We are a Microsoft partner focused on making modern collaborative toolsets. We basically provide ongoing consulting services to organizations within North America. I’m the director of business development.

We leveraged Maven Collective as our ad agency and web development firm.

What was the scope of their involvement?

When our internal marketing resource left the company, we decided to take a step back and look at our overall marketing strategy. We brought in Maven Collective to do an initial audit of our different marketing activities and channels. They identified areas that need to be improved and proposed solutions that we hadn’t even thought of.

Currently, we’re having their team manage our content marketing strategy, which our junior-level marketing associate helps execute. They also create optimized content, manage and update our website, conduct email marketing, and carry out social media marketing activities. In this regard, they’re acting like an outsourced CMO.

What is the team composition?

We work with three people from Maven Collective: their CEO and two content marketing strategists. 

How did you come to work with Maven Collective Marketing?

Orchestry, a Microsoft-related platform that we also have a relationship with, has had a lot of success with Maven Collective. We decided to work with them because, unlike the other ad agencies that I’ve worked with over the years, they understood the specific marketing needs of a technology company like ours.

How much have you invested with them?

Thus far, we’ve invested around $25,000.

What is the status of this engagement?

We started working together in March 2021 and it’s an ongoing partnership.

What evidence can you share that demonstrates the impact of the engagement?

We measure the success of the engagement based on the results of the lead-generation activities. Since working with Maven Collective, we’ve noticed a substantial increase in our web traffic and leads, and that can be owed to our blog writing and SEO efforts. 

What we like about Maven Collective is that they’re good at developing and executing marketing strategies specifically for tech companies. They’re able to speak our language and understand the kind of products and services that we provide for our customers. 

How did Maven Collective Marketing perform from a project management standpoint?

They’re excellent from a project management standpoint. It feels as if they're part of our own company. We use Microsoft Teams to communicate and manage tasks.

What did you find most impressive about them?

Their ability to fill in the gap in our internal marketing resources stands out. We see the benefit of having a full-time external resource like Maven Collective because we can trust them to be accountable to the plan and we can rely on them to guide us through everything.

No, there’s none that I can think of.

We hired Maven to help us create Digital Marketing Material and Branding to improve our presence on the Web. They created Custom Branded Marketing Documents and updated our overall company logo (as well as social media logos) Our goal when we reached out to Maven (who were highly recommended by a vendor we do business with) was to refresh / update our logo, social media presence and the material we give to potential clients. This goal was in direct correlation with our Main Objective to have a consistent professional brand on the web

**SOLUTION**
How did you select this vendor and what were the deciding factors?

We decided on moving forward with Maven after another vendor we do business with raved about them. This particular vendor had an amazing website and marketing so this was enticing to us. Price, Likeability and Thoughtfulness were the 3 main factors. We wanted a company who would deliver high end work at an affordable price. We wanted a company who had staff that were positive and energetic since we would be engaging with them for a couple months during the project. 

Lastly, we didn't want to just be another client where they give us a one size fits all solution. Customizing solutions specifcally for our company and caring enough to put the effort in to make sure we were extremely satisfied.

We initially went through a discovery call to set expectations and deliverables. Then once the roadmap was laid out we stuck to the schedule (they were always ready with their deliverables on time) and any changes or updates they took care of within a week. It was a very smooth process.

We worked with 2 main resources (the Principal and one of the Digital Marketing personel)

I’m an account executive at EFOQUS, a Microsoft Dynamics partner located in Vancouver, Canada. We’re a boutique company founded in 2000 in Copenhaguen, Denmark, and our Vancouver office has been serving North America since 2017. When we opened the Vancouver office, we didn’t have a phone number, voice reading, or business cards — we started from zero. We had our consultants for delivery, management, and sales, but we didn’t have a marketing team to help us, so we hired Maven Collective Marketing.

Maven Collective Marketing acts as our marketing department. They help market both our services and products. We're a Microsoft Dynamics partner, and we also develop software and are experts at implementing Dynamics 365 Business Central, the mid-market ERP system accounting software. Our company also helps clients integrate all their different departments of the company into an all-in-one system. The Maven Collective Marketing helps us with all kinds of marketing to promote these activities. 

When business is slow, we ask them for ideas for lead generation and brainstorm with the team. When we're very busy, they work on upcoming events where we can showcase our products and services. They help us with email marketing campaigns. They've also set up our Clutch profile for our customers to give feedback on our services. Generally, the team adjusts to our rhythm regarding what's needed. 

They built a custom website for us. Previously, we had a very basic WordPress website that didn't look professional. The team went through a discovery process and built our new site using the old one as a foundation. They've also helped build up the content on the site, including vlogs and blogs. Currently, they provide site maintenance and updates and handle any changes we require. They also help us with SEO; we rely on them for keyword research. 

The team also helps us with social media management and social media marketing (SMM). They run our Twitter and LinkedIn accounts. Maven Collective Marketing creates all the creative material for social media; sometimes, we pitch the ideas, and other times they pitch to us. We discuss the content, then they create it and come back to show it to us. After we approve the material, they post it and provide follow-up, responding to comments. Once they find a good opportunity, they pass it on to me, and I take it from there.

They also run SMM via Linkedin. Using my LinkedIn profile, they send automated messages looking for new business opportunities. If a conversation is more personal or it's with someone I know, they send me a notification to take over the conversation. We also have a YouTube Channel, and the team has been building up the content there. 

Additionally, they help us with 6–8 webinars a year where we showcase some of our e-focused products and services. The team prepares the scripts, puts together PowerPoint presentations, and coaches our guest speakers. We also attend 2–4 trade shows per year, and the next one is coming up in Florida, where we'll be showcased in the keynote speech. Maven Collective Marketing is helping us coordinate the event, from the registration to the booth rental. They're also preparing merchandise, including sweaters, t-shirts, and keychains, among other items.

What evidence can you share that demonstrates the impact of the engagement? 

Maven Collective Marketing is a very important partner for us and has been a big reason for our success. These days most people find their vendors through websites and social media. The team's work helps give us credibility when talking to prospective clients. Our previous website hurt us in prospect meetings because the content wasn't strong. Now, prospects know they're talking to the right partner and that we're trustworthy and have the necessary expertise, thanks to the quality of our content. 

We've also seen a big difference in new deals, opportunities, more site visits, and clicks since working with Maven Collective Marketing — it's been phenomenal. I'm always working on opportunities and closing contracts, and I don't have time to write a blog, so they work on the creative aspects of everything and anything in the marketing umbrella.

Moreover, the team has deep expertise with Microsoft partners; they work with 15–20 partners, though not many are in the same space. As a result, they already have ideas and know the keywords, which makes things easier because we don't have to educate them about what we do — they already know the space. They've become an extension of our company and have come up to speed very quickly; there's no shortage of ideas from them. We're happy to continue working with them as long as they're willing.

We have a biweekly call to review what's been done and what's upcoming. We have time-sensitive tasks and others that aren't, and they haven't disappointed us in their ability to execute on time. Our biweekly status calls help with the rhythm and ensure we're on the same page. Sometimes, we have to reprioritize things, and they work on the most relevant tasks for us. For example, we have a big trade show coming up, and they're making sure the details are ready. 

We use Microsoft Teams, email, and phone calls to communicate, and most of our communication is live and face-to-face. Occasionally, we meet in person as well. Since we're a smaller boutique company, we don't use project management software. We have a shared document where we add material. 

What did you find most impressive about them?

I'm impressed with the quality of Maven Collective Marketing's service and their execution. The quality is most apparent with the webinars because they're very delicate — there are no second chances. In the eight webinars they've done with us, their ability to drive good attendance and the quality of the execution on the day have been fantastic. 

Do you have any advice for potential customers?

If you're in the Microsoft Dynamics world, they're the gold standard for supplementing your marketing team. However, you want to keep an open mind, or the relationship won't work. If you have set ways and try to drive the direction rigidly, they won't be the right vendor for you. For example, my father runs his own company and is very rigid with his marketing ideas, so Maven Collective Marketing wasn't a good fit for him. To work with the team, ensure you're on the same wavelength.

While the site looks better than our previous version, it doesn’t look quite how I imagined it to be. We’ve definitely run into some issues due to the theme that we chose. There were certain functions that we wanted for the site that seemed to stretch the parameters of our theme, and other things just couldn’t be done. We ended up having to work within those constraints.

How did Maven Collective Marketing perform from a project management standpoint?

The process itself was enjoyable from start to finish. Erica and Ella were fantastic to work with, and we would communicate via emails and the occasional call. As for project management software, they used BugHerd.

What did you find most impressive about them?

The biggest thing for me was that they were a full-service agency. It was really nice to be able to centralize our needs — we didn’t have to go somewhere else for our SEO or for the website design. The process was enjoyable from start to finish — they are fantastic to work with!

I also think it’s awesome that they’re mostly a female-run organization. Everyone is a total powerhouse.

Are there any areas they could improve?

There were moments when there were some obvious mistakes in the design — things like having two fonts in different areas that should be the same. We ended up having to go through and find all of those discrepancies. It was a time-consuming process that felt like it shouldn’t have been on our plate.

Erica moves really fast, so you need to be on top of it. We fell off the wagon because our season got really busy, and it took a while to get back on. You should also take advantage of the things they offer.

They did digital marketing, branding, and they provided us SEO services. We are just about to start email marketing. 

They have provided a little bit of a mix of everything. They started out by interviewing our clients to make sure that we understood our brand and our value proposition. That was the starting point that led to the revamp. 

We are spun out of an old Danish company, so we inherited a homepage that was more typical of what they did in Denmark than what we do over here. Maven helped us reshape, reform, and redesign the homepage and we just went live with it about a month ago. They were part of that.

We really wanted to try and see if we could make the transition from being a project-based company to being a product-based company. It isn’t an easy task for people like us that have been in the business for a long time. Maven is helping us make that transition.

We’ve had positive feedback on the revamp that they did on the homepage. It is still relatively early in the process, meaning that we haven’t really made it out of the lab with a lot of the projects, but that isn’t a reflection of the quality of the service they have been giving us and it is more of a reflection of where we are in our journey.

How did Maven Collective Marketing perform from a project management standpoint?

Erica is on a retainer with us right now and we have about 20 hours of services every month that we use on an ongoing basis. I communicate with them at least once a week.

Like any other small company, a lot sits on Erica’s shoulders. She is an essential person and is typically very busy. Sometimes for all the right and the wrong reasons in the world, it ends up taking a little longer than she expected. She communicates well about it and lets us know when there is an issue. Overall, I would say that her communication skills are good. 

What did you find most impressive about them?

I think their understanding of our line of business and the challenges we have is impressive. They’re also able to combine that with the right marketing tools and techniques. 

Quite often, vendors are very generic in the way they approach things. That’s not the case with Erica. Her approach is much more individualized.

Are there any areas they could improve?

The only concern I would have is Erica’s workload and making sure that she builds enough power around her so that she can keep on being as good as she is to all of her clients. She has to make sure that if she wants to grow and continues to grow, she has a model in place for being able to deliver the same high-quality service that she is today. It isn’t a criticism, it is just the nature of the beast.

I would highly recommend them and would just say to people to not expect Maven Marketing to do it all for you. Work with them and engage in a good meaningful discussion as that is what we benefited from. It’s the same that I say to my clients, “I can’t do the project for you, I can do it with you,” and I think Erica would say the same.

We needed an external consultant in our network to work with third-party clients.

What was the scope of their involvement?

We worked together on a marketing project for consumable goods. We met with clients, figured out what they were looking for, determined what the scope of work was and how to achieve their goals, setting them in writing, and putting together a marketing plan for them. The retailer had multiple locations and they were looking to expand their business into more of a B2B audience.

First, Maven did some market research, so we could figure out what was going on with that side of the business. Next, they dug in a little bit to figure out what the positioning statement should be and who their target audience should be. We looked through client data together to see who they're talking to and how they're selling, and made recommendations from there. Then, they put a 12-month plan together to help the client with the B2B side of the business, including marketing automation, email marketing, and lead generation. Finally, Maven worked with them one-on-one and did a bit of coaching to help them write messaging, test it, evolve the methods of communication.

We certainly saw leads increase based on the work that we were doing. We also saw general interest increase within the target audience, too. Our clients were happy to have Maven's expertise with them throughout the process.

Erica's very professional. She's confident in her knowledge and works well with clients. Her project management skills were very tight and did everything she was supposed to, including attending all of the client meetings.

What did you find most impressive about them?

There aren't many women on the marketing consulting side, so having a woman work with teams of women was great. She's also very good at explaining technical details in laymen's terms without making clients feel bad for not knowing.

Firstly, my sales lead and I had an introductory call with the founder, Erica to scope out the project and requirements. We then had a workshop session to define what the program entails and what assets would be required. Next, each asset was developed and reviewed with regular communication and weekly check ins. Finally, the project was delivered and a final conclusion call was held to complete the project.
