The solution involves the design and implementation of a scalable multi-tenant microservices architecture, supported by a centralized Rules and Formats Engine that enables dynamic format mapping, protocol adaptation, and seamless handling of regulatory updates. It includes a robust Accounts Receivable module covering invoice generation, validation, digital signing/sealing, and multi-channel dispatch via Peppol, national portals, and EDI, alongside an Accounts Payable module for efficient incoming invoice collection, normalization, data enrichment, and ERP export. The platform is further strengthened by API layers for native integration with ERP and CRM systems, a real-time monitoring dashboard with end-to-end traceability, and a secure foundation for compliant digital archiving and data protection.

The project successfully delivered a working foundation for the eInvoicing Hub, enabling centralized management of invoicing flows with demonstrated compliance adaptations for multiple countries. We achieved functional automation of key invoice validation and transmission processes. This laid a strong technical base that reduced our internal development burden and accelerated our go-to-market timeline for the enterprise solution.

How did they respond to needs? Promatics followed an Agile methodology with bi-weekly sprints and regular demos. Communication was clear via Jira, Slack, and scheduled calls. They generally delivered most sprint items on time, with good transparency on any blockers. When we had urgent requirement changes (e.g., additional country-specific format support or integration tweaks), the team responded quickly and reprioritized effectively without major disruptions. Overall, their project management was professional and collaborative.

Their team has shown strong technical competence in building complex, rules-based systems and handling intricate data transformations. While the delivery was solid, we occasionally experienced minor delays in documentation updates and would have appreciated slightly deeper domain expertise in international e-invoicing regulations upfront (we had to provide more guidance in that area). Earlier involvement of their QA team in edge-case testing for multi-country scenarios could have surfaced certain issues sooner.

Instead of overlapping schedules or missed follow-ups, the system allowed us to assign tasks clearly and keep clients informed in real time.

Their project management approach was structured and transparent. We had regular weekly meetings, and progress was shared through a tracking system where we could review ongoing tasks and provide feedback. They maintained good momentum throughout the project timeline. When adjustments were needed, especially during the mobile app development phase — they were responsive and took time to explain the implications before proceeding. There were moments where timelines shifted slightly due to added features on our end, but they handled these changes professionally and kept communication clear. We always knew where things stood.

What stood out most was their ability to connect web, mobile, and internal systems into one cohesive solution. They don't just build separate tools; they create an ecosystem where everything works together. Their willingness to understand our business model and translate it into a functional product was particularly valuable.

If there’s one area they could refine, it would be spending more time early on mapping out mobile app user flows in detail. While the final product met our expectations, a deeper initial walkthrough of all user scenarios, especially on mobile could have reduced some back-and-forth during development. That said, they were always cooperative and open to feedback, so the process remained smooth overall.

What were the measurable outcomes from the project that demonstrate progress or success?

I had an extremely disappointing experience with Promatics Technologies, and I would strongly advise others to think carefully before working with them.

I was initially told my project would take around 10 weeks. In reality, after 7 months, I still did not have a functional website.

Throughout the process, I was contacted almost daily asking for feedback on the backend. As someone who is not a web developer, I found this incredibly overwhelming and stressful. I was essentially expected to guide technical decisions without having the expertise to do so, which should never be the client’s responsibility.

Despite making two payments, I completely lost confidence in their ability to deliver a working, bug-free website. After 7 months of ongoing issues, delays, and frustration, I made the difficult decision to walk away from the project entirely.

During this time, I also invested a significant amount of money into branding because they were unable to provide a professional standard of design, including logo and visual elements. On top of that, I dedicated a huge amount of personal time preparing my business for launch—time that has ultimately been wasted.

The stress caused by this experience has been overwhelming, and it has led me to step away from the business altogether. That is how severely this situation impacted me.

This was not a simple project, but I was assured multiple times that they had the capability to deliver it. Unfortunately, that was not the case. The team structure also felt very disjointed, with multiple junior developers working on different parts of the project and little to no clear communication between them.

Overall, this experience has been incredibly frustrating, costly, and damaging. I would not recommend this company.

Project management was poor throughout the entire process. I was initially quoted a 10-week timeline, however after 7 months the website was still not functional and far from launch-ready.

There was no clear structure or ownership of the project. Multiple developers appeared to be working on different areas at the same time, but there was very little communication or coordination between them, which led to repeated issues, inconsistencies, and delays.

I was contacted almost daily for feedback on backend functionality, which I found extremely overwhelming. As a non-technical client, I should not have been expected to guide or troubleshoot development decisions. Instead of feeling supported, I felt like I was managing parts of the project myself without the expertise to do so.

Deadlines were consistently missed, and there was a lack of clarity around progress and next steps. Overall, the process felt disorganised, stressful, and inefficient, and it did not give me confidence in their ability to deliver a finished product.

There are several areas where significant improvement is needed.

Firstly, clearer project management and accountability would have made a huge difference. There appeared to be no single point of responsibility, which resulted in poor communication, duplicated work, and ongoing delays.

Secondly, setting realistic expectations from the outset is essential. I was quoted a 10-week timeline, which was nowhere near accurate. A more honest assessment of the project scope and timeframe would have allowed me to plan my business accordingly.

The UX/UI design was also extremely poor. The overall look and feel lacked professionalism, and the user experience was not intuitive or user-friendly. This is a critical part of any website, and it did not meet an acceptable standard.

They also need to better support non-technical clients. I was repeatedly asked to provide feedback on technical backend elements, which I was not qualified to do. This added unnecessary stress and made the process far more difficult than it should have been.

Finally, greater attention to quality control and testing is needed before presenting work to clients. Much of what was delivered felt incomplete or not ready, which reduced my confidence in the overall process.

Overall, improved communication, realistic timelines, stronger leadership, better design standards, and a more client-focused approach would have significantly improved my experience.

The App was developed and built with changes from time to time. The team continued to help in many different ways. Their efforts were always excellent. The testing of the App was over and above what was expected. There are still only a few things left to do and I am confident the project will become all that was expected.

The team and management was excellent in responding to all our needs as the App was developed. Some delays occured but was quickly resolved. The management was always polite and very responsive to our desires and our plans.
