Codeloft.ca was engaged by Dupont & Associés to design and develop a custom internal workflow management tool to streamline day-to-day operations across the firm's criminal defense and immigration law practices. The goal was to replace manual, paper-based, and fragmented digital processes with a centralized, intuitive platform tailored to the firm's specific legal workflows.
Scope of Work
1. Discovery & Requirements Gathering Codeloft conducted in-depth consultations with attorneys, paralegals, and administrative staff to map existing workflows, identify pain points, and define functional requirements for both the penal and immigration departments.
2. UX/UI Design A custom interface was designed to accommodate the distinct workflows of each legal practice area, with role-based dashboards for lawyers, paralegals, and administrative staff. Wireframes and prototypes were reviewed and approved by the firm before development began.
3. Case & File Management Module Development of a centralized case management system allowing staff to create, assign, and track files from intake to resolution. Each file includes client information, case status, associated documents, and a full activity log.
4. Deadline & Calendar Management An integrated deadline tracking system with automated reminders for court dates, filing deadlines, immigration application windows, and internal review milestones — synced across the team in real time.
5. Document Management A secure document storage and versioning system allowing staff to upload, organize, and retrieve legal documents by case, client, or date. Includes access controls to ensure confidentiality.
6. Internal Communication & Task Assignment A built-in messaging and task delegation system enabling attorneys to assign tasks to paralegals or administrative staff, set priorities, and track completion — all within the context of a specific case file.
7. Reporting & Analytics Dashboard A reporting module providing firm management with real-time visibility into caseload distribution, upcoming deadlines, file statuses, and team productivity metrics.
8. Security & Compliance End-to-end encryption, role-based access control, and audit logging implemented to ensure compliance with Quebec's privacy regulations (Law 25) and professional confidentiality obligations of the Barreau du Québec.
9. Testing & Quality Assurance Full QA cycle including unit testing, user acceptance testing (UAT) with firm staff, and bug resolution prior to launch.
10. Deployment & Training Cloud deployment with onboarding sessions and documentation provided to all staff levels.

Are there any areas for improvement or something CodeLoft could have done differently?
If we had to identify one area for improvement, it would be the onboarding documentation. While the tool itself was intuitive, the written guides provided at launch were somewhat brief and required us to follow up with the Codeloft team for clarification on a few advanced features. A more comprehensive user manual or short video walkthroughs would have helped our staff get up to speed even faster. That said, the team was always responsive when we reached out, so it never became a real obstacle — more of a minor inconvenience in an otherwise seamless experience.
