I am the owner of a software company that sells medical evaluation software to physicians. Our company is geared towards a very specific market called impairment ratings, which are used to calculate awards or settlements for people who have been injured on the job with the Department of Labor. 

There are only three other companies in this multi-billion dollar niche so I streamlined the process and made it a subscription-based program.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with HeavyTask, LLC?

I didn’t know anything about technology but I wanted to inform Shah (Founder & CEO) about what type of challenge this is going to be because we’re marketing to doctors, MBAs, and chiropractors. They’re not the easiest people to take a dime from — trust me, I’m a former critical care nurse and have been working with them my whole life. When I explained it to Shah, he said yes, he could do it and he’s been Johnny-on-the-spot.

What was the scope of their involvement?

Shah and his team at HeavyTask LLC have helped me develop a WooCommerce-based platform to sell testing services for healthcare professionals. I told him roughly what I wanted to do, put it all together, and sent it over to him. Then, I was just blown away by his insights because he didn't get anything wrong.

My company does testing for doctors because they have to be tested before they’re allowed to produce this very complex medical evaluation, which is the impairment rating. I needed the tests from my previous servers to be migrated to my new server. 

After I sent over the tests that needed SSL certificates, they created the marketing for it by taking information from our website and outlining this phenomenal flow of information. This included a map on what sites to use, which tests to perform, and how many people are required to test the doctors. He migrated the information we had done on our own site and embellished on it.

We used WooCommerce and Act! as my CRM. Shah found out that Act! will interface with WooCommerce and features a subscription based program, which is what I was looking for. They created a link for me so that when somebody subscribes to us, the data will go back into my Act! program, which will release the invoices and receipts.

What is the team composition?

I’m working primarily with Shah and there’s another gentleman who does programming for me.

How did you come to work with HeavyTask, LLC?

I was introduced to HeavyTask about two years ago through a local friend because I was looking for a new company to help me with my web search. They actually flew up here to meet me which I thought was incredibly professional. 

How much have you invested with them?

We’ve spent approximately $5000 so far.

What is the status of this engagement?

The ongoing partnership started in February 2020.

What evidence can you share that demonstrates the impact of the engagement?

I’ve had a couple of doctors look at the new website and they felt that it was really easy to follow. Other people I have done business with before came across the site, called me up, and were relieved to know that I’m still in the business because they wanted to start using my software. For somebody like them to come back to me after so many years and recognized me through my website is pretty impressive.

My flaw is that I don’t know the technical language anymore. Everything is going at lightning speed so I needed somebody that, if I said a word, they’d understand that it might mean three different types of words. And that’s what Shah is really good at. It takes talent to decipher what I’m trying to say especially if you’re not in the medical field.

How did HeavyTask, LLC perform from a project management standpoint?

Considering how busy Shah is, he never misses a beat with me. I have a feeling that’s the way he is with all of his clients. They always meet deadlines and are always communicating with me even though sometimes we have a 12 hour time difference.

What did you find most impressive about them?

One thing they do particularly well communicate.

Are there any areas they could improve?

I’m really trying to think about what I could say to assure that Shah can improve, but he hasn’t given me anything to tell him to do better.

Do you have any advice for potential customers?

My advice would be to try to be as comprehensive as you can with the market that you’re choosing to penetrate. Shah’s team are experts so when it comes to dealing with them, be as specific and be as open to suggestions for improvement.

We needed a company that could help us improve our digital footprint, move into e-commerce, migrate our website and emails onto a more stable hosting environment, and manage our IT needs.

I personally chose between four companies. I interviewed all of them, listened to their approach, and viewed their financial proposal. I asked pointed questions and gauged their responsiveness. The competition wasn't even close. Heavytask not only responded faster than all the others, but also provided a competitive proposal and answered challenging questions with plans and timelines.

They migrated my website and emails to a more stable host. They also modernized and improved my website, expanded my social media tools, moved us toward an e-commerce platform, improved our SEO, and improved our digital footprint.

The team included myself, my IT person, my social media manager, and the team from Heavytask.

Can you share any outcomes from the project that demonstrate progress or success?

The site is up. Its appearance has improved and it has never lost functionality. They moved emails to a new host and fixed all our previous issues.

How effective was the workflow between your team and theirs?

We built a game plan and timeline, then kept to the schedule. Heavytask, LLC responded to questions and suggested how to achieve our goals. The workflow was effective.

What did you find most impressive about this company?

I appreciated their responsiveness. It amazed me how non-responsive other professional companies were; it was like they didn't care about the project. Heavytask, LLC was on the opposite end of that spectrum. Sometimes they waited for us.

Are there any areas for improvement?

Heavytask did what they could with the information I provided. If I had known my own timelines for certain, we could have created a Gantt chart to track progress. We couldn't have done that, though, because our work is contingent upon others.

I’m the director of marketing and sales for BOLA granola, a family-owned, handmade, small batch granola company based in Great Barrington, Massachusetts.

We hired them to create and design a new website for BOLA granola to meet and exceed our e-commerce goals and improve the purchase experience for our online customers.

We basically wanted a rebrand to increase sales and gain more accurate analytics.

Our web sales have gone up incrementally every month since we rebranded and launched the website HeavyTask created and got rid of our old layout.

Project management went very smoothly. We collaborated on the new site using multiple forms of communication, including Google, Dropbox, Skype, Trello, and more. HeavyTask is very up to date with their tech and they utilize these skills to the fullest.

Their response rate is astounding. They get back to you almost immediately for requests or issues.

HeavyTask—to my understanding—has been a growing company since we started working with them. They’re constantly improving and hiring qualified and experienced help.
