Scaling Process

BACKGROUND

Introduce your business and what you do there.

I own Elizabeth Cifers Consulting. We help retina practices with compliance, billing, and revenue cycle management.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Scaling Process?

I needed a website that explains what we do and brings in consultations. Then I wanted to turn my expertise into an online course for retina practices, and the course tools out there couldn't handle how it needed to work: practice registration, a license per physician, payments and secure video, all in one place.

SOLUTION

What was the scope of their involvement?

They built our website and our course page, then a custom app for our online course, built around how our business actually works. Registration, physician licenses, payments and course access are all automated, so the course runs without us doing anything by hand.

What is the team composition?

We’ve worked with 2–5 teammates from Scaling Process.

How did you come to work with Scaling Process?

We first worked with them through another agency, then hired them directly.

What is the status of this engagement?

We started working with them in January 2024, and our engagement is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Our course went live on May 6 and runs on its own. We now sell what we know two ways: consultations through the website, and the course.

How did Scaling Process perform from a project management standpoint?

Mostly in Slack. They answer fast, explain things in plain English, and give clear options and prices before starting. Whenever I have a question, even a random one, they help.

What did you find most impressive about them?

They're not just developers; they take the time to understand how my business runs, then build the software and automation around it. They've become our software and tech team. They also keep us up to date on what software and AI can do for a business like ours.

Are there any areas they could improve?

I don’t think there’s anything they can improve on - they are wonderful to work with!

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Gabriel’s project management was truly exceptional. He maintained clear, consistent communication throughout every phase of development — always proactive, never reactive. From weekly check-ins to urgent bug triage, Gabriel kept the entire build on track, ensuring we stayed aligned across priorities, timeline, and scope.

Despite the complexity of building a medical AI product, the team delivered key milestones on time and adapted quickly when needs shifted. Gabriel made us feel supported, heard, and in control — even when navigating fast-moving iterations. His leadership created a sense of momentum without pressure, and his ability to translate feedback into action was seamless.

In short: the project ran smoothly because Gabriel made sure it did.

What was your primary form of communication with Scaling Process?

• Virtual Meeting
• Email or Messaging App

What did you find most impressive or unique about this company?

What stood out most was their unwavering belief in the mission of this project. From day one, they treated CLE.MD not just as another build — but as a meaningful, world-changing tool. Even though I don’t come from a background in AI or medicine, they made me feel fully capable of leading this vision. They never talked down, never overcomplicated — just rolled up their sleeves and said, “We’ve got this.”

Their blend of deep technical expertise and human-centered collaboration created a rare kind of partnership — one rooted in possibility, purpose, and real belief that we were building something that matters. That kind of support is hard to find — and it made all the difference. I am and continue to be grateful to have this team in my corner.

Are there any areas for improvement or something Scaling Process could have done differently?

To be fair, some of the timing gaps were probably more on my end — being a one-woman show means I wasn’t always as fast on feedback or decisions as I wanted to be. That said, there were a few points where having a bit more visibility into a visual roadmap or next steps would have helped me stay more in sync and reduce the back-and-forth.

But truly — the team was always understanding, flexible, and ready with thoughtful solutions. I never felt judged for moving at a different pace, and I always felt supported. As we grow, I’m excited to lean even more into planning and momentum together.

BACKGROUND

Introduce your business and what you do there.

I'm the founder of SpotlightVendor, a compliance-driven vendor sourcing and management platform tailored for the senior living facility space. Our platform connects facility managers with verified service providers through curated directories, RFP tools, and automated vetting workflows.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Scaling Process?

I hired Scaling Process to develop my web app. The specific goals were to create a user-friendly, scalable platform that could support vendor onboarding, compliance tracking, and RFP management, all tailored to the needs of the senior living facility space.

SOLUTION

What was the scope of their involvement?

Scaling Process handled the end-to-end development of my web app, including UX/UI design, frontend and backend development, and system integration. The app included several key features and functionalities designed to streamline vendor management for the senior living industry.

These included:

• User dashboards for both facility managers and vendors, tailored to their specific roles and workflows.
• A vendor directory with advanced search and filtering by service category, compliance status, and location.
• Compliance document upload and tracking, including W9, COI/general liability insurance, and workers’ compensation, with automated reminders for expiring documents.
• A ‘Vet a Vendor’ workflow that allows facility managers to invite outside vendors to join the platform and complete onboarding.
• An RFP management tool enabling facility managers to post opportunities and vendors to submit proposals, with tiered notification access based on subscription level.
• Subscription plan tiers (basic and premium) with dynamic feature access tied to each plan.
• A review and rating system where facility managers can leave feedback on vendors.
• Notifications and reminders for compliance deadlines, new RFPs, and onboarding steps.
• Responsive design ensuring accessibility across devices.
• Admin controls to manage user roles, vendor verification, and platform content.

What is the team composition?

We worked with five teammates from Scaling Process- all very knowledgeable and resourceful!

How did you come to work with Scaling Process?

We found Scaling Process through an online search. They came across as an agile team with a structured, well-defined process and a strong portfolio of work that closely matched what we were looking for.

What is the status of this engagement?

We worked together from February–June 2025.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

While we haven’t officially launched the platform yet, we’ve already received very positive feedback from key stakeholders and industry professionals who have previewed the app. They’ve praised the intuitive design, streamlined workflows, and the platform’s clear focus on compliance and vendor management tailored to senior living facilities. This early validation gives us strong confidence that the solution will meet market needs and deliver real value once live.

How did Scaling Process perform from a project management standpoint?

Scaling Process’s project management was highly organized and transparent throughout. They provided clear timelines and milestones, which helped keep the project on track. The team communicated regularly and was very responsive to my questions and feedback, often proactively addressing potential issues before they became problems. While there were a few adjustments along the way, they consistently delivered on time and remained flexible to evolving needs, making the entire process smooth and efficient.

What did you find most impressive about them?

What I found most impressive about Scaling Process was their ability to take a complex concept and break it down into a clean, intuitive user experience without losing sight of the bigger strategic goals. They brought a rare combination of technical expertise, design thinking, and business insight, which made them feel more like a product partner than just a development agency. Their commitment to building something scalable and thoughtfully executed really stood out.

Are there any areas they could improve?

No, there weren't any. Great team all around!

Do you have any advice for potential customers?

My advice for potential customers is to come into the project with a clear vision of your goals, but stay open to Scaling Process’s input—they bring valuable insight and often suggest smarter, more scalable ways to achieve what you’re after. Be as detailed as possible during the planning phase, especially when outlining feature requirements, to ensure alignment early on. And most importantly, treat it like a collaboration—when you stay engaged and communicate regularly, you’ll get the most out of what their team has to offer.
