OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• One of the main operational challenges for us was keeping candidate workflows organized as the volume of active clients increased. We provides highly personalized career support services, and over time we reached a point where too much coordination was happening manually between different team members and systems. We needed a better way to manage onboarding, internal task routing, candidate tracking, and reporting without slowing the team down. SoftDoes was brought in to help us build a centralized system that could support those workflows in a more structured and scalable way.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes developed a centralized internal platform designed around how our team manages candidate engagements and operational workflows. Before the project, a lot of information was spread across separate tools, internal documents, and manual follow-ups. The platform consolidated onboarding coordination, candidate tracking, internal task management, and reporting into one system. They also implemented AI-assisted functionality for organizing candidate information and generating structured summaries from internal notes and activity history. That helped reduce repetitive coordination work while still keeping the service itself highly personalized.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Teams spent around 30% less time on manual coordination and follow-ups, especially during onboarding and candidate review stages. Internal turnaround times also improved by roughly 20-25% because workflows became easier to track across departments. Another improvement was reporting consistency. Since operational data was centralized instead of scattered across multiple systems, the number of missed updates and duplicated tasks dropped noticeably during active client engagements.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes stayed responsive throughout the engagement and adapted well when workflows changed or new requirements came up during implementation. Communication stayed straightforward and efficient, which helped decisions move quickly.

What did you find most impressive or unique about this company?

What stood out was how quickly they understood the operational side of the business. A lot of the issues we were trying to solve were tied more to process flow and internal coordination than purely technical limitations. Their team understood that early on and built the platform around how the business actually functions day to day.

Are there any areas for improvement or something SoftDoes could have done differently?

Nothing major, but it would have shortened part of the post-launch adjustment phase.

OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• By the time we started working with SoftDoes, our onboarding workflows had already become too manual to scale efficiently. Our team was spending too much time on repetitive checks, manual data entry, and back-and-forth communication between departments. The goal was to build a custom system that could automate some of those steps, reduce delays, and give our operations team better visibility into where each client file stood.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes built a custom internal platform for managing client onboarding workflows and financial document review. This system helps our team collect information, route files to the right people, flag incomplete records, and reduce the amount of manual checking required before approval. They also added an AI-assisted layer that helps categorize documents and highlight items that need closer review. Key deliverables included the workflow platform, integrations with our existing tools, user roles for different departments, automated notifications, and dashboards for tracking onboarding progress.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The biggest result was a faster onboarding process. We reduced manual review time by about 30%, and the team now has a much clearer view of where delays happen. It also helped lower the number of missed or incomplete items before files moved to the next stage.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes managed the project in a straightforward and organized way. They were clear about priorities, kept the work moving, and responded quickly when we needed changes. Since compliance and internal review requirements can shift, we appreciated that they stayed flexible without losing control of the timeline.

What did you find most impressive or unique about this company?

SoftDoes didn’t try to overcomplicate the system. They focused on making it reliable, easy for our team to use, and practical for the way we actually handle client files.

Are there any areas for improvement or something SoftDoes could have done differently?

During the earlier stages, a bit more alignment around feature prioritization would have probably saved some iteration time later on.

BACKGROUND

I am the Strategic Communications Manager of a B2B SaaS company.

Describe what your company does in a single sentence.

My company is a US-based B2B SaaS platform designed to help contractors manage projects, estimates, invoicing and client communictaion in one centralized system.

OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• We hired SoftDoes after reaching a point where some of our internal systems were slowing down delivery instead of supporting it. Our company handles a mix of infrastructure support, managed services, and custom client environments, and over time we ended up with too many disconnected workflows. A lot of operational tracking still depended on manual coordination between teams, which became harder to manage as project volume increased.
• We looked at SaaS options and nothing fit quite right. The objective was to create a custom operational platform that could automate repetitive internal processes, improve visibility across teams, and remove some of the friction around service delivery and reporting.

How many teammates from SoftDoes were assigned to this project?

6-10 Employees

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes built a centralized platform that now acts as the operational layer between several of our internal teams. Before this project, we were relying on a combination of separate ticketing systems, spreadsheets, and manual status tracking. That setup worked for a while, but it became increasingly difficult to maintain consistency once more teams and client environments were involved.

The new system unified several workflows into one place. It included automated reporting, service request tracking, internal approval flows, and operational dashboards that gave managers a much clearer view of active workloads and bottlenecks. SoftDoes also helped automate several recurring administrative tasks that previously required manual input from multiple departments. That alone removed a surprising amount of overhead from day-to-day operations. One thing I liked is that they didn’t try to overengineer the platform. The focus stayed on usability and operational efficiency rather than adding unnecessary complexity.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Internal response times improved on 39%, reporting became much more consistent, and teams spent less time chasing updates across systems. We also saw a reduction in duplicated work because information was no longer fragmented between departments. From a management perspective, visibility improved quite a bit as well. It became easier to identify overloaded teams, delayed requests, or recurring operational issues before they started affecting delivery timelines.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes was organized without being overly process-heavy, which worked well for our team. We had regular milestone reviews, clear communication around priorities, and direct access to people who could actually make decisions when something needed to change.

What was your primary form of communication with SoftDoes?

• Virtual Meeting
• Email or Messaging App

What did you find most impressive or unique about this company?

Probably their ability to stay practical. A lot of development teams immediately jump toward the most technically ambitious solution. SoftDoes seemed more focused on whether something would genuinely improve operations long term. That mindset helped avoid a lot of unnecessary complexity and kept the project grounded in actual business needs.

Are there any areas for improvement or something SoftDoes could have done differently?

In a few areas, earlier technical documentation would have helped our internal onboarding process. That said, once the platform moved closer to production, documentation and handoff materials became much more detailed.

OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• We brought SoftDoes in after running into ongoing issues with how operational data was being handled across our field teams and internal systems.
• A lot of our processes were still heavily manual, especially around maintenance reporting, service scheduling, and asset tracking.
• Information was technically available, but it lived in too many places, and teams were spending more time updating spreadsheets and chasing status updates than actually acting on the data. The goal was to build a system that could centralize those workflows, automate parts of the reporting process, and give our operations team a clearer picture of what was happening across active sites.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes developed a centralized operations platform designed around our field service and maintenance workflows. The system brought together scheduling, reporting, asset records, and internal updates into a single environment, which was a major shift from how we had been operating previously. One part that ended up being especially useful was the reporting layer. Instead of manually compiling updates from different teams, the platform now pulls operational data automatically and organizes it into structured summaries. They also built automation around recurring maintenance processes and alerts, which reduced the amount of manual follow-up our coordinators had to handle every day. Another deliverable was a dashboard for tracking active field operations and identifying issues that needed attention before they started affecting timelines or compliance requirements.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Before the platform, it could take hours to consolidate updates from different sites. Now most of that information is available in real time, and reporting cycles are significantly faster. We also reduced manual administrative work across operations by roughly 25%, particularly around recurring maintenance tracking and internal reporting. The system helped us react to service delays earlier as well, which has been important from both an operational and compliance standpoint.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes team was organized and generally easy to work with throughout the project. Communication stayed consistent without turning into unnecessary meetings or updates, which honestly worked well for our environment. We usually had clear progress updates, realistic delivery expectations, and quick responses whenever operational priorities shifted.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

One thing I appreciated was that SoftDoes paid attention to how the system would function in real operational conditions, not just how it looked on paper. A lot of vendors focus heavily on features. Their team spent more time understanding how our workflows actually move between departments and field teams, which made the final product much more practical to use. We’d confidently recommend SoftDoes to organizations looking for a development partner capable of improving operational efficiency through well-structured automation and custom-built systems.

Are there any areas for improvement or something SoftDoes could have done differently?

The testing phase probably could have involved our field staff a bit earlier in the process.

OPPORTUNITY / CHALLENGE

What specific goals or objectives did you hire SoftDoes to accomplish?

• Our team had reached a point where operational coordination was becoming harder to manage than the actual project work itself. For a long time, we handled most of it through a combination of spreadsheets, shared drives, and separate communication tools. It wasn’t completely broken, but it definitely wasn’t efficient anymore. What we needed was a custom system that could simplify operational workflows, reduce repetitive admin work, and give our team a more structured way to manage projects from intake to final delivery.

How many teammates from SoftDoes were assigned to this project?

Describe the scope of work in detail. Please include a summary of key deliverables.

One of the main issues before the project was fragmentation. Different teams were working across separate systems, which created delays, duplicated updates, and confusion around the latest project status. SoftDoes reorganized that entire process into a single workflow environment. The platform included project tracking dashboards, approval flows, file organization logic, automated notifications, and a centralized system for handling updates between teams and clients. They also integrated several external tools we were already using so the transition wouldn’t disrupt existing operations too heavily. That part was honestly more important than we expected because it made adoption inside the team much smoother. Another thing worth mentioning is that the system never felt overly “corporate.” It stayed lightweight enough for daily use while still solving the operational problems we originally had.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Projects moved through approval stages faster, and our team spent noticeably less time manually checking statuses or following up internally. We also reduced the number of missed updates and versioning issues, which had been an ongoing frustration before the platform was introduced. From an operational standpoint, it simply became easier to keep multiple active projects moving at the same time without things slipping through the cracks.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes was responsive, easy to communicate with, and generally good at adapting when priorities shifted. In our environment, requirements can change fairly quickly depending on client feedback, and they handled those adjustments without turning every small change into a major process discussion.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

What stood out to me was how quickly they understood the operational side of the business. We didn’t spend weeks overexplaining how projects move internally or where bottlenecks usually happen. Their team picked up on those patterns pretty fast and built the system around how people actually work rather than how workflows look in theory.

Are there any areas for improvement or something SoftDoes could have done differently?

Everything was delivered as expected.

How many teammates from SoftDoes were assigned to this project?

2-5 Employees

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes designed and built a centralized internal platform for managing our real estate-related workflows. Before that, we were juggling project updates, approvals, listing changes, and client coordination across multiple disconnected tools, which created constant friction. They reworked the entire flow: from how projects are created to how tasks move between teams. One of the key deliverables was a custom dashboard that gives us a real-time view of project status, dependencies, and potential bottlenecks across multiple client accounts.

They also introduced automation into several recurring processes: things like status updates, internal notifications, and handoffs between teams. A lot of what used to require manual coordination now happens automatically in the background, which made a big difference given the volume we deal with.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Time spent on project coordination dropped by around 30-40%, which is significant when you’re managing multiple real estate clients and ongoing updates at the same time. We also reduced errors, especially missed updates or duplicated tasks across listings and campaigns. Another big improvement was visibility. It’s much easier now to identify delays early and adjust before they turn into larger issues affecting client delivery.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Project management felt practical and easy to work with, not overly rigid. We had regular check-ins, and the SoftDoes team was responsive whenever priorities shifted, which happens often when working with multiple real estate clients and fast-moving updates. They were flexible in adjusting scope while still keeping things moving forward.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

What stood out to me is that SoftDoes thinks through the operational side of things. There were several moments where they challenged our initial approach and purposed alternatives that ended up working better, especially around how workflows are structured and automated. It felt less like handing off tasks and more like working with a partner who understands how these processes actually function at scale. We’d absolutely recommend SoftDoes as a reliable partner for building and scaling workflow-driven systems, especially when SoftDoes? the goal is to reduce operational complexity and get real, measurable results.

Are there any areas for improvement or something SoftDoes could have done differently?

No, we were satisfied with all aspects of this project.

Describe the scope of work in detail. Please include a summary of key deliverables.

SoftDoes designed and implemented a centralized platform to support oversight of infrastructure projects across different regions and teams. The system consolidates data from multiple sources and provides a unified view of project status, contractor activity, and key milestones. One of the core deliverables was a dashboard that allows our teams to monitor progress in near real time, rather than relying on delayed or manually compiled reports.

Another important component was the automation of reporting workflows. Previously, a significant amount of time was spent collecting, formatting, and validating updates. The new system streamlines this process by automatically aggregating data and generating structured reports. In addition, SoftDoes introduced mechanisms for identifying potential delays or inconsistencies, allowing teams to act earlier rather than reacting after issues escalate.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

We’ve seen a noticeable reduction in the time required for reporting, in some cases by around 30%. More importantly, the quality and consistency of information improved. Teams now work from the same data set, which has reduced discrepancies and the need for follow-up clarification. We’ve also been able to identify potential delays earlier in the process, which helps with planning and resource allocation.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

SoftDoes maintained a structured but flexible approach to project management. They adhered to agreed timelines in most cases and communicated clearly when adjustments were required. They were also receptive to feedback and able to incorporate changes without disrupting overall progress.

What was your primary form of communication with SoftDoes?

What did you find most impressive or unique about this company?

What stood out was their ability to work within a complex operational environment. They took the time to understand how our processes actually function, including constraints that are typical for public sector projects, and adjusted their approach accordingly. That level of alignment is not always easy to achieve.

Are there any areas for improvement or something SoftDoes could have done differently?

At the earlier stages, additional documentation around system architecture would have been helpful for internal alignment. That said, this improved as the project progressed.
