OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• Too many routine updates were landing in the engineering backlog. Our internal teams regularly needed to create new pages, update existing materials, change layouts, or publish time-sensitive content. Even minor requests required developer involvement, and some of them waited several days before anyone could get to them. We asked SoftDoes to build a web- based tool that would give approved team members more control over this work.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes built a browser-based management tool for creating, editing, reviewing, and publishing content. Different teams have different permissions, so contributors can prepare changes, managers can review them, and only authorized users can publish. The system also keeps a version history, supports reusable components, and shows exactly what changed between drafts. SoftDoes connected the tool to several services already used by our teams and created a preview environment where changes can be checked before they go live. The interface had to remain simple because many of its users are not technical. That part took several rounds of testing, but the final version is easy to learn.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The effect on our engineering queue was clear within the first two months. Requests for routine content updates dropped by approximately 45%. The average turnaround time for publishing approved changes went from two or three business days to a few hours. Our internal teams now complete about 70% of these updates without developer support. We have also been able to reassign engineering time to larger product work that had previously been delayed by smaller requests.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

We worked in short development cycles and reviewed a usable version at the end of each one. That made feedback fairly simple. We could point to a screen, explain what felt confusing, and usually see the correction in the next build. Their team responded quickly and kept a clear record of decisions, open items, and upcoming releases.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

They were very good at deciding what should stay simple. The permission system and publishing logic became fairly complex behind the scenes, but users do not have to think about any of that. Most people can open the tool and understand what to do without a long training session. That balance was difficult to get right, and SoftDoes handled it well. I would recommend SoftDoes without hesitation; they delivered a reliable tool that reduced our engineering workload and SoftDoes? gave our internal teams much more control over everyday updates.

Are there any areas for improvement or something SoftDoes could have done differently?

No. We do not have any questions or concerns about the project or the way it was delivered.

OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• Our registration process had become harder to manage than it should have been. Teams were submitting information through different forms, staff had to check the same details more than once, and local associations did not always see updates at the same time as the national office. SoftDoes was hired to improve the system behind that process and make it easier for everyone involved to use.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes updated the architecture of our tournament and registration system and rebuilt the parts that were causing the most problems for staff and participating teams. The work covered team registration, roster submissions, eligibility checks, document uploads, payment status, tournament approvals, and communication between the national office and local associations.

They also created separate dashboards for administrators and event organizers, so each group sees the information relevant to them. Another important piece was data migration. We had years of records that could not simply be left behind, so the team moved that information into the new structure and checked it carefully before launch.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Registration reviews are much quicker now, and staff no longer have to compare several forms to confirm the same information. The average time required to process a tournament application dropped by about 35%. Incomplete submissions also decreased by roughly 25% after the new forms and validation rules were introduced.

The most noticeable change during the first registration period was the number of questions we did not receive. Teams were able to complete more of the process without contacting our staff for help.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes divided the work into releases, which allowed our staff and several local users to test each part before it went live. Issues were documented clearly, and we normally received an answer the same day when something needed attention.

What was your primary form of communication with SoftDoes?

• Virtual Meeting

What did you find most impressive or unique about this company?

They understood that the people using the system would have very different levels of technical experience. A process that feels obvious to an administrator may be confusing to a volunteer or coach using it once a year. SoftDoes paid attention to that and kept simplifying the forms until they worked for both groups.

Are there any areas for improvement or something SoftDoes could have done differently?

Not really.

Describe the scope of work in detail. Please include a summary of key deliverables.

The project covered the design and development of native mobile applications, along with the backend work needed to support them. Besides the apps themselves, SoftDoes built the APIs, user authentication, push notification functionality, and a small admin portal that lets our team manage content without publishing a new version every time something changes.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The first thing we noticed was that people actually kept using the app. After launch, mobile engagement increased by 34%, while user retention over the first 90 days improved by 22% compared to our previous mobile experience. Support requests related to navigation also dropped by about 30%, which told us people were finding what they needed without much effort.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

There weren't many surprises during the project, which is probably the biggest compliment I can give. We had regular builds to review, discussed feedback openly, and always knew what was coming next.

What did you find most impressive or unique about this company?

They paid attention to details that we honestly hadn't considered. Sometimes it was a small interaction or a tiny usability issue, but those little improvements added up. The final app feels much more polished because of that.

Are there any areas for improvement or something SoftDoes could have done differently?

If anything, I would have liked to spend a little more time testing with a broader group of users before launch. That wasn't really on SoftDoes, it was more about our own timeline.

Describe the scope of work in detail. Please include a summary of key deliverables.

The first version we saw wasn't the same one we eventually launched, and that's probably a good thing. A few features turned out to be unnecessary once we started testing them, while others became much more important than we'd expected. By the end of the project we had two mobile apps, the backend to support them, push notifications, user authentication and a small admin portal our team now uses almost every day.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The biggest difference was how quickly the app became part of everyone's routine. We didn't have to encourage people to use it or remind anyone to switch over. Feedback after launch was positive, support requests stayed low, and the overall rollout was much smoother than we expected. The app launched successfully, our team enjoyed working with them, and I'd be happy to build another product together.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

I don't remember waiting around for answers, and that's usually what people notice first during a software project. We looked at new builds regularly, discussed changes while they were still easy to make, and always knew what was coming next.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

One thing I noticed pretty early was that they weren't afraid to disagree. Sometimes we'd suggest an idea and instead of saying "sure," they'd explain why another approach might work better. A few of those conversations completely changed parts of the app, and I think they made the final product stronger.

Are there any areas for improvement or something SoftDoes could have done differently?

Nothing significant comes to mind.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Our teams spend less time asking each other for updates, reporting no longer feels like a separate task, and information is simply easier to find. Looking at the numbers, internal reporting became around 40% faster, while handling recurring operational requests improved by about 30%.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

I always knew who to contact if something came up, and I never felt like we were waiting days for an answer. A few things changed as the project moved forward, which is pretty normal, and none of that turned into a problem.

SoftDoes built a web platform that brought together project tracking, internal requests, reporting and several approval processes that had previously been scattered across different tools. They also connected a few existing systems so information didn't have to be entered twice. Later in the project they added AI features that help summarize tickets and organize requests before someone even opens them.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

I don't think anyone on our team misses the old way of working. Managers spend much less time asking where something stands because most answers are already in the system. Preparing weekly reports went from being something people postponed until Friday afternoon to something that takes just a few clicks. We also measured about a 30% reduction in time spent handling internal requests and roughly a 25% faster turnaround on routine operational tasks.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

We spoke regularly, looked at working versions, changed our minds a few times, and the team adapted without turning every small request into a negotiation. That made the whole process much less stressful.

What did you find most impressive or unique about this company?

What I appreciated most was that they weren't trying to impress us with technical language. If something could be made simpler, they said so. More than once they talked us out of building features we thought we needed, and looking back they were right, and we'd confidently recommend SoftDoes to companies looking for a custom solution that's built around the way they actually work.

Are there any areas for improvement or something SoftDoes could have done differently?

Nothing that affected the outcome, though.

SoftDoes developed a custom platform that became the central place for managing our daily operations. The system allows us to schedule cleaning appointments, assign crews, monitor recurring services, manage customer information, and keep track of completed jobs. They also built reporting dashboards that give us a much clearer picture of workload, scheduling, and overall business activity. Another useful addition was AI-assisted job categorization and reporting, which helps our office team organize requests and generate internal summaries much faster.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Within a few months we noticed a real difference in how the office operated. Time spent preparing daily schedules dropped by roughly 35%, while missed or duplicated appointments became much less common. Our office staff also reduced the amount of time spent answering internal questions because everyone could see the same information in one place. Reporting that previously took hours at the end of the week now takes just a few minutes.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

The project stayed well organized from beginning to end. There were several occasions where we requested adjustments after seeing early versions of the platform, and the team handled those changes without making the process difficult. We always knew what stage the project was in, and milestones were delivered when expected.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

Cleaning companies have a lot of moving pieces that aren't always obvious from the outside, and it was clear SoftDoes wanted the software to match our day-to-day operations instead of asking us to change the way we work.

Are there any areas for improvement or something SoftDoes could have done differently?

The first version of a few reporting screens included more information than our managers actually needed. After we shared feedback, those reports became much easier to read, so it wasn't a significant issue.

SoftDoes created a custom internal platform for managing our projects from initial inquiry through production and installation coordination. The platform helps our team track material availability, custom design requests, approvals, production notes, and project timelines. Before this, a lot of information lived in separate places, which made it easy for smaller details to get lost between departments. They also added an AI-supported layer that helps organize project information and categorize requests by material type, complexity, and production stage. Since our work is highly custom and no two projects are exactly alike, having that structure has made a real difference operationally.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Our team now has a much clearer understanding of where each order stands, which materials are reserved, and what approvals are still pending. Internal follow-up time dropped by roughly 23%, and the handoff between sales, design, and production became significantly smoother. It also became easier to give clients accurate timeline updates, which is especially important in custom high-end work.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes took time to understand how our workflow actually functions before pushing technical solutions. Their team asked detailed questions, adjusted parts of the system as they learned more about our production process, and stayed responsive throughout development. Most milestones were delivered on schedule, and the changes we requested during implementation were handled without unnecessary delays or friction.

What did you find most impressive or unique about this company?

SoftDoes paid attention to the craft side of our work, not just the software requirements. That helped them build system that supports our artisans and project managers rather than forcing a generic operational structure onto the business.

Are there any areas for improvement or something SoftDoes could have done differently?

Some reporting views needed a few rounds of adjustment before they matched how our production team actually tracks progress day to day. Once those refinements were made, the platform became much more intuitive for the operational side of the business.

SoftDoes built a web-based platform to help us manage our health education programs more consistently. The platform includes participant registration, class scheduling, curriculum management, attendance tracking, and basic reporting. They also created separate user flows for administrators, instructors, and families, since each group interacts with the program differently.

One useful part was the AI-assisted content support. It helps our team organize nutrition tips, recipe suggestions, and follow-up materials based on age group, program type, and family needs. It does not replace our educators, but it saves time when preparing materials for different audiences.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The biggest value is that we can spend less time organizing the program and more time actually supporting families. We reduced manual administrative work by around 25%, especially around registration, reminders, and follow-ups. Attendance tracking is also cleaner now, and our team can see which classes or materials are getting the strongest engagement.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes kept the project moving without making the process feel heavy. They were clear about what was being built, what needed feedback, and where decisions had to be made. Since our team is not deeply technical, that clarity mattered a lot.

SoftDoes is a strong fit for organizations that need a thoughtful technical partner to turn educational or health-focused programs into practical, easy-to-use digital systems.

Are there any areas for improvement or something SoftDoes could have done differently?

No, there were no areas for improvement identified from our side.

• One issue we kept running into internally was operational complexity as the number of active engagements on the platform increased. We work with a large network of freelances and communications talent, and we needed better infrastructure around onboarding flows, engagement management, internal coordination, and reporting. A lot of operational work still depended on manual handling between teams, which became harder to maintain consistently at scale.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes worked on a custom operational platform layer that supports internal workflow management across talent onboarding, engagement coordination, reporting, and administrative processes. Part of the project involved consolidating workflows that had gradually expanded across multiple tools and internal processes over time.

The new system centralized engagement tracking, internal approvals, reporting workflows, and coordination between operational teams. They also implemented AI-assisted functionality to help organize engagement data, summarize operational activity, and reduce repetitive handling of internal requests and updates.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Internal coordination time dropped by 30%, especially around onboarding and engagement administration. Teams also spent less time manually tracking status updates between systems, which reduced delays and duplicate handling of requests. Reporting became more reliable as well since information was centralized and easier to review across departments.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

The collaboration felt well-organized without becoming overly process-heavy. SoftDoes stayed responsive throughout the project and adjusted well as priorities evolved during implementation.

What did you find most impressive or unique about this company?

A lot of the issues weren’t obvious technical failures. They were small process inefficiencies that became larger problems as activity increased. Their team understood those patterns early and approached the project from that perspective rather than focusing only on development tasks. SoftDoes is especially effective for companies that need custom operational infrastructure built around evolving internal workflows, so it'a a pleasure to recommend them.

Are there any areas for improvement or something SoftDoes could have done differently?

A few internal reporting configurations needed additional refinement after launch to better match how different teams review operational data. But that was quickly fixed.
