The objective of the project was to design and develop a robust web application to streamline the management of purchase orders and invoices across multiple projects and clients. The platform also needed to support an approval workflow tailored for the finance team, ensuring accountability and compliance throughout the billing cycle.

The core features delivered as part of the engagement included:
 1. User Authentication – Secure login system with support for session and role-based access.
 2. Admin Dashboard – Comprehensive admin panel to manage users, clients, and projects.
 3. Role-Based Access Control – Granular permission management to define access levels across modules.
 4. Purchase Order Management – Tools to create, track, and manage POs linked to specific projects and clients.
 5. Invoice Management – Generation and tracking of invoices with status monitoring.
 6. PO-Invoice Relationship Mapping – Integrated linking of invoices to corresponding purchase orders for better traceability.
 7. Approval Workflow – Customizable multi-step invoice approval process for the finance team.
 8. Stripe Payment Integration – Seamless online payment capability through Stripe for faster invoice settlements.

This solution was tailored to enhance financial operations, increase visibility across transactions, and improve collaboration between project teams and finance stakeholders.

What were the measurable outcomes from the project that demonstrate progress or success?

The application helped streamline our purchase order and invoice processes significantly. We saw a noticeable reduction in manual work, faster approvals from the finance team, and better tracking of payments and project expenses. The Stripe integration also made it easier for clients to make payments directly through the platform.

Their project management was well-structured. They used Plane.co for sprint and task tracking, which gave us clear visibility into progress and priorities. Demos were conducted every two weeks, keeping us aligned and informed. 

They communicated any blockers transparently and gave realistic timelines for resolutions. Most deliverables were on time, and minor scope changes were handled without pushing costs or deadlines. 

Overall, they were responsive, organized, and easy to work with.

We had the requirement to build a booking Management system that would integrate with an industry standard provider. This would allow us to have a customised features to manage our booking partner workflows and manage payouts as well. 

There were also internal dashboards and notification systems built that allow us to optimise out operations quite a lot.

What were the measurable outcomes from the project that demonstrate progress or success?

The features were designed and developed as intended to be used right from the design phase. The team made sure that the implementations were thoroughly discussed with the core team members and the sprint level visibility was provided to us. 

For any challenges the team was completely transparent and was able to quickly turn things around for solutions as well. It was great to see such professionalism. 

The platforms were delivered to us on an iterative basis and feature releases were made to them as per plan.

The team made sure to adhere to strict timelines and budgets consistently. Sprint plans were detailed and precise. Dependencies were also clearly marked out. 

If we did have any inputs or changes they were considered in the process and if possible they were modified without having to extend the budgets. 

We were always kept in loop about the progress and hiccups and contingency plans were always in place so that our products and their timelines are not affected.

What did you find most impressive or unique about this company?

Transparency, Visibility and attention to detail. 

These were impressive while trying to be under a tight budget. The developers were dependable and had skills above par. 

Are there any areas for improvement or something Kalpas Innovations could have done differently?

If the company could focus more on no/low code platforms that would be great. But we understand that it comes with a bunch of limitations.
