• Responsibilities of the team included: Designing, architecting, and programming the SaaS Growth product. Agile project management.

TumorManager™ while serving our customers well had started showing its signs of age. It was based on a technology stack which was not officially supported by Microsoft on Windows, every deployment requires workarounds to set up. Additionally our competitors, though behind in terms of accuracy, speed and execution were able to gain ground because of the modern technology stack that they were offering.

The key deliverables for the project's initial phase include:

1. Understand the ecosystem around the client's structured light 3D scanner, other data collection devices, and preclinical study management processes to identify core issues and opportunities.
2. Introducing a tier-based feature set and transitioning to a SaaS subscription model to improve product accessibility and financial appeal
3. Initiation of a hybrid web/desktop application with an Electron-based data entry tool, integration with serial protocol devices, and enhancements to existing software for better performance and integration.
4. Successful Delivery of Phases 1 & 2—Implementation of the data entry tool and elements for the hybrid application, demonstrating the feasibility and supporting future development phases[1], including a module for study management and advanced analytics.

What were the measurable outcomes from the project that demonstrate progress or success?

The previous technology stack served us well for over 15 years. But, as mentioned above, it had started showing its age. Additionally, there was little flexibility in terms of deployment for different organizations' needs. Not all organizations need an end-to-end study management solution or analytics; some require a simplified study management system that can be used with devices as efficiently as possible.

The new stack that the team developed significantly boosted our sales. New companies started to show interest in our system, and old partners expressed interest in buying the old system. 

We doubled the number of deployments from the previous system. Year over year, our revenue has started showing a positive outcome.

The lead worked with us to create a very elaborate plan with step-by-step execution. He listed the milestones and the timeline. The entire team then aligned itself to meet the milestones. We had to extend the timeline by a month to factor in additional changes that we encountered during the application's development. But the team, stack, and timelines were flexible enough to incorporate that easily.

The team communicated proactively to ensure the change requests were understood well and designed architecture to factor in potential future requirements.

What did you find most impressive or unique about this company?

The team is very efficient. They have an excellent understanding of the technology that they work with. 

They introduced some radical changes in the initial architecture. There was some skepticism initially, but they showed a lot of commitment towards the delivery. That gave us a lot of confidence to agree to proposals.

The platform is unique in that it also has many hardware integration components. The team took up the challenge of doing the necessary research for the integration and was able to deliver in the end.

We had previously tried this with two other vendors, but none of them were able to deliver within the agreed timelines or budget. The Coditation System not only delivered within budget and time but also gave a new direction to our sales strategy.

Team Coditation is very efficient in their programming methodologies. They had developed an impressive architectural design. Over time, we were able to make some radical changes to the user experience with ease.

I’m the founder and CTO of huddl.ai, a B2B SaaS company.

What challenge were you trying to address with Coditation Systems?

Because of the COVID-19 pandemic, one of the problems we had was decreasing the burn that we had as a company. At the same time, we still needed to do a lot of work. We ended up decreasing our resources in the US, but It was tough to hire high-quality people. Since our focus was mainly on engineering and execution, we needed a partner with a high-quality from a place that wasn’t as expensive as California. As a result, we hired Coditation. 

SOLUTION

What was the scope of their involvement?

Coditation has worked on our main product, which is a meeting solution. We’ve built an alternative solution that automatically creates highlights from meetings on Zoom, Teams, and other solutions. 

Moreover, the Coditation team has been mainly involved with us on the frontend. They’re building our app and the integrations we’ve built into our enterprise tools — their resources focus on the frontend work for these projects. The main technology we use is React. 

What is the team composition?

The team composition has changed over time. We started with one resource in the beginning; that resource worked with us for more than two years. He started out as a senior engineer and became a team lead. Since then, we’ve had four resources from them in total. The previous resource has been transferred to a managerial role. Currently, we work with first-level engineers and senior engineers. 

How did you come to work with Coditation Systems?

We found Coditation through a referral. We had an advisor that was also advising for Coditation. We needed some help, and that person made the connection between our teams. 

How much have you invested with them?

Our investment has been close to $200,000. 

What is the status of this engagement?

We started the engagement in July 2020, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

We measure success by checking how timely their contributions are. From a quality perspective, we pay attention to code reviews. 

Overall, Coditation has been one of the best teams we’ve ever worked with; we’ve been impressed by the quality of the people they’ve hired. Our team has never had to get a resource out because they’re underperforming. 

How did Coditation Systems perform from a project management standpoint?

We’ve always handled the management of the project. We use Jira as our predominant tool. To communicate, we use our meetings product and Slack. 

What did you find most impressive about them?

Coditation’s predictability is their strength. They're honest when they say they’re hiring a junior resource instead of a senior one. The same goes for the senior roles. Our plans are always accurate because of the information they give. 

In other words, they never oversell their services. In fact, they might have been underselling it and overperforming — this has been a pleasant surprise for us. 

Are there any areas they could improve?

They could use some help in terms of their ramp-up speed, hiring of people, and updating us about their resources’ availability. 

Do you have any advice for potential customers?

As long as you have a plan in place on how to use Coditation resources, the team will do a great job. Your planning should be impeccable.

While the overall experience was positive, an area for improvement could be reducing the time delays by including a senior project development member from the beginning. Additionally, more proactive involvement for project enhancements would have been beneficial.
