 I’m a former business analyst at Federated Hermes, Inc., one of the nation's largest investment managers offering equity, international, fixed income, alternative, and money market strategies. Investors around the globe have relied on Federated Hermes for world-class investment management since 1955.

What challenge were you trying to address with OptimaGeeks?

 We needed to create a unified CRM environment that could provide a 360-degree view of our institutional and retail clients, enhance collaboration among our sales and relationship management teams, and improve reporting accuracy for compliance and analytics.

What was the scope of their involvement?

 OptimaGeeks has taken full ownership of the CRM consulting and system integration initiative from planning through deployment. Their team began by conducting a comprehensive audit of our legacy systems and data sources to understand our workflow, pain points, and compliance requirements. From there, they proposed a strategic roadmap that involved migrating our data to a centralized CRM platform, customizing modules for relationship tracking, opportunity management, and portfolio insights, and building automated workflows for client onboarding and performance reporting. They also developed integration layers that allowed the CRM to connect with our portfolio management systems and internal analytics dashboards. One of the standout deliverables was a dynamic reporting module that enabled our teams to generate client and performance series in real-time without relying heavily on IT support.

What evidence can you share that demonstrates the impact of the engagement?

 The new CRM environment has transformed the way our teams operate. Relationship managers can now access client information and interaction histories instantly, which has improved the quality and speed of client communications. Our sales operations have become more efficient due to the automated workflows that eliminate redundant manual tasks. Data consistency across departments has improved noticeably, leading to greater confidence in our reporting and analytics outputs. The CRM’s integration with our existing investment platforms has also allowed for smoother client portfolio tracking and a more decisive view of performance insights. Following the CRM implementation by OptimaGeeks, we’ve recorded noticeable improvements across key performance areas. Client response times have shortened significantly, as our teams can now access complete client records and communication histories instantly. Reporting accuracy has also improved due to centralized data and automated reports, reducing the need for manual cross-checks. User adoption has been higher than anticipated; most client-facing teams have begun using the new CRM within weeks of launch, largely because of its intuitive interface and the effective training sessions OptimaGeeks has conducted. These changes have collectively enhanced our internal efficiency, improved client engagement, and given management greater confidence in the insights drawn from our data.

Even when we make late-stage requests to adjust certain workflows, they handle the changes professionally and with a solutions-oriented mindset. Deliverables consistently arrive on schedule, and any issues that arise are resolved promptly with transparency.

What did you find most impressive about them?

 What stands out most about OptimaGeeks is their depth of understanding of both the technical and business sides of financial services. They haven’t just built a CRM; they’ve designed a system that truly reflects how we work as a firm. Their ability to translate complex operational needs into simple, functional technology has been remarkable. Their collaborative approach has made the process feel like a true partnership rather than a vendor-client relationship.

Are there any areas they could improve?

 If there’s any area for improvement, it would be in post-deployment user support. While they’ve provided extensive documentation and training, a more prolonged period of hands-on assistance after go-live could have made the transition even smoother for some departments. However, this has been a minor consideration in what has otherwise been an outstanding experience.
