An entrepreneur support platform hired Capital Numbers to build a customized talent management software. They were responsible for creating the platform's features and UX design and supporting its launch.
The client was initially unsatisfied with Capital Numbers' management changes, which caused delays in the project. Nevertheless, when they reached out to the vendor, the team listened and understood their perspective. Their concerns were addressed, and any discrepancies in the billing were resolved.
A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
BACKGROUND
Introduce your business and what you do there.
I am the CEO of the company.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Capital Numbers?
We hired Capital Numbers to develop a custom talent management software end-to-end. We wanted to create a platform that would allow hiring, payments, and employee management to be handled under one roof.
SOLUTION
What was the scope of their involvement?
Capital Numbers was responsible for the development of the software end-to-end. From the conception and creation of the features and functionalities, to the design and user experience, to the delivery and launch of the platform.
What is the team dynamic?
CapitalNumbers assigned a project manager, as well as several developers to ensure successful completion of the project.
How did you come to work with Capital Numbers?
We found them by researching software development agencies online and looking for a reputable agency with good reviews.
How much have you invested with them?
We have invested over $40k thus far towards the development of the project.
What is the status of this engagement?
We are nearing completion, and are in the final stages of quality testing before successful launch of the platform.
RESULTS & FEEDBACK
How did your relationship with the vendor evolve?
Initially, we were unsatisfied as the project had been delayed many times. The delays were caused by changes in the project manager responsible for our project as he moved to another company, and with new project managers in place that weren’t aware of the scope of the project and what was promised from their previous colleagues, there was confusion about the features and functionalities included, which caused us to be billed for work that was supposed to be included in our initial quotation for the work.
However, upon reaching out to the management team, they have worked with us to resolve the issue and fix any discrepancies in the billing. They have also went above and beyond to ensure we were satisfied with the resolution and were given work according to our expectations.
How did Capital Numbers address the challenges that arose?
They reached out to understand our perspective and where our disagreements stemmed from, and did everything in their power to resolve the matter and provide us with a satisfactory resolution.
Describe the impact this engagement has had on your business.
Through working with CapitalNumbers’ management team to resolve any issues that arose during development, we are satisfied with the work and with having them as partners for our software development needs.
How was project management handled?
There were disagreements that stemmed from having 3 different project managers throughout the course of our project who each had a different style of management, however CapitalNumbers did their best to resolve the issues that arose and ensure we were satisfied with the end result.
Is there anything that the vendor did well or that you would consider a strength?
The vendor did their best to reach out when any confusion or dispute arose and listen to our side of the story, and meet our expectations.
In what specific areas can they improve?
One area we think CapitalNumbers as well as all software development agencies can improve on is having more clarity around the scope, requirements, and functionalities of a project so that there is no confusion through the course of the process as to what was included and what wasn’t as part of agreement in the initial quote.
What advice do you have for clients with similar needs to yours?
My advice is before working with any agency, to ensure you have clarity on your needs, requirements, features, functionalities, design, and all aspects of your project so you can refer back to them if any disagreements happen between you and your service provider.

Project summary
Capital Numbers was hired by an entrepreneur support platform to develop customized talent management software. They initially agreed on designing and developing the main features of the software.
Feedback summary
Capital Numbers demanded extra charges for features that were already included in the proposal, but the client disagreed, and this resulted in additional fees for anything that wasn't explicitly mentioned in the proposal — no matter how logical. Overall, the engagement displeased the client.
BACKGROUND
Please describe your company and your position there.
I am the CEO of the company.
OPPORTUNITY / CHALLENGE
For what projects/services did your company hire Capital Numbers, and what were your goals?
We hired Capital Numbers to develop a custom talent management software end-to-end. We wanted to create a platform that would allow hiring, payments, and employee management to be handled under one roof.
SOLUTION
How did you select this vendor and what were the deciding factors?
We found them by researching software development agencies online.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
They provided an initial proposal for the project which included the main features of the software we would develop and what was required. We then began working together on the project, however we ended up having to do most of the design and feature builds, despite it being something they were responsible for.
How many people from the vendor's team worked with you, and what were their positions?
About 4-5 people.
RESULTS & FEEDBACK
Can you share any measurable outcomes of the project or general feedback about the deliverables?
The project has been delayed many times so far, and we have repeatedly been asked by Capital Numbers to pay extra fees for features that were already included within the initial proposal, but that we did not map out in exact detail. This caused them to come back and submit additional charges for anything that wasn't explicitly mentioned in the proposal, even if it made logical sense, so please be very careful dealing with this agency.
Describe their project management style, including communication tools and timeliness.
The project manager's main role is to upsell you on services and squeeze more money out of you, which made the interactions very unpleasant.
What did you find most impressive or unique about this company?
Nothing.
Are there any areas for improvement or something they could have done differently?
They could honor their agreements when quoting a price for a full end-to-end software development project, and not try to squeeze clients for every penny by constantly upselling or charging for fixes in the software due to bugs caused by poor development in the first place.
