What was the scope of their involvement?

Tailored Technology Services Inc. has provided various IT-related services, such as cybersecurity, domain name management, email records, and security. They’re on board at all of our computers and have given us a way to create service tickets. They can start remote sessions and install Webroot on our computers for continuous scanning. 

We’re a remote and distributed company, but Tailored Technology Services Inc. handles ordering computers. We tell them what we need, and they handle everything from there, including installing the required computer software. They’re also involved in getting the computers to new employees.

What is the team composition?

I work closely with Nathan (Account Manager). However, I also interact with others when I submit a support ticket and receive a response. The teammates I meet depend on who’s responsible for the ticket I submit. The other teammates I’ve worked with include Matthew (System Administrator), Winston (Help Desk Tech), and Michael (VP Operations).

Tailored Technology Services Inc. has been highly responsive to tickets. If I submit one, the issue will be resolved within days. They get back to us right away if the request is urgent. 

How did Tailored Technology Services Inc. perform from a project management standpoint?

I love working with them. They’ve been truly responsive whenever I come to them for help. I appreciate how they engage with us; we can talk online, but I can also call them and talk to somebody when issues arise. On top of that, their billing and budgeting processes have been great. For tools, we’ve used Asana during the onboarding process. 

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Matthew, Winston, and Michael have been great.

They’re helpful in solving my problems.

Are there any areas they could improve?

I would’ve liked a more proactive onboarding process from them. It’s one thing to send us a link to a project and another to hop on a 15–20-minute call to tell us what to expect during the process. Putting a face to a name makes a big difference, especially at the beginning of the partnership.

Assistance with transfering MANY electronic files from our agency to the new Case Management Agency. Because of a rule change, we would no longer be providing Case Management Services and they helped us transfer 1000 people/families, and about 20 staff to the new Case Management Agency, by transfering electronic folders.

They provided ongoing IT support, setting up new hires with their technology, and responding to employees who are experiencing technical issues.

What were the measurable outcomes from the project that demonstrate progress or success?

For the transfer of Case Management files to the new agency, it was Case Managers being able to access the information they needed to support people/families, when they were with the new Case Management Agency.

For the ongoing support, it is for staff to have the technology, resources and support they need to complete their work efficiently and effectively.

Yes, we had very specific timeframes that information needed to be transferred and it was completed on time.  There was additional information that the new Case Management Agency needed from us that TTS helped transfer as well.  They understood the urgency of what was needed and ensured the transfer happened quickly.

Being a fellow mid-size firm also located in California, TTS's flexibility and interest in working with us absolutely won our business. They're also a smaller but very effective team of professionals which was very clear from our initial interactions.

Initially we had negotiated a very tight scope of service within our partnership agreement, and over the course of the first year working TTS we began to expand the services and support that they offer. When renewing we have agreed to terms that align with their contract template today, and we have been very pleased overall.

3 folks regularly, although the entire team is happy to step in and assist on the fly whenever needed. Position titles include Office Manager, Support Technician, and Tier 2 Support Technician.

They are a fellow small but mighty organization, and they effectively support their clients and are always open to creative solutions when needed. Its been great having a vendor who truly feels and operates like a partner organization.

As questions or concerns arise, we set time with their leaders and myself to discuss the need, limitations, possible solutions, and then follow-up to ensure we're all aligned. This workflow and ongoing discussion works well for us, and we have been pleased with the result.

We were seeking IT support for offices in our two locations, as well as for our international consultants. We needed someone that could accommodate certain hours and connections all over the world.

What was the scope of their involvement?

Tailored Technology Services Inc. has provided IT consulting and support. They’ve identified Panzura's cloud storage solutions to fit our needs and implemented the new system, which would have been confusing without IT staff in the office. Our cloud infrastructure is not standard because of the computer design software we use. Since our staff moves between two offices, we need our files located centrally; we also need fast software that’s not too cumbersome for our employees. They’ve flown to New York to build the servers and server rack. They’re not on-site but they’ve explained the new servers and system.

They also assist with our in-house IT issues, including issues related to the city’s infrastructure. They’ve reached out to the appropriate contacts, including the building’s network company, to coordinate necessary tasks in the building.

They’ve also installed new switches in both offices and a new server rack when we installed new wiring. We’ve provided them with the new system’s specifications, and they’ve installed it; they’ve even made sure that our legacy equipment works with our new system to save us money.

I was in a different role when my predecessor found them in an online search for IT companies in Los Angeles, California. They were also recommended to us by another consultant we were working with at the time.

Tailored Technology Services Inc. has successfully migrated our cloud storage. They’ve resolved issues that most IT consultants would not even be able to look into; they are really helpful. I don’t have metrics on their work, but I’m sure they do; they track any metrics we need. 

How did Tailored Technology Services Inc. perform from a project management standpoint?

Their project management has been great; for larger projects, they’ll assign us a project manager. Tailored Technology Services Inc. works remotely and always picks up the call when we need them. I’m in New York, and they’re in LA so they wake up early to accommodate our hours. They’ve recently become available 24 hours a day, seven days a week, so I imagine our partnership will be even more seamless. Because of our deadlines, we end up working almost around the clock. We can text, call, email, or submit a ticket through an app on our computers. 

All our messages are centrally stored in their ticket system, and they respond in the manner that our staff member has selected; this makes communication convenient for us. There is sometimes a cumbersome amount of tickets, so they aren’t all processed as quickly as we’d like; we may need a better ticket process. When we implement a new process, they stick to it and ensure it works smoothly.

Their biggest strength is their fluid communication; it’s easy to get in touch with them quickly.

We're able to get solutions to IT issues almost immediately, which is something that didn't happen with our previous vendor. Tailored Technology Services Inc. has also improved our internet speed at both of our locations, and the troubleshooting process is more effective.

Our previous vendor sold us software and equipment we didn't really need, and Tailored Technology Services Inc. has tailored our services and offered us the best solutions for our company and the kind of work we do.

Now, we save around 15 hours a week that our controller, myself, or even our employees would have previously spent trying to resolve an issue since our IT support was so bad. Therefore, there's been a tremendous benefit working with Tailored Technology Services Inc. already.

I haven't heard negative feedback about their work or interactions with my team; it's always exceedingly positive. The only constructive feedback I have for Tailored Technology Services Inc. is to elaborate quarterly reports to provide follow-up on all the areas they help us with, such as hardware lifecycle and cybersecurity reports. Having meetings to discuss that information would also be helpful.

I recommend you do internal due diligence on the discovery process to clearly understand your company's needs and build a good project framework. Matt and Zach are great at asking the right questions in the discovery phase, so you need a high-level view of your needs and how to accomplish those goals moving forward.

This new project involved new WiFi points, new ethernet cabling, switches, firewalls, and battery backup...all well-handled by TT. We know have IT support through their ticketing system and the convenience of monthly billing.

Our HQ expansion occurred during the difficult supply chain time of 2022. Zach and the team made the right vendor adjustments/vendor management strategies to avoid long delays and get our new space up and running...

How effective was the workflow between your team and theirs?

Zach and I do a monthly 1-on-1 to catch up on key issues. Our latest projects are a small, satellite office in Minneapolis and the transfer of all IT hardware from the early-stage office in Cleveland to the new HQ office in Orange County, CA. It's very effective when the two principals of two businesses can meet regularly to keep projects on track.

What did you find most impressive or unique about this company?

In this new work environment, start-ups rely more than ever on vendors for key services instead of vertical integration. TT gives us all the advantages of an in-house IT group but let's us strengthen our org chart in the areas that benefit our business and the patients we help treat.

I’m the controller of a construction company that does a lot of specialized work in labs and clean rooms. We’re also a general contractor, so we do some electrical and plumbing work.

We don’t have an internal IT department, so we use third parties to serve our needs. We have around 75 employees, which means we have a lot of assets that need to be managed, such as computers, cell phones, and tablets. Additionally, we were having some issues with the implementation of some software pieces.

SOLUTION

What was the scope of their involvement?

Tailored Technology helps us manage our technology assets and solve IT problems such as computers or printers not working properly. They also help us with more complex tasks such as software integrations. For example, we have a couple pieces of new software we are integrating that pull data from each other and require a SQL Replicator to be setup and configured.

Initially, we had a two-week onboarding process, during which we familiarized them with our system, gave them access to our programs, and introduced them to our team. During that process, they also got an understanding of our business, company, and structure.

Then, we gave them a lot of documentation, which they took, cleaned, improved, and streamlined. After that, they got all of our equipment prepared and installing all the software needed to get us up and running.

They constantly look at new technologies to improve our business, helping us with software implementation and providing us with general recommendations to further improve our IT.

What is the team composition?

During our early discussions, we met with three people from Tailored Technology’s team. Then, we only worked with a main point of contact for the implementation, but this person brought two other people in for various tasks. Since then, we’ve seen their full team involved in the project.

How did you come to work with Tailored Technology Services Inc.?

We worked with a different company, but we changed to Tailored Technology. It was a seamless transition. I had worked with Tailored Technology at a previous company, so I had some experience working with them and knowledge of the team. I knew that they were knowledgeable and great people, and I had heard good reviews from other companies that used them as well. 

At the end of the day, their work history was what separated them from another company that we were comparing them to. We chose them for the familiarity we had and the level of service we would get from them. Other companies didn’t provide support for mobile or Apple devices, but Tailored Technology was knowledgeable about it all.

We also selected them for their cost. We were able to recognize some cost savings in compared to some of the other companies we looked at. So, we’re getting a better service and saving money.

What evidence can you share that demonstrates the impact of the engagement? 

We had some issues in the past related to IT and it left a sour taste for a lot of our employees. Tailored Technology has helped up clean some of that up. Our ticket system is more streamlined, onboarding/offboarding is more integrated, and the overall reviews from our employees is that they really like working with their team. 

We also have a few projects we are working with them on that are targeted at identifying cost savings by managing current licenses better and leveraging current software to reduce redundancies in other software.

Tailored Technology’s project management has been right on point. They’re easy to talk to and communicate with, and they’re always on top of everything. They reach out to us and respond very quickly, and they’ve always met the deadlines.

What differentiates Tailored Technology from other providers is how they tailor their services to meet their clients’ needs; they claim it in their name. They took the time to understand our business to make recommendations specific to our needs.
