We needed to build a WhatsApp automation that connected with our reservation system to confirm appointments, offer add-on services, collect deposits, and conduct post-visit communications such as collecting reviews.

What was the scope of their involvement?

Lumitech developed a booking confirmation system that sent WhatsApp messages after a reservation was created in Mindbody. The system included appointment details and allowed us to confirm, reschedule, or cancel appointments. It also updated Mindbody automatically.
Moreover, the team created a deposit collection system that generated Stripe payment links where required, monitored payment status, sent reminders if a payment was unpaid, updated Mindbody after a payment, and canceled reservations if the payment deadline expired.
In addition, Lumitech built an appointment reminder system that sent messages 48 hours, 24 hours, and on the same day of the appointment. The messages included the date, time, service, therapist, address, and a Google Maps link. The system also had a reschedule option.
Furthermore, the team created a platform that supported targeted upsell offers based on booked services, previous visits, and customer history. The platform also supported post-visit communications, including thanking the customer, requesting a satisfaction rating, requesting a Google review from satisfied customers, and routing dissatisfied customers to private feedback.
Finally, the system supported rebooking, repeat booking reminders, win-back campaigns, birthday offers, membership reminders, and package balance reminders.

Lumitech was brought on as GoFetch’s development partner to take the platform from concept through design, development, launch, and ongoing iteration. The scope included building the mobile application and supporting backend infrastructure, developing our core social and community features, creating the administrative tools needed to manage the platform, and preparing the product for release on the App Store. Key deliverables have included user onboarding and profiles, matching and connection features for dating and friendship, messaging, event discovery and RSVPs, dog-friendly place discovery, pet profiles and health information, notifications, location-based functionality, content moderation and safety features, and an internal admin platform. Their work has also included UI/UX design and redesign, backend and API development, QA and testing, bug resolution, performance improvements, and ongoing feature development. Since launch, Lumitech has continued to work closely with us as an ongoing technical partner, using user feedback and product data to refine the experience, introduce new functionality, and ensure the platform can continue to scale as GoFetch grows.

Lumitech successfully took GoFetch from an early-stage concept to a fully developed and launched consumer mobile application. Since launch, the platform has attracted thousands of users, providing meaningful validation of both the product and the technical foundation they built. The team has successfully delivered multiple major product releases, expanded the platform’s functionality well beyond the initial MVP, and established the infrastructure necessary for us to continue introducing new features and entering new markets. They have also consistently incorporated real-world user feedback into product improvements, resolved technical issues quickly, and supported ongoing optimization following launch. One of the most meaningful outcomes has been our ability to move quickly as a startup. Lumitech has given us the technical flexibility to test ideas, learn from our community, and continuously evolve the product rather than being limited by the original build.

Lumitech’s project management has been one of the strongest aspects of our partnership. What has impressed me most about Lumitech is how genuinely invested they are in the product and the company behind it. They don’t approach the relationship as simply executing what I ask them to build—they think critically about the product, challenge ideas when appropriate, offer solutions, and care about creating the best possible experience for our users. As a founder, that level of ownership is incredibly valuable. They have taken the time to understand my vision for GoFetch and have remained patient, flexible, and highly responsive as that vision has evolved. I never feel as though I’m working with an external agency; they truly feel like an extension of my own team. Their combination of technical expertise, thoughtful communication, adaptability, and genuine care for the success of the product is what sets them apart for me.

Are there any areas for improvement or something Lumitech could have done differently?

There honestly isn’t anything significant I would have wanted Lumitech to do differently. Building an early-stage product is inherently iterative, and there have naturally been moments where priorities changed, timelines shifted, or we learned that something needed to be approached differently once it was in users’ hands. What has mattered most to me is how Lumitech has handled those moments—they are receptive to feedback, transparent in their communication, and quick to adapt. If anything, our experience has reinforced the importance of maintaining the very close and collaborative working relationship we’ve developed. They have consistently been willing to evolve alongside us, and I’ve been extremely happy with the partnership.

We needed a public site combined with a gated client area, where different client organisations see different content depending on what they're licensed for. 

Lumitech was engaged on a fixed-price contract structured across three milestones, worked against a written acceptance-criteria document we authored up front - 17 numbered criteria covering authentication, entitlements, the admin panel, data protection and session handling. 

Key deliverables: 

1. Public site - marketing and product pages, plus a contact form protected with Cloudflare Turnstile. 
2. Authentication - login built on Better Auth, with rate-limiting on failed attempts and configured session lifetimes and expiry behaviour. 
3. Per-company entitlements - each client organisation is granted access only to the regional content it is licensed for, enforced server-side so restricted content is never sent to the browser rather than merely hidden in the interface. 
4. Admin panel - restructured against eight further acceptance criteria covering navigation, a database-backed role model, audit logging of administrative actions, organisation and user management, an invite flow for onboarding new users, and password controls. 
5. Infrastructure - Cloudflare DNS, WWW-to-apex redirect rules, and deployment. 

Every criterion was verified in a live browser session before sign-off, including negative tests: confirming a user authenticated to one organisation could not reach another organisation's content by direct URL, and that repeated failed logins were throttled.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

All 17 acceptance criteria passed, verified in live browser testing rather than on the developer's word. Negative tests confirmed tenant isolation held; a user authenticated to one organisation could not reach another's content by direct URL, and that login rate-limiting triggered as specified. Financial figures, which previously shipped to any visitor's browser before login, no longer appear in the HTML or JS bundle for unauthenticated requests. All three milestones delivered and released.

Vitalii worked directly with us over Slack/Discord throughout, which kept the loop tight;  questions came the same day, and he asked them early rather than guessing and building the wrong thing. 

Onboarding was handled properly: he raised repo access, Cloudflare roles, email sender configuration and the account creation flow up front instead of discovering them mid-build. He was proactive on things we hadn't asked for. When our spec called for admin-visible passwords so support could help locked-out users, he pushed back and insisted passwords stay hashed, proposing admin-triggered reset instead. 

Milestones were delivered and released without chasing. Feedback was actioned quickly and correctly, and we never had to re-explain the same point twice. 

We have since put them on an ongoing hourly contract for maintenance and support, which is the clearest signal of how the project went.

What did you find most impressive or unique about this company?

They quoted honestly against reality rather than against what we wanted to hear. Their first estimate came in low, and after actually reading our codebase they revised it upward and explained why. 

Most agencies bid to win and rediscover the scope later as change requests. When we then pushed back on cost, they held the scope and applied a discount rather than quietly removing the security testing; which is the opposite of how that conversation normally goes. 

The same instinct showed up in the build. They argued against the auth stack we had specified and gave reasons, and they refused a requirement of ours that would have weakened password security, proposing a safer alternative instead. We were paying them to do what we asked; they treated us as if we were paying them to get it right.

Are there any areas for improvement or something Lumitech could have done differently?

The initial quote came in around a quarter of what the work actually cost once they had read the codebase, so the first serious number arrived later in the process than it should have. A shorter paid scoping step before quoting would have got us to a realistic figure faster. 

The other point is minor: early contact moved between a couple of people and included an automated reply assistant, so it took a few exchanges to establish who we would actually be working with. Once that was Vitalii directly, communication was excellent throughout.

An AI scoring engine that assesses users across three areas — behaviour, company knowledge and speech — and generates a scorecard highlighting individual strengths, such as confidence in speaking and composure under pressured questions. A gamified training system built around real UK companies, teaching users about the businesses and roles they are targeting. An automated notification system that alerts users when a target company posts a new role matching their training. A hiring-manager dashboard featuring a leaderboard of all candidates training for a given company, filterable by specific role, with access to individual candidate scorecards. User onboarding and account management to support launch readiness.

The Project delivered a fully functional platform ahead of launch. With several outcomes demonstrating early traction.

Built and shipped a working two sided platform.

Currently in the process of working alongside universities and colleges for there students to become users and begin climbing the career mountain.

Delivered a bespoke scoring card for each user who are on our summit plan.

Overall a working app that is gaining more atttraction as the days go by.

Climber Mountain has been a ongoing process but once i started working with Lumitech the level of professionalism and regular updates thoughout each hour and day really got the app where it needed to be. 

We set a time frame on phase 2 being finished but due to the level of detail from lumitech and the ideas from myself it has been a longer process for the bettter of our users.

What evidence can you share that demonstrates the impact of the engagement?

Thanks to Lumitech's work, our mobile app is much faster and easier to use. We've also looked at the code quality, and it's much better than the prior version. For example, we used to have problems with screens loading, which sometimes took seconds based on the architecture and a mobile-heavy logic. Now, screens load in less than 100 milliseconds on average.Moreover, our compliance rate, which indicates how participants stay engaged on the platform, has grown to more than 80%. It was lower than 50% before, so these are major improvements for our business.

Generally speaking, Lumitech works hard to meet their timelines. We communicate via virtual meetings, emails, and messaging apps.

I'm the COO of K&Z Design, an IT company. We partner with digital product businesses to help them grow, go from seeds to Series D, and retain clients with our expertise in UX and digital product design.

What challenge were you trying to address with Lumitech?

We needed to find a good partner to develop a complex platform for document management in manufacturing factories. The system required a difficult role-based access system and approval/rejection flows. It also needed a high-security level, reliability, and the ability to store many audit logs.

Lumitech has provided us with a full development cycle for our project. The team has started with a discovery phase, developed the product and finished with QA and documentation handoff. The team has delivered a working platform for different environments, documentation, and ongoing support.

The platform works well and has started within the planned timelines. The workers have highlighted the platform's reliability. Moreover, Lumitech's team has provided great support and quick fixes. Thanks to the platform, we've automated many processes and reduced the number of possible mistakes.

How did Litech perform from a project management standpoint?

Lumitech is good at project management. The team delivers on time, and the daily updates help a lot. We communicate via Slack and regular Google Meet meetings.
