The scope was for a revamped Play With Mutts platform that allows Pet Parents to list their dogs, set availability, receive playtime requests, approve or decline appointments, and get paid through Stripe Connect. Players would be able to create accounts, browse available dogs, search by location, request 30, 60, or 90-minute play sessions, pay through the platform, and manage their upcoming or past appointments. The platform also needed to preserve the supervised-play model. Pet Parents remain present during sessions, and the service is framed around play, companionship, and safe interaction rather than unsupervised pet sitting or boarding. Key deliverables The user account and role system should support separate Pet Parent and Player experiences. The rebuilt platform needed role-based onboarding so that each user could choose whether they were joining as a Pet Parent, a Player, or potentially both. The Pet Parent experience needed to lead users toward creating a dog listing, setting availability, and connecting Stripe. The Player experience needed to lead users toward browsing dogs, requesting playtimes, and managing appointments. The dog listing system should allow Pet Parents to create and manage multiple dog profiles. Pet Parents needed the ability to create, edit, and manage listings for one or more dogs. Each listing needed dog-specific details such as name, photos, location, personality, play preferences, session rules, pricing, and availability. The listing detail page needed to act as the main conversion page where Players could learn about the dog and request a playtime. The browse and search experience should make available dogs easy to find. The scope included a public browsing experience where Players could search for dogs by location, including state and city. The search experience also needed to handle sparse inventory gracefully, including an “All States” style fallback or broader browsing option so visitors were not met with empty results too easily. Browse-related pages were also part of the SEO posture because public dog listings could help make the platform discoverable. The scheduling system should support simple, structured appointment requests. Players needed to be able to request playtimes based on the Pet Parent’s availability. The system needed to support 30, 60, and 90-minute appointment durations. Appointment records needed to store the Pet Parent, Player, dog listing, requested start time, duration, status, payment status, Stripe identifiers, and payout status. The appointment flow needed to prevent obvious conflicts, such as overlapping confirmed appointments. The appointment workflow should support the full request lifecycle. The MVP appointment lifecycle needed statuses such as Requested, Confirmed, Declined, Canceled, and Completed. A Player submits a request, the Pet Parent reviews it, and the Pet Parent can approve, decline, or potentially suggest a different time. Confirmed appointments should show on each user’s dashboard, while completed appointments should become part of appointment history. The payment system should use Stripe for customer payments and provider payouts. The scope included Stripe payment processing at the time of request, along with Stripe Connect for Pet Parent payouts. The prior payment model used a platform fee, with the Pet Parent receiving the remainder after the platform’s share. The scope also included storing PaymentIntent identifiers, associating payments with appointment records, handling payment status changes through webhooks, and triggering payouts only after the required conditions were met. The payout workflow should protect the platform before releasing funds. Payouts were not meant to be immediate at the moment of booking. The system needed backend logic to release funds after the appointment was completed and after funds were settled or otherwise safe to transfer. This deliverable was important because it reduced the risk of paying out before a refund, cancellation, or payment failure issue was resolved. The cancellation and refund rules should enforce the 30-minute cutoff. The platform needed a cancellation policy tied to the appointment start time. Players should not be able to cancel for a refund inside the 30-minute cutoff window. Pet Parent cancellations would generally trigger a refund to the Player. The workflow needed to show clear messaging, process refunds when applicable, avoid refunds when the policy blocks them, and send cancellation notifications to the relevant parties. The dashboard experience should give each user a clear command center. Pet Parents needed a dashboard for managing dog listings, availability, appointment requests, confirmed appointments, and Stripe onboarding. Players needed a dashboard for viewing requested, confirmed, canceled, and completed playtimes. Each dashboard needed to expose only the information relevant to that user’s role and permissions. The messaging or contact flow should keep communication appointment-specific. The scope discussed communication around appointments rather than an open-ended social messaging system. The purpose was to let Pet Parents and Players coordinate session details while keeping the interaction tied to a booking. This could include appointment-specific messages, confirmation emails, cancellation emails, and links back to the relevant profile or appointment detail page. The Stripe onboarding flow should allow Pet Parents to connect payout accounts. Pet Parents needed a way to create or connect a Stripe Express account, complete onboarding, and return to the platform. The platform needed to store the Stripe account ID on the user record and show whether payout onboarding was complete. A login link or account management link was also part of the expected provider experience. The platform should include privacy, safety, and permission controls. The rebuild needed privacy rules so users could only access the data they were allowed to see. Players should not be able to view other Players’ private appointment data, and Pet Parents should only see information related to their listings and appointments. Admin-level data access needed to remain separate from normal user access. The admin and support workflows should support basic marketplace operations. The MVP scope included enough admin capability to review users, listings, appointments, payment issues, cancellations, and support concerns. Disputes were discussed as a possible MVP or later-phase feature. The practical recommendation was likely to keep formal disputes lightweight in MVP and handle them through support, then build a structured dispute system later once real usage patterns were known. The legal and policy pages should make the platform launch-ready. The scope included public-facing documentation such as Terms of Service, Privacy Policy, Cancellation Policy, Safety Guidelines, Security Information, About Us, Contact, and Help content. These pages were important because Play With Mutts involves payments, user profiles, appointments, dog interactions, and liability-sensitive scenarios. The SEO and public-page structure should support discoverability. The rebuilt site needed indexable public pages such as the home page, browse/search page, dog profile or listing pages, About, Help, Contact, Privacy Policy, Terms, and Security Information. Non-public pages such as dashboards, inboxes, admin pages, account pages, and payment pages should not be indexed. The scope also included metadata, page titles, descriptions, and clearer calls to action. The notification system should support key transactional emails. The platform needed automated emails for important actions, including welcome messages, appointment requests, appointment confirmations, cancellations, declined requests, and potentially payout or account-related notices. These emails needed to send users back to the appropriate listing, profile, or dashboard page. The launch readiness work should include testing, cleanup, and handoff. The final deliverables needed testing across the main user journeys. That included signup, role selection, dog listing creation, search, appointment request, payment, approval, cancellation, refund, payout, email notifications, Stripe onboarding, and dashboard visibility. The scope also included cleaning up workflows, resolving broken redirects or popups, checking mobile responsiveness, and documenting core admin operations. MVP deliverables versus later-phase items The MVP should include account creation, role-based onboarding, dog listings, browse/search, appointment requests, Stripe payments, Stripe Connect onboarding, dashboards, cancellation/refund logic, basic notifications, policy pages, and admin review capability. Later-phase items could include formal disputes, reviews and ratings, richer messaging, advanced availability rules, stronger identity verification, promotional tools, referral programs, subscriptions or premium listings, analytics dashboards for Pet Parents, and expanded trust-and-safety automation.

Equally impressive was their masterful handling of our timezone differences. Despite being in a different part of the world, their project management made the distance feel non-existent. We operated on a highly efficient 'follow-the-sun' model where our feedback from the Caribbean workday was often addressed and implemented by the time we logged in the following morning. This round-the-clock momentum significantly accelerated our development cycle, ensuring that critical features like the Direct-to-Cart vendor links and WhatsApp notification triggers were polished and ready for our launch without a single delay in communication.

Are there any areas for improvement or something RapidDev could have done differently?

Given the highly specialized nature of the Rent Link-up ecosystem—which manages everything from heavy equipment rentals to professional services like masonry and healthcare—the only area where we saw room for even greater synergy was in the initial Business Analysis (BA) phase.

Because our platform solves very specific regional challenges, such as the 15% VAT compliance and the 'Direct to Cart' integration for local vendors, a more exhaustive discovery period at the project’s onset could have further streamlined the technical translation of these unique requirements. While the team was incredibly agile in pivoting once these nuances were identified, a more robust initial business analysis process would have likely preempted some of the mid-sprint adjustments we made.

That said, the team’s willingness to listen and their rapid response to our evolving needs more than compensated for this. Their ability to quickly grasp the complexity of the Grenadian marketplace mid-stream actually highlights their technical versatility and commitment to getting the 'real-world' logic right for our users.

A small area for improvement would be delivery predictability on more complex features. The overall outcome was what we wanted, but one key capability took longer than expected, which extended the timeline beyond the original estimate. Also, communication was generally good, but the lack of native-English engineers may be a consideration for clients who prefer very nuanced, highly detailed written communication.

I’m the founder of Pencil Case Scheduling Limited, a SaaS company. We’ve built a tentative booking scheduling system for freelancers and studios.

What challenge were you trying to address with RapidDev?

We needed help with web app development. The product required custom coding and couldn’t be built using out-of-the-box tools.

SOLUTION

What was the scope of their involvement?

RapidDev has developed our web app from scratch. Initially, I had a chat with one of their salespeople and showed him some sketches. We had a discussion about what I wanted, and he was technically capable of understanding what I was trying to get across.

After that, RapidDev sent me a proposal with a price range for the whole project and the core functionality. We found a middle ground that worked for both of us.

Then, we had a discovery phase for a couple of weeks. We went from my bare-bones sketch to developing the product together. RapidDev has done the UX, wireframing, and design from zero.

The app is completed, and we’ve finished testing. RapidDev is making one or two small changes I’ve requested before going live. We’ve integrated LemonSqueezy as the payment provider and Postmark for email notifications.

The app connects freelancers and studios in the creative sector. They use a system of tentative bookings that haven’t been realized and are used to plan ahead for project planning and scheduling.

Studios can reserve a freelancer’s time, and other studios can challenge this. The system automates everything, and studios can see multiple freelancers when they want to fill in a slot for a project.

We’ve decided to go with Bubble, a no-code full-stack service. Everything is contained in one place, and I can learn how to do bug fixes if needed. The hosting is done in AWS and Google Cloud.

Although the app is built in Bubble, RapidDev has done custom coding in JavaScript.

What is the team composition?

I’ve worked with two project managers. I assume a team of 5–10 people has worked on the project.

How did you come to work with RapidDev?

RapidDev popped up as one of the better agencies when I was looking for one. I found them on Bubble’s website. I decided to go with them because they were one of the top-rated agencies. I also recall finding them on Clutch.

How much have you invested with them?

We’ve spent around $26,000.

What is the status of this engagement?

We started working with them in June 2025, and the engagement is ongoing. The app is now finished, but they're still making some small changes. Moreover, they've offered maintenance services for the next two months after the app gets launched.

What evidence can you share that demonstrates the impact of the engagement?

RapidDev has delivered the Figma designs and shown me video recordings of the app to see how it works and why. The team has been active almost every week. They’ve responded to any requests I’ve made to change things. I’ve had hands-on access to the app and have been able to experiment with it.

The UX and UI are great. The way the app works is better than I expected. I’m thrilled with what RapidDev has done.

How did RapidDev perform from a project management standpoint?

RapidDev has delivered on time and on budget. We use Jira, Notion, Google Docs, and Excel files. Still, Slack is our main communication channel.

What did you find most impressive about them?

RapidDev’s work quality is excellent. I’m blown away by the product.

There was a misunderstanding about how some things worked, but I could fault myself more for that than them because I wasn’t concise in the beginning.

They were exceptionally responsive, and always delivered on time. There was never an extension for completed tasks.

What did you find most impressive or unique about this company?

Their company culture was very impressive. I can tell they're very organized internally. Additionally I was very impressed with how they could meet me on my level. Having no background in coding and technology, I entered this project with no basic understanding of the mobile app industry. They were always able to explain things in a simple, easy to understand manner. 

Are there any areas for improvement or something RapidDev could have done differently?

They can improve with their estimations. We went 46% + Over the original proposal. While some scope was added throughout the process, I was suprised at how off we were from that initial estimate. I believe there is an opportunity to study this area further to ensure better accuracy in the future.

I’m the CEO and founder of NexRung, a marketplace connecting high school students to post-high school opportunities.

What challenge were you trying to address with RapidDev?

I had an MVP of a website that was too rudimentary, so I needed to update it and make it more user-friendly to go to market with it and get users on it. The MVP I created before was enough to get the interest of people, including counselors within high school students and businesses. There was enough market validation that I thought it was worth spending money to create the marketplace application website. 

SOLUTION

What was the scope of their involvement?

RapidDev has taken my MVP and made it more of a product I can pilot and launch. Since I already had the prototype, the design phase was easy. The team has used the nuts and bolts of what I had already created and iterated off of that. For the first 2–3 weeks, I gave them all the information I had about the MVP. We broke it down and understood the flow of the website, its purpose, how both sides of the marketplace would interact, and the functionality needed.

From there, RapidDev created a proposal for the product's creation. We've had several iterations regarding features, UX, and UI.

After about two months, we moved to the QA/QC phase. This phase has taken a little longer because I see things in the app that I didn’t realize before. I want to change the flow and operational ability of the app to make it smoother on the UI side and ensure users are pleased and don’t get a bad experience. RapidDev has worked with me on the changes and improvements I want. RapidDev uses Bubble for development.

What is the team composition?

I’ve mainly interacted with two teammates from RapidDev: a client success manager and a Scrum master. The Scrum master leads a team underneath her, but I don’t know the teammates' roles. In total, I’ve worked with 4–5 teammates from RapidDev.

How did you come to work with RapidDev?

I went to school with RapidDev's founder and CEO. I saw his LinkedIn posts about the expansion and things he was doing, so I inquired about what he was building. I told him about my project and asked if he could help me out. He connected me with the team, and I went from there.

How much have you invested with them?

I’ve spent around $25,000–$26,000.

What is the status of this engagement?

We started working together in April 2025, and the engagement is ongoing. We’re finishing up the QA/QC phase before moving to the maintenance phase. I still have to decide if I’ll utilize RapidDev for the site's maintenance.

What evidence can you share that demonstrates the impact of the engagement?

RapidDev’s work has met my expectations.

How did RapidDev perform from a project management standpoint?

RapidDev is slightly over budget, but not by much. We’re only 5% over budget, which is expected for technology development. For project management, we use Jira. It’s a platform similar to Asana where we can get updates on specific features. 

For communication, RapidDev uses Slack, emails, and Loom, a program for recording videos. During the design phase, as they were creating the solution before it was testable as a website, they showed me the features. I could put comments right on the website. Every week, the team checks in with me to update me on the progress and what has been designed and developed. I've given my feedback consistently throughout the project.

What did you find most impressive about them?

RapidDev’s responsiveness and ability to understand my needs are impressive. I’ve worked with teams before that don’t understand what I want. They try to add a feature but don’t understand the bigger picture. I like to see how a feature fits into the overall pie, and RapidDev is really good at that. The team helps me understand what I’m trying to get across.

Are there any areas they could improve?

Some platforms we use, like Loom, only work for 30 days for me to put comments in them. Once my free trial expired, I couldn’t put comments in Loom directly. I could still receive the Loom videos and watch them, but I had to email my thoughts. I put the time of the video where RapidDev asked a question or showed a feature so they could access it and see what I was speaking about. It would’ve been easier to do it in Loom itself. Once the free trial expired, I was out of luck.

Do you have any advice for potential customers?

Give RapidDev as much information as you can. Sometimes people hold back because they don’t know if RapidDev will understand everything they tell them or if they’ll overwhelm them. However, the team has a great capacity to interpret things. RapidDev has many customers in different industries and domains, so they have experience. The team has more business savviness than other tech people I’ve worked with before. Maximize that and give them more information. If they can’t handle it, they’ll let you know.

RapidDev has helped us build V1 and V2 of our website in Bubble.io. We worked with another agency for visual designs, but they translated those designs into reality. They've also help us set up a fairly complex data model and integrations with our cloud database.

What were the measurable outcomes from the project that demonstrate progress or success?

RapidDev has been an incredible partner while building our website. Our needs have evolved significantly throughout of 1yr+ of working together, and they've always adapted and collaborated with us on roadmap and pricing. The site is built in no code Bubble.io, but we have some pretty elaborate data model and self service portal elements to the site, so they've really stretched what Bubble is capable of.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

RapidDev are very repsonsive: when we spot a big bug, they are always quick to respond no matter the time of day. We've really appreciated their willingness to get on the phone with us and talk through plans and tasks ahead of sprints to cut back on rework and make sure we're 100% aligned. They work quickly and are highly communicative about their timelines/deadlines.

What did you find most impressive or unique about this company?

We've been especially impressed with the project management team. Our project manager, Oksana, has been instrumental to helping us keep the project moving forward with minimal engagment on our end. She seamlessly translates our requests into tasks, asks very thoughtful clarifying questions, and has handled all of our pivots and change requests with a smile. She helps us understand the hours estimates of our asks and their relative dependencies. She runs our Jira board and conducts much of the QA testing herself, so she's so easy to debug with.

Are there any areas for improvement or something RapidDev could have done differently?

None. We are excited to continue working with RapidDev!

We were looking for a simple, discreet way to track sexual health and communicate with partners more responsibly. It was important to find a tool that helped reduce stigma and made managing this part of life easier and less awkward

What was the scope of their involvement and team dynamic?

The Rapid Dev team helped build out the app using FlutterFlow and were involved from early development through launch. They were great to work with, always open to feedback, and willing to adapt as things evolved. I can be pretty particular, and they consistently went above and beyond to deliver what I needed. Communication was clear and consistent throughout the process. I’m still working with them on version 2 of the app, which speaks to the trust and rapport we've built.

What's the status of this engagement?

 The engagement is ongoing. We successfully launched the first version of the app, and we're currently working together on version 2 with new features and improvements.

 How did your relationship with your partner evolve?

 Our relationship has grown stronger over time. As we navigated through development challenges and evolving priorities, they remained flexible, communicative, and solutions-oriented. That consistency helped build trust and made it easy to continue working together on future versions of the app.

 One area for improvement could be streamlining turnaround times during periods of heavy revision, but overall they've been responsive and committed to delivering quality work.

What advice do you have for clients with similar needs to yours?:

Be as clear and specific as possible about your vision and priorities from the start it makes the whole process smoother. Don’t be afraid to give feedback along the way; they’re super receptive and really want to get it right. Staying involved and communicative made a big difference for me

Stay within proposed project timeline. Better management and update of project than email as the chain would grow important parts would be missed. Originally scopped 12-16 weeks to develop we’re on week 40. Missed deadline for app launch. There were numerous small issues that I had to catch that shouldn’t have been presented.
