I’m the IT director of a healthcare software company. We are the market leaders within the sector that we work in, and we operate in about 75% of the marketplace. What was the scope of their involvement?

Rheal Software is our outsourcing partner, and they’ve been part of our internal team to help develop software solutions and meet our business needs. We communicate on a daily basis to discuss initiatives, releases, issues, bugs, and fixes. We then strategize by providing them with detailed specifications, which they will take a look at, so they can come back with cost and timeline estimates.

After we’ve finessed the requirements and costs, we’ll then go ahead and schedule the work with a lead on their side, as well as on ours, to conduct the project, complete the testing, and then go live.

What’s interesting with Rheal Software is they also provide us with a level of support that we can’t do in-house. Not only do they provide us with development work, but they also provide us with day-to-day support.

Additionally, there are elements of the software that we use to support a business, that’s been completely designed and built by Rheal Software. If we acquire a business that came with its own software, we’ll continually evolve and develop it based on our requirements.

What is the team composition?

Our main interface is with a senior developer/project manager, who manages the account and the day-to-day relationships. We also have four developers, a couple of junior developers, and a couple of test analysts, so we probably work with around 8–10 people from Rheal Software.

How did you come to work with Rheal Software Private Limited?

My company’s relationship with Rheal Software predates me, but I think one of the previous owners had a business relationship with Vishal (Director), so that introduction led to the engagement. 

How much have you invested with them?

In regards to the project and the ongoing maintenance, I would say we annually spend about £300,000 GBP (approximately $414,900 USD).

What is the status of this engagement?

I started working with them in December 2019, and since they’re our outsourced development team, our partnership is still ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Rheal Software is very reactive to our needs, and they will always find a way to do something, which can be a benefit to our organization.

How did Rheal Software Private Limited perform from a project management standpoint?

They genuinely deliver on time and on budget, but I would say that they’re a little bit light on the internal process. Nonetheless, the upside is things are very cost-effective for us to develop.

We use JIRA to manage the project, and we use a very basic reporting system when it comes to projects and timelines. In addition to that, we use Skype to communicate, but we’ve been centered on Teams these days for our standups and video conferences.

What did you find most impressive about them?

I would say the most impressive thing is their can-do attitude, and how they’ll find a way to make something work — by hook or by crook.

Are there any areas they could improve?

An area they can improve on is their governance and control. They’re a little bit light in their internal governance.

Do you have any advice for potential customers?

My advice is to agree on the level of governance that would benefit both sides. I believe agreeing to that upfront would result in something more polished and robust, than if you started to retrofit their involvement down the line.

I’m the controller at Jeffrey Miller Catering, an exclusive carrier of 17 different venues. We do about 800 weddings a year. I’m also in charge of the company’s IT system.

What challenge were you trying to address with Rheal Software Private Limited?

We used to work with an IT team from Turkey, but we didn’t quite work out with them. In 2014, we hired a programmer to take over some IT duties. However, he left in 2016, and that was when we contacted Rheal Software. 

SOLUTION

What was the scope of their involvement?

Rheal Software handles all IT tasks for us. For one, they do maintenance and development for PartySpace.com, an aggregator site where users can see available venues. The team generally operates using a contract-based model, but we’ve agreed on an hourly rate for the maintenance tasks. Apart from that, we’ve also done several projects with them that have gone the same way: they quote us with project-based prices, but we pay them on an hourly basis. 

They’ve also converted our website to WordPress from ApostropheCMS. This website has plenty of functionality and database features; it has to track user requests and have an updated database of what venues are available. Moreover, it has administrative logins for all the venues and availability dates. Overall, it’s a fairly complex website. 

One of the newest features Rheal Software has added to the site is for users to pay $50 to hold a venue for 72 hours. With this feature, the venue manager gets an automatically generated $25 Amazon gift card, while the other $25 goes to us. 

What is the team composition?

I deal with Vishal (Founder & Owner) for the initial steps of our projects. Then, those projects are distributed to appropriate managers that have programmers working underneath them. So far, I’ve worked with four managers and 1–3 developers. 

How did you come to work with Rheal Software Private Limited?

Rheal Software was recommended to me by a former colleague. They were more well-spoken when compared to other groups that worked with us, and I liked that from the very beginning. For comparison, the language barrier we had with other groups was problematic. I wouldn’t say they didn’t understand us completely, but we always had to check our communication. 

By contrast, the managers at Rheal Software were more well-spoken; understanding them wasn’t a problem. If we had to review something, the managers explained it well to the developers. On top of that, I liked that Vishal played a fairly big role in ensuring the projects were assigned to the right people. As a result, we decided to engage with them.

Rheal Software has worked well in all the projects we’ve done so far. We probably won’t hire another full-time programmer again because of their team’s lower rate. On top of that, they accomplish work on a diverse range of tasks. As a result, it’s almost impossible for me to hire an in-house programmer who has complete skill sets to do everything on different platforms. 

How did Rheal Software Private Limited perform from a project management standpoint?

For project management, Vishal makes rounds in the US 1–2 times a year. In fact, I’ve met him in person 3–4 times. When we meet, we usually go over our projects and provide them with a sheet of what we’re looking for and what we want to build. Based on that, they’ll assign a team manager who’s proficient in the programming language necessary for the projects. I also usually have early meetings with them 2–3 times a week. 

What did you find most impressive about them?

Rheal Software is highly accessible.

Are there any areas they could improve?

Rheal Software can improve on the visual aspects. They’re strong when it comes to programming and ensuring that the backend doesn’t break, but their visual designs are average. 

Do you have any advice for potential customers?

You have to be specific in what you want. This applies not only to Rheal Software but also to other developers. If you’re not specific, you won’t get the results you want. Telling them something that’s broad and not specific can lead to disaster. If the developers don’t get clear directions, then there’s a chance they’ll program the project incorrectly.

I’m the owner and operator BLD Consulting, a data management company dealing with records and data management practices for fire departments across the country.

What challenge were you trying to address with Rheal Software Private Limited?

I was interested in building an app that displayed our data in a better way. In the past, our customers first had to go to the actual data entry software just to view records. As a result, we wanted to create software that allowed them to view but not change data. 

SOLUTION

What was the scope of their involvement?

Rheal Software has helped us develop the functionality of the web app. It has a mapping interface where we can display the locations of the jurisdiction requesting the data. We can also sort and filter data within the app and customize the view of the customers based on their priority and criteria. In other words, we've built plenty of versatility and functionality within the app with the help of Rheal Software.

To build the web app, the team has used the .NET framework. We’ve also used another embedded product to help us develop the app better. Meanwhile, I’ve designed the app’s frontend with the Rheal Software team in mind. The backend has already been built as far as the customer container is concerned. From there, we’ve built ancillary views and procedures to isolate data while utilizing the frontend of the app to display data to customers. 

In addition, they’ve provided us with some SQL reporting assistance for specific data upgrades or changes in volume. This is to help us isolate problems on the customer side while displaying data through the app.

This project is heavy on the development side, and we’re only finishing up in the last 3–4 weeks. After this, we anticipate to grow exponentially in the next 1–2 years and expand our customer base. We’ve limited our customer exposure until we’re ready. However, we’re now planning to go out and capture a good portion of the available market in which we’re involved.

I’ve worked with a variety of people at different points. The mainstay is Ranjana (Project Lead), and she’s brought in various people to help us. One person has served as our principal developer and designer, but she has since left the team.

They were recommended to me by someone, and I was introduced to them on LinkedIn. I then gave Vishal (Founder & Owner) a call and ended up meeting him in Los Angeles because he happened to be traveling. I went to his hotel 3–4 times on different trips to coordinate the assistance that Rheal Software could provide for us. That was the start of our partnership.

We started working together in June 2016, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

I praise what we’ve been able to do with the core group of people that works with us. There have been times when our budget is lean, and they’ve been understanding of that. In any case, we’ve paid our bills on time, and none of them have been out of joints. Everybody has been cooperative from invoicing to outstandings and direction. 

Overall, I have no complaints about the project. I’ve done well with networking to get the data that we want. The Rheal Software team has also provided good customer service; they’re hands-on with what we’ve been doing. 

How did Rheal Software Private Limited perform from a project management standpoint?

Everybody involved in this partnership has had a positive experience, and we’ve developed a plan and a stepping-off point for us to have everything we want. We’ve been focused on the build, direction, and scope of what we’ve been developing. 

To communicate, we share screens; we go back and forth to solve problems and define what we need to do. Rheal Software is overseas, and I'm from the West Coast, so my main point of contact usually gets to work around the evening. I stay up a couple of hours to discuss her work for the day. The next morning, we communicate again about the direction or processes that we’ll handle next. 

What did you find most impressive about them?

Rheal Software has good communications skills, and they’re always willing to stretch their understanding of the concept of what we’re doing. They assist us well in the various aspects of the project to bring it together.

No, there aren’t any.

Do you have any advice for potential customers?

Scope out the direction and the purpose of the project. Do everything one step at a time, and don't be too far ahead of yourselves. Remember that good project management has a good overall effect on the project.

I’m the president of an organization that provides an administration system for life insurance and mutual fund wholesale dealers.

What challenge were you trying to address with Rheal Software Private Limited?

Back in 2008, we were growing and reached a point where our programming ability wasn’t enough. Our colleagues had helped, but the setup was becoming too expensive. As a result, we wanted a contractor with whom we could scale as needed. For that reason, we hired Rheal Software. 

SOLUTION

What was the scope of their involvement?

We proceeded with the engagement slowly, so we didn’t immediately give Rheal Software access to our consumer data. Their first project with us was to calculate our rates of returns according to specification, which was quite difficult to do properly and fast. From there, we kept expanding their projects. At the same time, we had a colleague who used an old programming language, and it was difficult to find somebody with that language skills. Fortunately, Rheal Software provided services in that programming language. We had to switch to a newer language after that.

At present, the Rheal Software team is doing everything for us using ASP.NET, while my colleague looks after the servers and the old code. They’ve built our back-office administration system through a web browser. They’re Microsoft code partners, so they’re experts in everything that we’re not, including ASP.NET. As a result, we let them do all the heavy lifting on our website. They’ve also built several new sites for us from scratch. 

We don’t use them for hardware installation, but they have access to the highest levels of our servers. Because of that, we ask them questions from time to time about configuring those servers. Moreover, they conduct testing before rolling into production. If there’s a new update, we do vulnerability testing while following strict guidelines for handling sensitive data from our customers. 

What is the team composition?

We can scale the team composition as needed. Generally, though, there’s a systems analyst and two programmers. That can change anytime we ask for other developers. 

How did you come to work with Rheal Software Private Limited?

Rheal Software found us through email and requested to call us to explain their services as compared to everybody else’s. In that regard, they won the lottery. However, there was more to it; we had to be convinced to break away from our old model of having limited resources. For our criteria when looking for a contractor, we didn’t want to hire anyone in Canada because we didn’t want our competitors to find them. The cost was also a factor. In the end, we decided to partner with the Rheal Software team.

We’ve spent a little less than $500,000.

What is the status of this engagement?

We started the partnership in October 2008, and it’s ongoing. We started talking about an agreement in July 2006, and we started our first project in 2008.

What evidence can you share that demonstrates the impact of the engagement? 

Our new system is easy to use now, and Rheal Software does everything well. We give them direction, but they also come up with their own ideas and advice. This results in a good working relationship between us. Moreover, they don’t make many mistakes. There might be an error message in the program, but the team hasn’t made any serious errors. 

How did Rheal Software Private Limited perform from a project management standpoint?

I’m happy with their project management. Some of the programmers assigned to us are superstars, and some aren’t. In any case, the project manager keeps the team in line. On top of that, we don’t have to worry about things like recruitment, job ads, interviews, and termination agreements since they handle all the HR aspects of the contracts. I love this part of their service.

In terms of communication, our style is to empower people downstream. While other organizations deal with the systems analyst to talk to the developers, we communicate directly with the programmers. This has worked out well for us, and it also gratifies staff by giving them more chances to advance. 

We mostly use emails to communicate, though they’ve also built a ticketing system for us, which has doubled our productivity. If they require any clarification, we book a Zoom meeting. This is a bit challenging because of our time zones; we can only meet at 8:30 a.m., which is around nighttime for them. We've done meetings many times while building our new system, but we’ve only done it once in the past two months. 

In any case, they save us time and money by working on an opposite schedule from us. I get projects off by midnight, and then I hear back from them the next day at 11 a.m., meaning our operations last 24 hours. This saves us a ton of time because we’re outsourcing work to them, and we’re saving money because their rate is lower than others. 

What did you find most impressive about them?

Firstly, I like that they aren’t too big. Many Indian companies have thousands of programmers. By contrast, Rheal Software has about 100–150 programmers, which is comfortable for us since we receive a bespoke treatment from them. More importantly, the people they assign tend to last a long time. For instance, our systems analyst has been with us for 10 years. Meanwhile, one programmer has been with us for over five years, and she’s matured from a mid-level developer to a senior-level programmer. 

Secondly, our direct relationship with their president is good, and he’s highly responsive. In fact, I’ve had dinner with him before; he’s a classy man from San Francisco. Interestingly, he started Rheal Software at about the same time we started our own company. In a sense, we’ve grown together; that way, we have a lot in common. 

Are there any areas they could improve?

It would be a nice touch if they had 24-hour coverage. In terms of resolving issues, if they leave for the day and we find an error, we have to wait for them the next day to fix it. Given that, it would be great if they have a skeleton staff that would be available to deal with our time difference. 

Moreover, despite having a wide variety of people and skillsets, they can’t cover all our bases. We sometimes need support in areas that aren’t in their expertise. As a result, we need to find other consultants. 

Do you have any advice for potential customers?

Choose Rheal Software right off the bat. On top of that, if you have sensitive data, put them down on paper and create proper agreements — Rheal Software is amenable to do whatever is possible to accommodate such things. 

In our case, we want confidentiality, and we don’t want our competitors to know who our programmers are. As such, we’ve written various agreements with them about privacy issues. We’ve expanded that lately, especially when we’ve had banking customers who are picky when it comes to outsourcing deals and developers.

They’ve been very responsive to our needs. We use a messaging system to put together a list of daily requirements, and they usually finish their tasks by the next day.

I’m the owner of a small company that writes specific software for heavy highway construction estimating.

What challenge were you trying to address with Rheal Software Private Limited?

I used to have my own programmers, and our projects worked out over the years. However, our programming needs had varied over time, so maintaining an internal staff became difficult. As a result, I came to Rheal and outsourced our programming projects to them. 

SOLUTION

What was the scope of their involvement?

When we’re developing software, I use 2–3 programmers from Rheal. Their work is fairly extensive, and the programs aren’t simple by any means. Once we finish programs, we put them out and use Rheal’s maintenance services. We also do occasional updates. 

During the development process, I communicate with Rheal to show them the existing version of what we have to develop. Then, they take over. Usually, they implement programs on C# and .NET, with an SQL server backend database. Currently, we go through spurts of work. I give them programs and then they work on them for 1–2 months. 

On top of that, Rheal helps me keep up with technology changes since we always have to change programming languages. I’ve been through Microsoft DOS, Microsoft Pro 7, and Windows. I can program by myself, and I’ve done Visual Basic and Microsoft Access, though I’m neither fast nor great at them. 

What is the team composition?

The team composition varies, but we’ve had as many as three people working on a project, not including the project manager. Over time, we’ve refined the process and integrated portions of the development. As a result, the team composition has dropped down to one.

Having worked in engineering, one of my favorite sayings is, “Nine women cannot have a baby in one month.” In other words, we can’t just throw in 10 programmers in one project — it doesn’t work that way. This is the reason why we’ve reduced the number of programmers we use. 

How did you come to work with Rheal Software Private Limited?

I knew another company in San Diego, California that wrote a similar program to mine. I called and asked them who did their software, and they told me it was Rheal. That was how I found them. 

How much have you invested with them?

We’ve spent between $200,000–$300,000. 

What is the status of this engagement?

We started the partnership in 2015, and the engagement is ongoing since we still refine programs and fix bugs.

What evidence can you share that demonstrates the impact of the engagement? 

They’ve done a great job so far. For instance, I’ve been working with a customer for 25–30 years, and their program has been totally different from before. Rheal and I keep implementing more updates to it. In fact, the program has been through three totally different environments from DOS and Microsoft Access to C# and .NET. The transition has been great, and they’ve done an excellent job. 

Moreover, Rheal has well over 100 people, so I know somebody’s always there for me. If I need any number of programmers, I can get them quickly; they come in not necessarily on the day I call but shortly thereafter. 

Through the years we’ve worked together, I’ve met with great programmers. What I get from them is as good as I’ve had from anybody I’ve hired internally. For context, I’ve worked with several bad programmers before, so I know the difference between good and bad ones.

How did Rheal Software Private Limited perform from a project management standpoint?

Rheal’s project management is awesome. I work with a teammate who follows up and stays on top of everything. When I start having difficulties, I deal with him and things will start working well. He brings in different sets of programmers to handle different problems. Every time he does that, projects go smoothly. 

In terms of communication, we often use Snagit. Using this tool, I show them what I’m working on and what problems I have. I then send them screenshots and videos with modifications. Since they’re active videos, I can point out exactly what my problem is. Overall, the procedure is truly helpful. Meanwhile, our customers usually have their own databases. Sometimes, they enter rotten data that causes some problems. When that happens, we communicate through other ways online to get to the bottom of it. This is especially helpful since we have time zone differences.

What did you find most impressive about them?

Rheal’s in-house people are truly capable. Their services are complete from programming to database structure. Apart from C# and .NET, they also know how to use Crystal Reports, which is a more complicated report-writing system — they use this well. On top of that, they always have a specialist who can address any special problem I hit. 

Moreover, Vishal (Founder & Owner) is accessible at any time. I don’t get on the phone and call him every other day when we’re in development, but I know that I can go right to him if I have to; he’s always responsive. 

Are there any areas they could improve?

I wish they’re a little more active in terms of project management. They should voluntarily jump in more often and provide more services. That being said, the reason behind this is partly economical; we can’t keep throwing dollars on things that aren’t truly necessary. We’re a small company, so that’s understandable. Moreover, any time I ask them to do more, they do so. 

Meanwhile, I’ve also had my own problem. I was used to working with internal people and talking to them every day. As a result, I didn’t communicate things with Rheal as well as I should. I just told them to convert the program and off we went. Once I discovered this problem, I changed my habit. Things have gone a lot better since then.

Always remember that everybody’s different and has different needs.
