I'm the founder of SpotlightVendor, a compliance-driven vendor sourcing and management platform tailored for the senior living facility space. Our platform connects facility managers with verified service providers through curated directories, RFP tools, and automated vetting workflows.

I hired Scaling Process to develop my web app. The specific goals were to create a user-friendly, scalable platform that could support vendor onboarding, compliance tracking, and RFP management, all tailored to the needs of the senior living facility space.

Scaling Process handled the end-to-end development of my web app, including UX/UI design, frontend and backend development, and system integration. The app included several key features and functionalities designed to streamline vendor management for the senior living industry. 

These included:

• User dashboards for both facility managers and vendors, tailored to their specific roles and workflows.
• A vendor directory with advanced search and filtering by service category, compliance status, and location.
• Compliance document upload and tracking, including W9, COI/general liability insurance, and workers’ compensation, with automated reminders for expiring documents.
• A ‘Vet a Vendor’ workflow that allows facility managers to invite outside vendors to join the platform and complete onboarding.
• An RFP management tool enabling facility managers to post opportunities and vendors to submit proposals, with tiered notification access based on subscription level.
• Subscription plan tiers (basic and premium) with dynamic feature access tied to each plan.
• A review and rating system where facility managers can leave feedback on vendors.
• Notifications and reminders for compliance deadlines, new RFPs, and onboarding steps.
• Responsive design ensuring accessibility across devices.
• Admin controls to manage user roles, vendor verification, and platform content.

We found Scaling Process through an online search. They came across as an agile team with a structured, well-defined process and a strong portfolio of work that closely matched what we were looking for.

We worked together from February–June 2025.

What evidence can you share that demonstrates the impact of the engagement?

While we haven’t officially launched the platform yet, we’ve already received very positive feedback from key stakeholders and industry professionals who have previewed the app. They’ve praised the intuitive design, streamlined workflows, and the platform’s clear focus on compliance and vendor management tailored to senior living facilities. This early validation gives us strong confidence that the solution will meet market needs and deliver real value once live.

Scaling Process’s project management was highly organized and transparent throughout. They provided clear timelines and milestones, which helped keep the project on track. The team communicated regularly and was very responsive to my questions and feedback, often proactively addressing potential issues before they became problems. What I found most impressive about Scaling Process was their ability to take a complex concept and break it down into a clean, intuitive user experience without losing sight of the bigger strategic goals. My advice for potential customers is to come into the project with a clear vision of your goals, but stay open to Scaling Process’s input—they bring valuable insight and often suggest smarter, more scalable ways to achieve what you’re after. Be as detailed as possible during the planning phase, especially when outlining feature requirements, to ensure alignment early on. And most importantly, treat it like a collaboration—when you stay engaged and communicate regularly, you’ll get the most out of what their team has to offer.

Created a landing page for pre-sales and early user engagement.

This accelerated timeline is enabling nexQ to prepare for market testing and user feedback collection earlier in the product development cycle.
