SoftDoes built a private web platform for our team. Each client has their own profile with notes, documents, deadlines, completed work, upcoming tasks, and a full history of communication. We can assign things internally, set reminders, upload files, and see immediately what still needs attention. They also added templates for some of the things we do repeatedly. That sounds fairly minor, but it saves a lot of time. We used to copy an old document or spreadsheet, clean it up, and start again. Now the basic structure is already there. There is also a client-facing area where documents can be shared securely and updates can be viewed without sending another email.

We checked this after we'd been using the platform for about two months. Our team was spending roughly 30% less time on administrative work, and preparing a new client file went from around 40 minutes to 15–20 minutes. We also cut the number of internal follow-up emails by about 35%. People can usually find the latest note, document, or status themselves now. For a small team, getting those hours back every week has made a real difference.

The platform has significantly improved our day-to-day operations. We’ve reduced the time spent on manual administrative tasks by around 35%, and information that was previously spread across multiple tools has become centralized in one system. This has improved collaboration between our teams, reduced data duplication, and made reporting much faster.
We’ve also seen a noticeable decrease in response times for maintenance requests and have been able to onboard new properties more efficiently thanks to the standardized workflows SoftDoes has implemented. Before the new platform, responding to maintenance requests often took one to two business days because information was shared across multiple tools and emails.
After implementation, the average initial response time dropped to within the same business day, improving by roughly 40%. We’ve also reduced the onboarding time for new properties from about three days to one day by standardizing document collection, approval workflows, and property setup within a single system. These improvements have helped our operations team work much more efficiently and consistently.
Moreover, we’ve seen a noticeable reduction in administrative errors because all property and tenant information is centralized in one platform instead of being managed across spreadsheets and emails. Internal reporting has become much faster, saving our operations team several hours each week.
