Initially, CIENCE Technologies provided us with new leads and entered them directly into our system. They also did email and follow-up phone calls to schedule appointments. We provided them with content and specific messaging for emails, as well as scripts for the phone calls.

We took over lead generation, and now provide CIENCe with those leads. They, in turn, contact the leads on our behalf to schedule appointments with one of our sales representatives.

What evidence can you share that demonstrates the impact of the engagement? 

CIENCE Technologies creates 1,000 touches per month compared to the 40 touches per month that we can produce internally. This is why we continued the relationship even after we took over lead generation ourselves. They drive a 15% response rate, which is pretty high. 

Having their team take the scheduling portion of the work off our shoulders adds a lot of value, and helps us reach our goals.

How did CIENCE Technologies perform from a project management standpoint?

In the beginning, it was challenging for them to generate leads. However, they’re extremely good at executing outreach to the leads we provide. We communicate via Slack and use Google Docs for reporting. They upload into our Salesforce, as well, but they don’t do any CMS work, so negative responses are only included in the Excel spreadsheets.

What did you find most impressive about them?

They haven’t hesitated to accommodate our needs. They don’t typically do lead outreach but since making this shift, they’ve been excited to help us achieve our goals in this way.

Are there any areas they could improve?

I think that having a strategist on the team rather than content writers would be beneficial for this type of project. The hardest part for me has been that the content writers we were assigned to work with didn’t understand our product. They were content writers, not technical writers, and that made it difficult to get our content and scripts where they needed to be. We’ve ended up writing the scripts and content for them, and that works much better.

Do you have any advice for potential customers?

Utilizing this team is worth the value if you know who you want to target and have a database you haven’t been able to reach out to yet via phone calls. Make sure you have an internal process in place for following up with leads once CIENCE has made the appointment.

We needed their team’s call center services.

What was the scope of their involvement?

We signed a 90-day collaborative trial contract with CIENCE Technologies, which was built around testing the efficacy of their business development team. We went through a data enrichment process to put together a data set and a robust workflow process that they could use during the next phase, which was our outreach marketing campaign.

During the outreach phase, we assigned 10 of their resources to contact potential clients via call, email, and social media — our target market consisted of different property owners that met the criteria set by our sales team. Once CIENCE Technologies succeeded in getting in touch with them, our goal was to have them set an appointment with our sales team for further negotiation.

Our main point of contact is Melanie (Team Lead & Account Manager). We also communicate regularly with Oksana (Data Researcher), and work with 10 business development representatives, along with two of their managers and a data services manager.

CIENCE Technologies was onboarded before I started working for my company, so I wasn’t part of that decision-making process. However, it’s clear to me that one of the reasons why our company continues to rely on their services is their service level that fairly justifies their pricing.

We’ve spent $200,00 for the first 90-day contract, and another $86,000 for the newly renewed contract.

What is the status of this engagement?

We started in March 2021. Our first contract has just expired, so we’ve recently renewed another 90-day contract with CIENCE Technologies.

What evidence can you share that demonstrates the impact of the engagement?

We originally set a program goal of having CIENCE Technologies generate a total of 180 appointments for us. That alone would’ve been a success metric for us, but their team has exceeded our expectations by setting over 210 appointments. More importantly, these appointments were of high quality, so we’re extremely impressed with the opportunities that their team has set up for us. 

While our product has quite a long selling cycle, we’re confident to move forward with the numbers that CIENCE Technologies delivered. We’re now in the process of moving down the pipeline and tackling contract negotiations before the final contract signing phase.

How did CIENCE Technologies perform from a project management standpoint?

We communicate via email, Slack, and phone calls. CIENCE Technologies is an excellent team in terms of project management. They quickly implement any solutions and adjustments that are forwarded by our team. As project managers, we’re very impressed and satisfied with their responsiveness.

Are there any areas they could improve?

Their call team can use more sales training to refine their skills and help them overcome objections.

Do you have any advice for potential customers?

Hire CIENCE Technologies — they’re a great team to work with. It would also help to provide their callers with specific instructions and scripts to make the most of their services.

CIENCE Technologies designed a multifaceted campaign that dealt with our call center services, email marketing, and LinkedIn messaging and connections. 

We cooperated with our marketing and messaging teams, and they researched businesses within the geographic areas where our services were offered. CIENCE Technologies then worked on customizing their marketing efforts to target those areas in generating campaigns and appointments.

We kicked off our collaboration with their team in February 2021 and concluded at the end of May of the same year.

We’re very satisfied with the results that CIENCE Technologies delivered. While we would’ve benefited more from a prolonged engagement due to our narrow scope of target, their team was able to make do with that geographic information and provided us with an exceptionally maximized presence.

How did CIENCE Technologies perform from a project management standpoint?

CIENCE Technologies’ communication skills were spot-on throughout the partnership — we definitely got what we paid for in that aspect. Their team managed to pool more resources and optimize the entire process to adapt to the geographic challenges they met.  They did everything in their power to meet our expectations despite those hurdles, and we truly respected that level of professionalism.

What did you find most impressive about them?

We were most impressed with their high-quality deliverables. They swore by a structured and disciplined approach to consistently provide us with positive results, and that for me was exciting to witness.

Are there any areas they could improve?

They could work on scoping the project more thoroughly to understand the customer’s needs and the amount of time it would take to deliver those. If they could close that research gap and reach out to their partner for any potential hindrances, a huge opportunity would await them in this industry.

First of all, don’t hesitate to hire CIENCE Technologies. Secondly, be sure to prepare for the onboarding process and address everything you want out of the engagement from the get-go.

I am the director of engineering services of an IoT professional services company. We provide engineering services to IoT-specific manufacturers and the consumer. I am responsible for getting new leads for our company in the US market.

We needed to generate new leads. We had been fairly successful in India, and we were expanding in the US. We did not have as many referrals as we wanted and did not have enough of a customer base; we wanted to increase our leads and our revenue generation.

What was the scope of their involvement?

From our perspective, CIENCE Technologies does two things; first, they research companies that may be relevant to us by defining an ideal customer profile. Then, they get a list of companies that we can potentially target.

They also help us with the messaging to let companies know about our services. Afterward, they do the final omnichannel outreach, meaning that they do email, calling, as well as LinkedIn and other social media sources to contact the customers on our behalf.

What is the team composition?

Our main points of contact are the project manager one other person. They are project leaders, and they help organize the project for us. We have also worked with their CMO.

How did you come to work with CIENCE Technologies?

We started looking at a lot of companies in the space that could help us generate leads. After a vetting process of about 2–3 months, we finally selected CIENCE in part because of their Clutch reviews, as well as their processes.

What is the status of this engagement?

The partnership began in November 2019, and it will be completed as of May 2021.

What evidence can you share that demonstrates the impact of the engagement?

From a metrics perspective, it is mixed results for us; I wouldn’t necessarily fault CIENCE for this. From a normal product sales perspective, they have been pretty good over the course because they also adjusted to what we have asked them to do. There were always issues with a person here and there, but they were quick to resolve the situation by either replacing them or training them better.

From an overall metrics perspective, it’s a mixed result because of the cost. For us, the ROI probably was approaching a certain limit. We spent about a year and a half doing this and we see that the results are getting plateaued.

How did CIENCE Technologies perform from a project management standpoint?

They have a set of project management tools. We communicate via Slack and scheduled meetings as well.

What did you find most impressive about them?

The process is very smooth compared to what I have seen with other vendors. Escalations are pretty rare and low.

Are there any areas they could improve?

They can probably have a faster turnaround time on their marketing advice. They probably also need a senior director or a similar position on the project. A quarterly report to the executive team on the consumer side would be useful to let us know what’s happening. Not all of them understand the marketing space, and they could help make us understand a little bit better.

Do you have any advice for potential customers?

You can’t assume that it’s a hands-off experience. CIENCE can only help as long as they have good information on what you expect out of them or the domain that you are in. You need to be prepared to make sure that you provide the information to them.

I’m the senior manager of marketing operations at a cybersecurity company. We do endpoint management and packing.

What challenge were you trying to address with CIENCE Technologies?

We had a lot of success from an inbound marketing perspective. We’ve been going through scaling and growth challenges. We needed to assess whether the volume of inbound leads we were receiving was high quality. We also wanted to figure out if we needed an SDR team in-house.

SOLUTION

What was the scope of their involvement?

CIENCE Technologies did inbound and outbound lead generation campaigns for us that qualified leads. From an outbound perspective, we came up with a strategy for how we would reach out to certain prospect segments. The CIENCE team helped us get meetings set for our account executives.

What is the team composition?

We worked with business development representatives (BDRs), lead researchers, and SDR callers. There were six people in total.

How did you come to work with CIENCE Technologies?

We did research on different review sites. We also had calls with vendors that offered similar support. We found that CIENCE offered more than the other providers without requiring us to sign up for an entire year. We also liked how we got campaign support in addition to a caller.

We spent $30,000.

What is the status of this engagement?

We signed one with them in August 2020, and we wrapped up in March 2020 because we were able to bring some BDRs in-house.

What evidence can you share that demonstrates the impact of the engagement? 

They were able to set 13 meetings for our inbound and outbound campaigns. We saw that as a success, given the kinds of campaigns they were running. We have two deals in our pipeline now that total about $35,000.

How did CIENCE Technologies perform from a project management standpoint?

Communication was a bit rough at the start. Once we got an account manager assigned to us, communication got a lot better. We used Google Data Studio to set up full reports. The team was really flexible about using our internal sales tools so that we could make sure we were tracking properly. We got weekly updates, and the team was super responsive to emails.

What did you find most impressive about them?

The flexibility and the range that they offer stand out. Having marketers that understand how to run campaigns was huge for us as a startup. CIENCE Technologies really took the lead and provided as we needed. They were definitely cost-effective.

Are there any areas they could improve?

They could take the lead more from the start. That being said, the organization definitely improved once we had an account manager.

Do you have any advice for potential customers?

My advice is to have a dedicated person internally that has the bandwidth to manage the project. Have a good idea of your segments, and what you’re trying to achieve can help kick things off faster, too.

We were trying to generate business leads for independent insurance agents to sell and distribute to.

SOLUTION

What was the scope of their involvement?

They would send out emails and follow up with phone calls to generate interest. They’d then try to schedule an appointment to talk with me so that I could make the sales pitch and try to move the prospect to close and sign a distribution agreement. We provided them a list of independent insurance agents and they’d go and set up waves of emails.

What is the team composition?

We started off with a sales manager, and now we have an account manager. We also have a team lead.

How did you come to work with CIENCE Technologies?

A colleague of mine found them and I had a couple of discussions with them. I liked their approach to marketing and the price was good.

We worked together from October 2020 until April 2021.

What evidence can you share that demonstrates the impact of the engagement?

We had a goal to get 3–5 appointments a week, and for the most part, we did. We had really in-depth conversations for about 60% of those appointments, and we then closed on about 60% of those conversations. In total, we had about 30% of all appointments sign up.

Unfortunately, we haven’t seen much production from the distributors who have signed up, so we’re pausing to reevaluate our options as we’ve had a negative return on investment.

How did CIENCE Technologies perform from a project management standpoint?

We had weekly reports and biweekly meetings.

What did you find most impressive about them?

They followed their process well. They’re very organized and kept excellent records.

Are there any areas they could improve?

They never fully understood our product and what we offered. Some people would email us to get a better understanding of what our product was before they committed to talking to us. They didn’t have the knowledge to answer those questions. I wound up taking those questions and giving them responses. They did tell us at the beginning that they’ve never tackled a product like ours.

Do you have any advice for potential customers?

Be really involved. I was much more involved than their typical client. I found that to be helpful because there were some missed opportunities. Train them as much as possible. I also think our product wasn’t right for this project.

I’m the COO of a pathogen elimination company. We have an air purification system that works within the HVAC ducts and continuously distributes negative ions throughout the entire environment along with regulating and monitoring those ions so that it kills any pathogens, odors, and viruses, and then eliminates them to 99.94%.

What challenge were you trying to address with CIENCE Technologies?

We needed additional assistance in getting in front of a majority of the HVAC companies within the market throughout the US. Essentially, we needed dealers and set up clients to be able to call these individuals directly. These dealers would set up appointments for us so we can go ahead and create the sales aspect or dealership we need for the distribution of our product line.

SOLUTION

What was the scope of their involvement?

CIENCE Technologies is mainly providing call center services. They send out emails directly and blindly to all the HVAC companies. Then, they contact these individuals, specifically upper-echelon employees like presidents, CEOS, and general managers — the decision-makers — who can make the call on whether or not to carry our product.

Their team did the research on finding out who the best person to call at these organizations were. We provided the technical information for them to go ahead and have an intelligent conversation with these individuals. The objective is that these conversations turn into appointments for us. These appointments are then distributed to our sales team and CTO who can answer any technical questions they may not be able to answer.

Initially, we worked together on a document that we follow on a day-to-day basis. we provided CIENCE Technologies with that information, and they created the script. I reviewed and approved the script. From there, they took on the responsibility to make those phone calls directly.

What is the team composition?

We worked with seven individuals of their sales team who were both account managers and support staff before the launch of the project. Right now, we deal with 4–5 individuals.

How did you come to work with CIENCE Technologies?

We found them through a service that was an affiliate of ours. Through that chain, we called them and started discussions. They fit a perfect need for us in contacting efforts and being our sales arm. Additionally, they were a great fit from a cost perspective. We’re a small and growing company; we don’t have a very large staff.

How much have you invested with them?

We’ve invested approximately $35,000 to date.

What is the status of this engagement?

Our ongoing engagement started around December 2020.

What evidence can you share that demonstrates the impact of the engagement?

Everything is going fantastic. They’ve provided us with approximately 77 meetings to this point. The response has been astronomical. Our email open rate has been 28%. It’s been unbelievable as has the follow-up from them afterward. CIENCE Technologies is making these phone calls after they send the emails.

This spearheads the leads to look into the email specifically which then gives us a better open rate. We’re extremely happy with the amount of response we’re getting in that respect. We’re also getting an immediate response when CIENCE Technologies calls them on the phone and talks about what we have to offer.

We have a lot of interest and have closed a couple of deals because of their assistance in getting connected with the right individuals. Our team has a myriad of individuals who are currently testing our product line inside their own facilities right now. We expect them to become dealers in short order. Our team anticipates that we’re going to continue this program right now. It’s paying off in dividends at this point so we’re happy with the structure we’ve set up.

How did CIENCE Technologies perform from a project management standpoint?

Every two weeks, I have a meeting with them where they provide the progress of what has been going on the last couple of weeks, making changes to our pitches, and providing them with more technical information. During these meetings, we also review all the metrics from the last two weeks.

We have the ability to look up and pull reports as well as view the call logs to find out what they’re saying to these individuals during the conversations. They record these conversations, so we can also listen to them and customize our answers to the questions they ask specifically to help our customer service reps reply better. It’s an educational process on both sides.

Are there any areas they could improve?

Because we’re such a technical company with such a difficult technology to learn and understand, it’s difficult for laymen to understand the science that goes into it. From a technical aspect, they’ve done an admirable job with the information we’ve provided them.

However, it’s extremely difficult for them to answer specific scientific questions that may come up in certain conversations. Overall, they’re doing a good job in getting these leads and setting up meetings so we can answer the difficult scientific questions.

Do you have any advice for potential customers?

Follow their lead. CIENCE Technologies has done a great job of putting a complete program together. You get out of it what you put into it. If you provide them with little information, you’re going to get less of a response. The more information about your program, the better the response they’ll be able to give you. It’s all about communication. Make sure to keep up the communication between your teams.

The entirety of our business is the partner channel we’re trying to build throughout North America, and we engaged CIENCE to help us do that by running a campaign.

SOLUTION

What was the scope of their involvement?

CIENCE finds stakeholders at technology systems integrators with the appropriate expertise in industrial IoT and networking. CIENCE books meetings for us with those stakeholders so that we can explore potential business partnerships. 

They’ve presented us with quite a bit of information, which is supported by our own previous experiences in business development: metrics, approaches, and methodologies. They engage with some of the business practices we’ve come to expect of anyone working in the business development industry.

What is the team composition?

I’ve worked with quite a few of them. We had initial conversations with their sales team, and Tetiana (Research Team Lead) has been our project manager on an ongoing basis. She helps organize and keep things on track. I collaborated with another member to set up the messaging. 

I’ve also gone back and forth quite a bit with one of their researchers to make sure that the prospects we engage match the profiles we set up. I talk to the business development representatives if they have questions about the outreach.

How did you come to work with CIENCE Technologies?

Our VP of global sales found them. The two of us had been working together for a long time and were very much aligned on the business development practices we wanted to engage versus avoid. We wanted to approach this as a reputable and measurable process from beginning to end. 

Our experience was that a lot of people in the industry talked about sales in very ephemeral terms. CIENCE made a point of really driving home that they had a documented process backed up by data, and they were happy to share some of their success stories.

As we looked at their process, we found that it mirrored the practices we engaged in. The deciding factor for us was that CIENCE had a well-documented and research-backed process that aligned with best practices in our field.

We started working with CIENCE in November or December 2020, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement?

The key metric is the partners that we’re able to onboard. The reality is that this is a long process, and we’re still looking at early indicators. However, CIENCE has been able to find stakeholders with the right titles at appropriate companies to have introductory conversations with us.

They’ve found us a number of good leads, which is entirely the point of this engagement. Over time, some of those leads will evolve into functional partnerships, but we have a long lead time.

How did CIENCE Technologies perform from a project management standpoint?

They have a process, and they stick to it. We have regular calls to manage the engagement. CIENCE has been prompt and on top of everything. If anything, I’ve lagged a bit on some of the follow-up that I have to do, but CIENCE is effective at communicating. Most of my communication is with Tetiana and her colleague in charge of research. We use Slack.

We’re a very niche market, so this engagement has been a bit of a challenge, both for us and CIENCE. They’ve worked collaboratively with us. We regularly engage in conversation with them to help adjust the strategy and ensure the proper fit of the prospects being engaged. They’ve been very responsive to that.

What did you find most impressive about them?

CIENCE tracks all metrics. They track metrics by channel, look at positive and negative response rates, and benchmark things against what they’ve seen in the past and what their research indicates as being standard in the industry. They manage expectations well, and they seem to be delivering on the process they initially agreed to.

Are there any areas they could improve?

It’s hard to say because the nature of the work is difficult to quantify. This engagement isn’t about checking boxes; rather, it’s a matter of process and methodology.

If I were to have a criticism of them, it would be that certain aspects of how they approach messaging and outreach are different than how I’d do it personally. That’s not to say that it’s better or worse — in fact, their approach might be better. They seem to focus quite a bit on data and outcomes. At the end of the day, they are booking meetings, and some of those might actually lead to great partnerships.

Do you have any advice for future clients of theirs?

I recommend paying attention to the metrics and looking at what the industry standards are. If the client doesn’t know them, CIENCE will happily share them. They might have a bad week or month, but they don’t try to cover anything up.
 
Clients should take advantage of how CIENCE structures the process. They should also be very involved with CIENCE and ensure that the verbiage used for outreach lines up with the organization. That’s something we needed to spend a bit of time on, especially since we’re in a bit of an odd situation that’s different from the clients that CIENCE usually works with. However, they’ve been very adaptive and receptive, and I’d encourage anyone working with them to actually collaborate and pay attention to the details.

I’m the general manager for the Americas at VeChain, a provider of enterprise blockchain software and traceability software.

We were relatively new to the North American market and were looking to expand in the US. We were trying to scale our outbound sales operations without having to make a huge investment in hiring, developing, and training an internal team. We hired CIENCE Technologies to help us generate leads.

What was the scope of their involvement?

They conducted market research and delivered a curated list of contacts who fit our target audience. From there, they led an outreach campaign for us.

Then they created content for social media, emails, and landing pages. They also wrote phone scripts for their outbound callers. Then they executed the campaign by reaching out directly to our target audience.

We worked with 15 people in a variety of roles, including campaign strategists, researchers, project managers, outbound phone callers, and account representatives.

I searched on Google for outbound sales companies and came across their website. I was very impressed with the way their site outlined their services and value proposition.

I scheduled a follow-up call and met with one of their sales representatives. I was really impressed with how they handled the sales process. They were professional and communicated well, so I knew they would handle sales effectively for my company.

What evidence can you share that demonstrates the impact of the engagement? 

Their methods have been very successful. We have a very high open rate on our emails and many people have scheduled appointments. Since we’re able to reach more people, we’ve signed more deals as well. By partnering with CIENCE Technologies, we were able to scale our outbound sales efforts very rapidly.

How did CIENCE Technologies perform from a project management standpoint?

I have been very happy with how quickly they work. If anything, we have to work hard to keep up with them. They’re very efficient and it’s clear that they follow a defined process. They have a lot of specialists that are very good at what they do.

Once we signed the agreement, we set up a Slack channel so we could communicate with the team on a daily basis. We also use Google Docs for information sharing and a Google-based data dashboard that they use to share with us the success of the campaigns.

We also really enjoyed working with our project manager. Overall, it was a great experience.

What did you find most impressive about them?

I was very impressed by their professionalism. They have a clearly defined process to ensure that they follow through on their deliverables. They also have very good people skills and they interact with clients very well. They’ve earned my trust and respect; I have the utmost confidence in them.

Are there any areas they could improve?

They move very quickly because their process is so well-defined, and there was one instance when they began working on one aspect of the campaign that I would have liked to have been more involved in. It was a minor issue, but they could communicate their steps to us a little better. Overall, I’ve been very happy with them.

Do you have any advice for potential customers?

To get the most out of the engagement, new clients should be prepared to dedicate the time and resources to completing the onboarding assignments. When we first started working with CIENCE Technologies, they gave us several pieces of homework related to our messaging, products, unique selling proposition, and target market.

We found that we weren’t thinking about our business in the way we needed to for our outbound sales campaign to be effective. Clients that can focus on completing the exercises well will get a better return from their investment.

I’m the corporate sales director for a beekeeping service.

What challenge were you trying to address with CIENCE Technologies?

Our offering is brand new, and as companies move forward with their sustainability efforts, we’re one small component to that. Since many companies aren’t aware of our services or how they can help their businesses, we needed lead generation support.

What was the scope of their involvement?

CIENCE assists us with getting appointments with clients. We work together with the team to develop the profiles of our ideal customers. From there, they use their services and technology to schedule appointments with us with representatives from companies who fit the profile.

What is the team composition?

We have an account manager and two people on the research side. For the appointment-setting services, we work with another person, for a total of four contacts.

How did you come to work with CIENCE Technologies?

One of our marketing teammates did a lot of research, and we looked together at all the different available options. We made a list of several companies, listened to their presentation, and met as a group to decide which group would be the best fit for us. 

We took the final 20, narrowed it down to three, and in the end, selected CIENCE.

How much have you invested with them?

We’ve spent approximately $47,000.

What is the status of this engagement?

We’ve been working together since March 2020.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

The quality of their work is very good. To date, we’ve signed contracts equaling 3,880, with verbal commitments for an additional 13,000. In the pipeline, we have 75% in terms of stage at 30,000, and at 50%, another 50,000.

How did CIENCE Technologies perform from a project management standpoint?

CIENCE is an excellent team. At the beginning of the project, we met once a week. Now we meet every other week. During those meetings, we review what we’ve been working on since our last meeting, and see if there are any tweaks that need to be made and go over general feedback. They’re very responsive.

In terms of tools, we use Slack, Google Sheets, and email. We also established it so that CIENCE could put data in Salesforce and Calendly.

What did you find most impressive about them?

It’s a high-touch partnership. Their services are very personal. On several occasions, we’ve heard comments from people who are impressed with our ability to get in touch with them. We’ve even had people ask who we’re using, because they want CIENCE’s services as well. 

We’ve had prospects who’d never even heard our name, but by the time I met with them, they’d already had multiple, pleasant communications with the CIENCE team.

Are there any areas they could improve?

They were always very open to the details we wanted implemented and accepting of how we wanted to be represented.

Do you have any advice for potential customers?

If you’re a small company like we are, and it’s a big deal to come up with a budget to do something like this, put the time in so that you really understand what you want to communicate and how you want to communicate it.
