The work varied, especially while we were onboarding new clients. They worked on the categorization and reconciliation of 27 existing business clients and cleaned up books for another 6 new customers. In addition, they assisted in journaling payroll entries for clients.

What were the measurable outcomes from the project that demonstrate progress or success?

Measurable outcomes include the number of bank accounts that were reconciled. Also, they did extra projects for me.

One of the things that I really liked about them was that they were willing to do new things. When we overloaded, I asked them if they could work on some Accounts Receivable issues and they did it right away. They also did the clean up on several of our new clients for multiple months. Our regular staff would have whined about it.

One time, I had a new client that needed a lot of data entry, and they did it for me. Also, they would help me convert bank statements from PDF format to Excel so we could upload them into QuickBooks Online. Our local staff would have complained and whined.

We needed back-office support services. Before working with Outsourcing Business Solutions, we struggled to hire and retain teammates because of the expensive HR process.

What was the scope of their involvement? 

Initially, we had a detailed discussion regarding my requirements. We had an additional call during which Outsourcing Business Solutions presented data and input about how they’d help us. Then, we had another call regarding the pricing and contract; we decided to close the deal at that point.

Outsourcing Business Solutions’ team provides back-office support so that we can focus more on our front-office tasks with our clients. They initially provided three teammates and have added more throughout the partnership. Their teammates are already trained, so we don't provide any additional training. 

They’ve given us backup resources as well. Whenever a teammate leaves the team or goes away on vacation, the backup resources step in.

There are seven teammates assigned to us. They’ve provided us with a supervisor along with the individual contributors.

We were trying to create a more profitable business, and one of my old colleagues said that outsourcing would lead to better cost efficiency and quality. I searched online and found several companies. We interviewed four or five different companies before hiring Outsourcing Business Solutions.

What evidence can you share that demonstrates the impact of the engagement?

Since engaging with Outsourcing Business Solutions, we’ve seen an increase in profit; our average profit margin was 28% before working with them, and it’s risen to 56%. Outsourcing Business Solutions has been helpful; they ensure that we’re saving money, and there haven’t been any headaches in the HR department. 

How did Outsourcing Business Solutions perform from a project management standpoint?

They’ve been legitimate and transparent with us and made sure they’re meeting our expectations. 

As far as project management goes, we’ve been quite satisfied so far. Outsourcing Business Solutions has given us three points of escalation. One is the supervisor, who is basically working as a project manager with us. Then, issues would go to the COO. The third point of escalation is there as well, but we haven’t had to go that route. 

We’ve never faced an issue when it comes to deadlines. Outsourcing Business Solutions works according to our schedules which means they’ve missed holidays.

For communication, we use Slack, email, and weekly calls. 

What did you find most impressive about them?

The best part about Outsourcing Business Solutions is the communication. They address issues and tasks or metrics that haven’t been achieved quickly so that we’re prepared. Their teammates are quite attentive, so we get instant responses to our queries. 

Are there any areas they could improve?

If Outsourcing Business Solutions could've given us all seven teammates initially, it would’ve been more beneficial. On the one hand, I think this is something they can improve, but on the other hand, I understand their thoughtfulness — they wanted to go slow and for us to gain confidence in working with them before growing gradually. The engagement has worked well for us.
