The brief was to develop a system whereby we could present the tee time available for sale in one aggregated platform. There are multiple tee time booking software system used by golf clubs and we could not interface with them all. 

The brief was to build a system which could search, find and aggregate the tee time in real time both for sale and those sold in a certain time window. This is in place for more than 1000 courses who present their tee times and then we drive sales back to the golf clubs, tracking those sales

The budget was very tight and the system needed to be very robust with low ongoing maintenance costs in money and time. This was achieved The system is very reliable and little is required form our team in terms of management and monitoring once a golf club joins the network.

They were excellent in responding to our needs. They understood the challenges and found ways to meet them efficiently and cost-effectively. The MD Deepak is a very professional digital strategist. He understood the aims of our platform and was able to solve challenges that were presented by the marketplace (more than 1000 vendors all with different systems) very quickly and simply. His team were able to deliver on his vision to get our platform live. We have a system which is long term and can be adapted as we grow.

We wanted to create a portal to manage educational institutions. We needed a partner with experience in the environment where we'd market our product.

What was the scope of their involvement?

VOCSO Technologies Pvt Ltd designed our product for Southeast Asia. The project scope started as application development from scratch; it was supposed to be a two-year project, but we kept on increasing the scope as we went along. We took a modular approach to building the application; it had 27 modules and hundreds of submodules. The final product was a SaaS ERP solution. Additionally, VOCSO Technologies Pvt Ltd assisted with proposing a direction for the UI/UX to improve it along the way.

Using our portal, educational institutions wouldn’t need to have a lot of capital expenditure to buy software. We had a subscription-based model, so as the number of students grew, they could keep growing their subscriptions so it’d be easier on the customer base. Overall, the whole system was flexible in customization for the customer.

What is the team composition?

We initially had five teammates, but not all of them were engaged at the same time. We had a different domain expert for each component; for example, a specialist for the financial side. We also had a project manager to coordinate the activities and a domain specialist that tagged along at the needed stage. We had them for accounting finance, HR, and the website aspect of the application.

How did you come to work with VOCSO Technologies Pvt Ltd?

We searched online and shortlisted companies based on their past projects. Then, we invited three service providers to quote for the project scope we’d given them. VOCSO Technologies Pvt Ltd’s quote was one of the most reasonable ones. We also liked how they engaged with us. Additionally, VOCSO Technologies Pvt Ltd was based out of India, and our target market was Southeast Asia, so they were the right partner for us.

All in all, they were good candidates, and I was glad we did a good assessment.

We spent between $30,000–$50,000. Since it was a project-based arrangement, we paused at times and restarted. We also added things to the scope.

We started working with them in January 2012, and the project’s final sign-off was in December 2018.

What evidence can you share that demonstrates the impact of the engagement? 

VOCSO Technologies Pvt Ltd did an amazing job and delivered more than we expected. Our team did the design and workflows, but transforming those workflows into an automated ERP was VOCSO Technologies Pvt Ltd’s work entirely.

Whenever we do a presentation or demonstration, clients are blown away because the application’s UI is very simple; it takes little for users to get up to speed. Moreover, the features make it easier for us to sell it out there; they keep the clients happy and fulfill their needs.

Every software has some glitches. Some issues are identified in the testing stage, some until the users started using the solution, and some when there’s been a strong load on the systems. We had bugs in these three states, but there wasn’t a major crash. Although the system went down at times, it was all before the project’s sign-off. After the sign-off, the system hasn’t gone off the grid.

Project management was acceptable. The project was delayed a few times because we didn’t provide something on time. We didn’t have any high-end project management tools; communication was primarily through Skype. We also used other software for screen sharing, but Skype was our main communication tool.

What did you find most impressive about them?

They were a highly flexible team. VOCSO Technologies Pvt Ltd was accommodating and open to the changes we needed.

Are there any areas they could improve?

Maybe they could’ve had a bit of decentralization in their organization. They had different domain specialists engaging with us during the development cycle, and it would’ve been better not to focus on just one individual who is the go-to point for the customer. Of course, the go-to person should be there for many general aspects, but when it comes to other aspects of the organization, they should be more decentralized.

Do you have any advice for potential customers?

If you’re willing to hire VOCSO Technologies Pvt Ltd, you should spend most of your time on the design and defining the project scope. If you do a good job defining the scope, you’ll have a great start. Having a detailed scope of work will give them an opportunity to figure out how much it’d take them to deliver in terms of money, expertise, and time. Once they commit to these parameters, they don’t look back. On the other hand, if you do a poor job defining the scope, it won’t be VOCSO Technologies Pvt Ltd’s fault if they provide the wrong timelines or cost expectations. 

Overall, do your homework well. If you do your background work, VOCSO Technologies Pvt Ltd will be an amazing partner and will deliver what you want.
