered shift or an upcoming document expiration so those issues don't depend on somebody remembering to check them. They also built a matching view that helps coordinators narrow down possible caregivers based on availability and the requirements of the client. The final assignment is still made by our team; the software just makes the information much easier to compare.

What were the measurable outcomes from the project that demonstrate progress or success?
We looked specifically at schedule changes because that was where we felt the most friction before the project. For an ordinary same-day replacement, our coordinators used to spend around 25-30 minutes checking availability and contacting people. After the new workflow had been in use for a while, we were usually getting to the right group of available caregivers in about 10-15 minutes. We also saw roughly a 40% reduction in the internal calls and messages related purely to confirming who was assigned where. Another improvement was uncovered shifts. During the first two months after rollout, the number of cases that were still unresolved by the end of the previous business day was about 30% lower than during the comparable period before launch. Those are operational numbers, but they matter to us because less time spent chasing the schedule means more time speaking with clients and caregivers.

They didn't try to automate every decision. Caregiver scheduling includes judgment. Two people can both be available and still not be equally appropriate for a particular client. SoftDoes understood that distinction. Instead of building a system that pretended to make the decision for us, they made the relevant information easier to see and left the final call with our coordinators. I appreciated that because it made the software fit the way home care actually works rather than forcing the team into a rigid workflow.

The mobile experience for our office staff could have been addressed earlier. Desktop was our main priority, so that is where most of the early work went. Once we started using the system, we realized that coordinators also check schedules from their phones more often than we had expected. SoftDoes improved the responsive version later in the project, but I would put that higher on the priority list if we started again.

The platform follows a campaign from setup to distribution. When we create one, the team adds the advertiser, offer, campaign dates, required formats, tracking information, and the partners or placements involved. From there, each part has its own status, so we can tell immediately whether something is ready or what is holding it up. SoftDoes also created a partner directory that keeps previous and current campaign activity together. That was important for us because we work with recurring partners and needed more than a simple contact database. Creative management is built into the workflow as well. Files have versions and approval states, which means the team isn't relying on filenames like “final_final_v2” to decide what should actually go out. They added reporting views for the marketing team and a restricted external view where partners can pick up the materials intended for them or provide what we are waiting for.

What were the measurable outcomes from the project that demonstrate progress or success?
Before this, preparing a campaign for distribution could easily stretch over two or three working days even when nothing was technically wrong. A lot of that time was just waiting for someone to confirm which version, partner, or tracking setup was correct. For our standard campaigns, that is now usually done within a day. We also used to spend around four hours a week reconciling campaign information before reporting. That is closer to 60-90 minutes now. The other number I personally watch is asset corrections. We had several cases in the quarter before launch where an outdated file had to be replaced after it was already shared internally or with a partner. In the following quarter, we only had one.

They released the product in pieces, so marketing could use a new workflow while the next one was still being built. Sometimes we changed our minds after trying something with a real campaign, and they were fine adjusting it. There wasn't much ceremony around the process, which suited us.

Our first instinct was to show almost everything there. After watching how we used it, their team pushed us to keep only the information that answers three questions: what's ready, what's blocked, and who needs to do something.

I would probably involve one of our partner managers earlier if we were doing it again. Most of the initial feedback came from marketing and operations, so a few partner-specific details surfaced later than they needed to. SoftDoes handled the changes without a problem, but we could have saved a round of revisions by bringing that person into the first workshops.

SoftDoes created the main web portal, moved our existing records into it, connected several tools we still needed to keep, and set up different access levels for our team. Projects, documents, approvals, notifications, and reporting all sit inside the same system now. We also added custom dashboards during development because different people on our team needed very different information when they logged in. The data migration was probably the least visible part of the project, but it was a big one for us. We had quite a lot of historical information and couldn't afford to lose or mix anything up during the move.

What were the measurable outcomes from the project that demonstrate progress or success?
We compared a few things about two months after launch. Routine tasks that used to take around 15-20 minutes were averaging closer to 9-10 minutes. That's roughly a 40% improvement. We also saw internal questions related to access, status, and finding documents drop by about 35%. Across the team, we're saving approximately 8-10 hours a week on work that was basically just looking for information or moving it from one place to another. Those numbers were better than we expected.
