I’m the manager of digital experiences and engagement at Wilson Sporting Goods, a manufacturer of high-performance sports equipment, apparel, and accessories.

**OPPORTUNITY / CHALLENGE**
What challenge were you trying to address with Calibrate Software?

We needed a company that could help us develop a mobile app. This was our company’s first mobile app project, and the original concept involved putting NFC tags in our products. We previously worked with an Ohio-based company that was supposed to white label the app for us, but it proved to be a very unsuccessful, difficult, and overall very expensive project at every turn.

About nine months ago, we decided to go in a different direction with a different team and engagement driver. We wanted a company that’s based in Chicago so we could work with them closely and on-site.

**SOLUTION**
What was the scope of their involvement?

Calibrate Software has designed and developed a community builder and engagement app for iOS and Android. They’ve walked us through the whole design process and developed the app in React.

Additionally, they’ve built a CMS that allows us to change the app’s content on the fly and gather data about our user base. It’s also integrated with Amazon AWS and Amazon Recognition, which is an AI image recognition service. This allows users to scan any Wilson football or basketball to unlock various pieces of content such as giveaways, stories, insider access, exclusive price drops, and tickets to events.

We’re currently in a soft beta phase, and the app is now live in both the iOS App Store and the Google Play Store. We’re still working with Calibrate Software for the app’s maintenance. The next big step for our partnership is the app’s integration into a lot of Wilson's digital environments like ASP, Salesforce, and on-site POS in our new retail stores.

What is the team composition?

We primarily work with Kevin (CEO), our scrum master and main point of contact, and Sean (CXO), who’s in charge of the UX design and creatives. We also work with a developer and a project manager from Calibrate Software.

How did you come to work with Calibrate Software?

We came across Calibrate Software through Clutch.

How much have you invested with them?

We’ve spent around $118,000 for the initial scope, and then we’ve signed them on a retainer agreement for $205,000. I’d say we’ve spent over $300,000 so far.

What is the status of this engagement?

We started working together in August 2021, and the engagement is ongoing.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement? 

The app now has under a thousand users, but we don’t have any metrics outside of that yet. However, I can definitely say that I’m 100% satisfied with Calibrate Software’s work. They've gone above and beyond for us, and even though we still have a long way to go, they’ve definitely gotten us where we needed to in just a short period of time.

How did Calibrate Software perform from a project management standpoint?

Calibrate Software has performed exceptionally well in terms of project management. Their response time is unbelievable — they consistently get back to us almost immediately. As far as the deadlines go, I think we'll get on a sprint delivery cadence now that the app’s more stable and in a full beta build. 

We primarily communicate through emails, phone calls, and text messages. We use Jira to keep a log of all of our communications and ideas and for feature tracking.

What did you find most impressive about them?

I really love how Calibrate Software is very passionate about the project. They’ve really dived in and thought about our project from a 360-degrees standpoint, and they bring a lot of great ideas to the table, too.

Are there any areas they could improve?

They could do better in delivering on time and managing the deadlines and our expectations.

Do you have any advice for potential customers?

Come in with everything you know about your company and allow them to be creative and expand the project a little bit. But if you know exactly what you want to do, they'll get it done and then take it to the next level.

Calibrate Software has been responsible for making functionality improvements, cleaning up the UI, and creating some overall enhancements.  We went through a series of design sessions where they drafted up a series of UI features. We went back and forth until we were aligned and then moved on to development after that. We’ve gone through a few rounds of prototyping and a beta testing environment to prepare to launch these new features. Some of the enhancements Calibrate Software has made include direct messaging between individuals and adding a polling feature for users to include in posts. They’ve improved notifications and added shareable links so users can share content found outside the app. They’ve also created a robust search and filter function where users can find other users based on mutual interests. We spoke regularly, and they were transparent about where they were with the project. They checked in with us to ensure our priorities were aligned and made adjustments along the way. We communicated via email, and Calibrate Software consistently sent us follow-up and preparatory emails. Calibrate Software designed and developed our website. They designed the UI/UX, and we requested an accessible and friendly design that any person could use since we have a wide target audience. Our site had several sections and required programming abilities and tracking points. Calibrate Software created our site using WordPress and integrated several plug-ins.

Our site’s goal was to provide a library of curated content about sustainability and environmental actions, facts, and history with free online resources. The site has a page with different categories you can click in. Each category has articles that users can read in detail, images, interactive questions, and links that take users to other websites with more relevant information. Our site is all about community and sharing resources. 

We also have a program that users can join for free. As part of this program, users receive weekly emails inviting them to visit our portal and access a different section of our website to watch the weekly videos and interactions. When users complete our 52-week program, they receive a digital certificate, and their points represent the number of trees we plant on their behalf through a reforestation program. 

Any person can join our program. One of our goals is for companies and organizations to use our website to learn about all the possible environmental best practices they can take in their workplace. 

Calibrate Software just launched our site and hosted it on their servers. Calibrate Software provided us with web maintenance throughout the project to achieve the desired result. I plan to keep using their maintenance services in the future.

I worked with three teammates from Calibrate Software, including the lead UI/UX designer, a web developer, and an account manager.

Calibrate Software stayed on budget. Our project’s timeline was extended, but Calibrate Software met the ultimate deadline, which was the site’s launch. Calibrate Software was also receptive and responsive to our edits during the design phase.  

Calibrate Software used Trello and different tools for project management, although I didn’t use them. Calibrate Software’s team was organized, and we communicated through Google Meet and email. 

What did you find most impressive about them?

Calibrate Software’s design and technical abilities impressed me the most. Calibrate Software could resolve multiple problems in those two regards.

I know I wasn’t Calibrate Software’s biggest client. However, I was assigned only one developer, and I wish they could assign more developers to each client.

Be as clear and thorough as possible when communicating with Calibrate Software. I have a tendency to send many emails, and I think it would’ve been better if I had been more concise and methodical in my communication. We needed help to automate our scheduling process by developing a mobile application for workers, another mobile app for clients, and an admin web portal. We already had an existing scheduling mobile app for our workers, but it wasn’t customized enough for our business needs. We also wanted to incorporate our clients into the scheduling process.

What was the scope of their involvement?

Calibrate Software has designed and developed two mobile applications and a web portal for us. The apps are compatible with Android and iOS devices, and Calibrate Software used InVision to create the apps’ designs and Figma to share them with us. Calibrate Software also shared other documents with us through Google Drive. 

Our apps’ main purpose is the automation of our scheduling process. A client or admin can make a scheduling request and book the medical staff they require on a certain date at a particular time. On the workers’ app, these requests translate as open opportunities that workers can request to fulfill. Workers can see the client’s location, and once they select to fulfill a request, the client can confirm it, and the appointment moves to their app’s calendar. 

Calibrate Software has also developed a web portal that is a backend view of the apps, it has the same functionalities, and we can see all the clients and workers. Calibrate Software will also assist us with the app’s maintenance. 

What is the team composition?

We work with around 10 teammates from Calibrate Software, although only 3–4 are present on our calls. Kevin (CEO) and Sean (Chief Experience Officer) are always present at the design meetings, and we also work with a project manager and several developers.

How did you come to work with Calibrate Software?

We looked online for many different developers who could do the job. We sent out many Requests, and Calibrate Software quickly got back to us. What impressed us the most was that they had good communication.

We searched for development companies online and sent RFPs to several vendors. We got a message back from Calibrate Software within one day of contacting them. We didn’t see this with other companies that didn’t contact us back or would do it significantly delayed.

We’ve spent $500,000 with Calibrate Software so far.

What is the status of this engagement?

We started working with Calibrate Software in April 2022, and the engagement is ongoing. We've launched part of the app in March 2023, and Calibrate Software is about to finish the development. We plan to enter a maintenance contract after they finish.

Although we haven’t released the app with its complete functionalities yet, we plan to work with Calibrate Software again — that’s a good sign of their work’s quality. We really like Calibrate Software’s design quality because their designs look good, and we can tell Calibrate Software really cares about what they do. Calibrate Software understands what we’re trying to accomplish, and we’re happy with the project’s results. 

Moreover, Calibrate Software has helped us automate our scheduling process and put all the pieces together because the more clients we have, the more job opportunities we can offer our workers. This project has been a learning curve because we didn’t know how long a development process takes. 

How did Calibrate Software perform from a project management standpoint?

We’ve had transparent and honest communication since we started working together, and Calibrate Software always follows up on emails, which is really helpful. There have been times when we weren’t on the same page, but we just had a phone call to discuss things until both parties felt comfortable. We also communicate through Google Meet and text messages. 

We use Trello for project management. Calibrate Software’s budget is fair compared to other companies I talked to. Calibrate Software is clear about price, and nothing is over budget.

What did you find most impressive about them?

I’m most impressed with Calibrate Software’s communication. Calibrate Software is good at prioritizing between phone calls and following up with written communication. Calibrate Software is also good at receiving feedback and is nice to work with. 

Are there any areas they could improve?

Our only challenge with Calibrate Software has been getting an accurate timeline for deliverables. However, I understand this since our software has a lot of variables and pieces that depend on each other. I know developing new technology is hard, and I just wished Calibrate Software would provide more accurate timelines. On the other hand, I think we wouldn’t get better scheduling with other companies.

I recommend to set realistic timeline expectations with timeline and if there is a miscommunication issue, bring it up to Calibrate Software as soon as possible. I thought I was being proactive in communicating, but I wasn’t.

Calibrate Software has designed and developed a community builder and engagement app for iOS and Android. They’ve walked us through the whole design process and developed the app in React.

Additionally, they’ve built a CMS that allows us to change the app’s content on the fly and gather data about our user base. It’s also integrated with Amazon AWS and Amazon Recognition, which is an AI image recognition service. This allows users to scan any Wilson football or basketball to unlock various pieces of content such as giveaways, stories, insider access, exclusive price drops, and tickets to events.

We’re currently in a soft beta phase, and the app is now live in both the iOS App Store and the Google Play Store. We’re still working with Calibrate Software for the app’s maintenance. The next big step for our partnership is the app’s integration into a lot of Wilson's digital environments like ASP, Salesforce, and on-site POS in our new retail stores.

What is the team composition?

We primarily work with Kevin (CEO), our scrum master and main point of contact, and Sean (CXO), who’s in charge of the UX design and creatives. We also work with a developer and a project manager from Calibrate Software.

How did you come to work with Calibrate Software?

We came across Calibrate Software through Clutch.

How much have you invested with them?

We’ve spent around $118,000 for the initial scope, and then we’ve signed them on a retainer agreement for $205,000. I’d say we’ve spent over $300,000 so far.

What is the status of this engagement?

We started working together in August 2021, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

The app now has under a thousand users, but we don’t have any metrics outside of that yet. However, I can definitely say that I’m 100% satisfied with Calibrate Software’s work. They've gone above and beyond for us, and even though we still have a long way to go, they’ve definitely gotten us where we needed to in just a short period of time.

How did Calibrate Software perform from a project management standpoint?

Calibrate Software has performed exceptionally well in terms of project management. Their response time is unbelievable — they consistently get back to us almost immediately. As far as the deadlines go, I think we'll get on a sprint delivery cadence now that the app’s more stable and in a full beta build. 

We primarily communicate through emails, phone calls, and text messages. We use Jira to keep a log of all of our communications and ideas and for feature tracking.

What did you find most impressive about them?

I really love how Calibrate Software is very passionate about the project. They’ve really dived in and thought about our project from a 360-degrees standpoint, and they bring a lot of great ideas to the table, too.

Are there any areas they could improve?

They could do better in delivering on time and managing the deadlines and our expectations.

Come in with everything you know about your company and allow them to be creative and expand the project a little bit. But if you know exactly what you want to do, they'll get it done and then take it to the next level.

We measured success by checking whether the team accomplished their tasks and went above and beyond what we wanted. We also gauged whether they were enjoyable to work with and professional. Overall, Calibrate was highly professional, and working with them was enjoyable. We had a nice experience with them. 

With this feedback, we want to work with them again in the future to do our logo and a few other projects. 

How did Calibrate Software perform from a project management standpoint?

We appreciated Calibrate’s attention to detail and creativity when it came to designing the website while thinking about the goals of our laboratory. On top of that, their ability to stick to our schedule and budget was of high quality. They even waited on content from us, so it never felt like they were behind schedule in any way; they were always ahead of the curve. If the project took longer than expected, it wasn’t their fault. 

Moreover, the tools they used allowed us to comment on the website, and it was phenomenal. We could easily select parts of the site and leave comments about what we wanted to change or add. To communicate, we mainly used emails. 

What did you find most impressive about them?

Calibrate’s persistence stood out to me, and they were focused on customer satisfaction. They also consistently reminded me to be responsive. This way, they showed that they truly cared about their customers; they weren’t simply trying to get things done. On top of that, we could see that they enjoyed their work, and they had integrity.

They produced exceptional design work. Calibrate Software was able to give us a pretty overhaul on our system, and it was clear that we never had a good UI/UX expert until they came along. Internally, we’d still develop our app, but we expect to launch it at the end of November 2021. 

How did Calibrate Software perform from a project management standpoint?

They finished our project ahead of schedule, and they were able to hit our target budget. They did a good job of setting expectations for the project, too. As a result, we had a very good experience with Calibrate Software because they were very easy to work with.

Furthermore, throughout the process, Kevin was on top of everything. Whether it was about emails, notes from meetings, details about discussions, and project proposals — Kevin was always organized. We had weekly meetings, and there were also times we met twice a week to discuss the project’s progress.

What did you find most impressive about them?

There were two impressive things about Calibrate Software. Firstly, they knew how to engage with us, and they had really good and realistic ideas. Secondly, we were impressed with their design skills. In the end, what really mattered most was if they were able to create good product designs — and they were able to do that.

Calibrate ultimately produced a product that we’re happy with, and we’re really excited about its upcoming release. Our app wasn’t easy to develop, but they were very hardworking and helped us get it across the line.

Overall, they did a great job taking my idea and making it a reality. Being former athletes, they understood what I was trying to do.

How did Calibrate Software perform from a project management standpoint?

Calibrate was diligent in their work, and they provided us with weekly updates via email. Our lines of communication were always open, and they communicated properly.

Kevin did a great job keeping me updated along the way about any issues, and the project manager communicated with me weekly to let me know the status of the project. Additionally, we always jumped on a call whenever necessary.

In this business, there are always delays. We missed a few deadlines, but Calibrate always gave me notice when a deadline needed to be extended.

What did you find most impressive about them?

Calibrate leadership’s communication was impressive. Kevin didn’t just introduce me to his team and disappear; he was intimately involved in the entire process. I could always pick up the phone or email him and have a conversation with him.

Another characteristic that really stood out to me was their responsiveness. Calibrate seemed to work 24/7, and they always responded to our emails. They never had an email sitting in their inbox for longer than an hour.

Are there any areas they could improve?

My only criticism is that they need to improve their deadline management. I come from a space where, if I get promised a deadline, I expect it to be met. We missed a few deadlines, and they sometimes rushed to deliver something that wasn’t final, so we had to do some tweaking and bug fixing afterward.

I don’t have a background in technology, but I now understand it better. I know that these situations are fairly common in this space.

Have someone internally who speaks the same language as them and understands design, UX, and development. This person will help you communicate your needs and wants effectively.

Then, it also allows us to approve or decline customers directly from the platform and send them an email with an immediate response.

For development, we had phases. Initially, we had a bunch of meetings with them so they’d understand what we were looking for. Then, we started designing for approval. The last phase was creating the actual software, connecting it to the third-party vendors, and ensuring it all worked with all the calculations and things we needed. We gave them the third-party software they had to integrate, and they used WordPress from their side.

We don’t have metrics yet, as the site hasn’t launched but that’s not their fault. In terms of working with them, we probably ran them around a little bit. We’re in a visual business, and they were very good at taking the vision we communicated and finding a way to make it work. They’re very creative and resourceful in that way.  

How did Calibrate Software perform from a project management standpoint? 

They did a good job with this. The management was very professional, with them providing status reports after meetings or at key dates that revolved around decision making. Kevin kept everyone on track.  

For communication, we used a combination of emails and in-person meetings; this was pre-COVID. They would also send a link to a test site so we’d be able to see things at the very end.  

What did you find most impressive about them? 

Their knowledge of different platforms they can work on stands out. There’s a lot of add-ins and sub-programs–different ways to create effects within a website—and their knowledge of those was very strong. The ability to allow our website to be unique to what we wanted was great. They didn’t give us a template to fill in.  

Are there any areas they could improve? 

Like in the building industry, sometimes things take two months when you thought they were going to take one month. It’s difficult to manage expectations, as they don’t know what I’m going to ask for, but if there’s an area to improve in, it’s communication and managing expectations of delivery dates. That’s the same for any company.  

Do you have any advice for potential customers? 

Have as clear of an idea as you can, at the beginning, of what your goals are and what you want. For web design projects, you can lower the costs and shorten the experience by having as much of your homework done before you launch. Otherwise, make sure they’re asking the right questions to draw out those things they need to move efficiently.

How did Calibrate Software perform from a project management standpoint?

Calibrate Software is always on top of my needs and constantly communicate. Compared to the first development team I worked with, they’re much more responsive. That means a lot to me, especially when a project ends up taking longer than expected. 

We use a shared Trello board to see where we are in our sprints. I get notifications when a task moves from one stage to the next, which lets me and my team to jump in and test what’s happening.

What did you find most impressive about them?

Not to go back to this ad nauseam, but their responsiveness is a big part of why I like working with them. I might send a text message or an email and get responses soon after. They’ll even respond on weekends sometimes if I’ve got a technical issue with my program. 

Besides that, they’re creative in thinking through ideas. The team iterates through future versions of what we could do or include, coming up with different ways to improve our app. In that sense, they’re more like a team member than a contractor.

Are there any areas they could improve?

As the founder of a startup, I always wish that things were moving faster than they are.

Do you have any advice for potential customers?

Looking back at my own journey, I’ve found that it’s really important to map out the way your programs and processes are supposed to work. That includes the analytics. What data are you tracking and how are you going to track it? 

You’ll want that data reported upfront so that you’re not trying to tie your product back into it later. Understanding the data behind our user journey has been an ongoing challenge for us.

We used Trello for project management. It took us a little while to get into a groove with our communication. Being able to track development and testing through project management boards was very helpful. We don’t have a ton of in-house tech experience and needed a bit of handholding. They found a way to make that work. Deadlines were missed when we weren’t able to clearly articulate our needs or expectations.  

What did you find most impressive about them?

Our app is gorgeous, professional, smooth, and fast. It makes me happy every time I open it.

There could have been more communication surrounding timelines. Sometimes, we thought we were asking for something simple when it was actually very complicated. At the beginning of our collaboration, this happened a few times. By the end of the engagement, we figured out how to best communicate.

What evidence can you share that demonstrates the impact of the engagement?

There are still a lot of features I would like to add to the site, but they have been absolutely instrumental to all of the progress that we have made on the site so far. They’ve added live weather monitoring to the site, as well as the backend infrastructure necessary to add the kinds of webcam or reservation features that I would like to have in the future.

Since the new form launched, we’ve been getting a lot of new applications to the program, which makes me think that the process we implemented really improved the overall accessibility of that form. We’ve also seen an increase in visitors, but I would like to continue that trend and also improve our tracking capabilities so that we can see those numbers more accurately and find out where they’re going and how much time they spend on the pages as well.

How did Calibrate Software perform from a project management standpoint?

They do a really good job managing our communication and timelines throughout the work. Their team would send me notes after every call, including any outstanding items on both their and my side so that it was very clear what the next steps were for everyone involved.

Progress was always tracked very accurately, and they followed through on all of their projected deadlines for every task that we assigned to them. Most of our communication occurred over email and telephone, as well as video calls and screen sharing when we communicated about specific features or designs.

What did you find most impressive about them?

I really appreciated the work they put in to understand our business. We don’t sell from our website, and the individual concessions handle their own marketing and everything. Their ability to look at that and not just take a cookie-cutter approach that wouldn’t have fit our needs as well as what they came up with in the end was something I really appreciated.

My co-founders and I wanted to introduce an advertising platform for the cannabis space because the industry is so heavily regulated on social media and in other traditional forms of advertising. We engaged Calibrate to develop our application—called 420 Trivia.

**SOLUTION**
What was the scope of their involvement?

When we first met with Calibrate, we only had the initial concept, so we relied on their team to fill in the technical gaps. Calibrate made all of the UI/UX designs from scratch. They came up with three different versions, and we tweaked our favorite until we arrived at our final design. Once the design was in place, Calibrate developed Android and iOS versions.

Our application offers several games that allow users to win money and prizes. Calibrate was instrumental in determining how we could create interactive, live games and non-live games. Similarly, they configured the application so that it did not kick users out or experience lag time when many users are on the app at once—a problem that has plagued other trivia and game apps.

One feature we are particularly excited about is a VIP game room where users can pay to play in games hosted by celebrities. In those cases, we cap the number of winners at anywhere from 3–10 depending on the number of entries. Unlike other trivia games that have thousands of winners earn small amounts of money, for example, we wanted to ensure that our winners received much larger sums. We leaned on Calibrate’s experience to determine how we could do that, not only from a legal standpoint but also from a payment transaction perspective. To facilitate payments through the app, Calibrate included integrations with PayPal and other methods.

I had two primary points of contact.

How did you come to work with Calibrate?

I learned of Calibrate through a recommendation from another member of the Young Entrepreneur Council I participate in. I arranged a meeting with Calibrate’s team and was impressed by how quickly they could come up with solutions.

Our engagement spanned September 2018–March 2019. The project is complete, but we haven’t launched yet because we have recently introduced MJ.com. We want a one- or two-month focus on the website before we launch the application.

We’ve received feedback from executives in various industries that our product will have value and relevance among musical artists and cannabis brands.  

How did Calibrate perform from a project management standpoint?

Their team was available at all hours. In fact, because they have been so responsive, we've asked them to maintain our servers. During the development process, we received weekly reports that updated every line item of the project and predicted times to complete each task.

What did you find most impressive about them?

We didn’t have to go back and forth on the app’s design because they nailed it on the first try. They delivered exactly what we envisioned and discussed. That was pretty impressive because I’ve known the design process to sometimes take 6–8 weeks.

Are there any areas they could improve?

As their team grows, I’m hopeful that they can add more resources to their staff. There were times when we hoped to expedite certain pieces of the program, but they didn’t have enough available people to do so. That said, Calibrate still met all of the deadlines we agreed to.

I’m well aware that there are less expensive vendors, but, in my experience, those companies end up costing more in the long run because of all the changes that will need to be made. Leveled Pro is an easy to use platform designed to allow contractors, homeowners, and investors to stay in touch during each phase of their home renovation projects--whether they’re on site, at work, or even out of the country. The app includes mobile payments, in-app messaging, and much more.
The app contains advanced payment logic, as the client had specific requirements around building and escrow feature so home owners would be charged for a milestone, but contractors would NOT receive payment until the task was marked as complete.
