We currently do not have an in-house recruitment department that can efficiently and effectively hire the specialized talent we need. Therefore, we decided to partner with a provider to manage this process for us. Our primary goal was to expand our team with developers, and we needed a partner who could deliver quality candidates quickly and reliably.

In terms of scope, the provider was responsible for the full recruitment cycle, including sourcing, screening, and presenting qualified candidates. The key deliverables included finding and hiring PHP and Python developers who met our technical requirements and aligned with our company culture, all within a specified timeframe.

I'm a senior manager for a company providing secure networking across the globe. Our customers have locations across the world. They connect to our infrastructure, and we provide them with secure and fast connections at a very high level.

We needed outsourced support engineers to join our team. We wanted to expand our team within Europe and the surrounding areas, so we were looking for a global distribution of engineers.

What was the scope of their involvement?

ALLSTARSIT provides us with outsourced support engineers. Through them, we've hired Tier 1 and Tier 2 engineers, who are based in Ukraine and Poland at the moment. For every new hire, we send ALLSTARSIT a guide describing the type of candidate we're looking for. This guide includes the job description and responsibilities. Then, they go out to collect different CVs and come back to us with high-quality candidates that fit our needs.

As a networking and security company, the type of candidates we usually look for are those interested in networking security. These resources need a baseline understanding of CCNA, baseline levels of networking, and good communication skills. ALLSTARSIT has also offered training. However, we do training in-house.

What evidence can you share that demonstrates the impact of the engagement?

The resources we've hired through ALLSTARSIT have integrated very well into our team, mainly thanks to the information ALLSTARSIT provides them. When they come in, they already know how our company works, how they will work with us, and how they will interact with other team members; the onboarding is very straightforward.

How did ALLSTARSIT perform from a project management standpoint?

We work in a different way than most companies do. For example, we can sit on a Zoom session all day for team building, discussing different leadership aspects. Despite our way of working being very unique, ALLSTARSIT's resources get used to it, allowing for fantastic communication overall.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Iryna (Sourcer Specialist) acts as our recruitment team leader. She has been fantastic, as she's always available and willing to help. Usually, when working with an external recruiting team, it is hard to get a hold of the recruiters. However, working with Iryna is the opposite. She's so available that it feels like she doesn't sleep. She's around all the time answering questions and is always happy to help.

What did you find most impressive about them?

The fact that ALLSTARSIT's resources get the job done at a very high level is outstanding. Moreover, their communication skills are fantastic, and if there's a problem, they're very quick to resolve it. For example, if the recruitment process stats stalling, they come up with good ideas to improve the process. Overall, they're a very good company.

There's nothing I would have them improve.

What was the scope of their involvement?

ALLSTARSIT provides us with recruiting services for annotators. The team is responsible for finding candidates for us and doing the initial screening. We have a team lead in West Bank who manages the annotators on a technical level. She has been responsible for defining the job description, so ALLSTARSIT hasn't been in charge of doing that. Still, our team lead has worked collaboratively with the team in the recruitment process. She's part of both the initial and the technical interviews.

I've worked closely with five teammates from ALLSTARSIT, including Alex (GM Israel & Chief Customer Officer).

I just joined the company two months ago, so I don't know how we found them. However, I believe that my CEO personally knew someone from ALLSTARSIT.

We started communicating with ALLSTARSIT in November 2023, which was when we set up our contract. The work started around early December 2023, and our engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

The quality of the annotators ALLSTARSIT has found for us is very satisfactory; we're very happy with them all. However, this has been a much longer process than we thought. Initially, ALLSTARSIT promised to find 20 annotators within a month. However, we currently have 13 annotators working for us in that location, so our goal is to ultimately increase that team to 20 annotators by the end of February 2024.

Still, I know that the process has been longer than planned because we've had technical interviews, which have been an extra step in the process. Ultimately, by looking at the quality of annotators, we've understood that we've needed that time to achieve those results. It takes longer to get to the right people, so the initial estimation error was probably on us.

How did ALLSTARSIT perform from a project management standpoint?

We communicate via email and WhatsApp. Once in a while, we also have catch-up meetings with their team, which is nice and helpful.
Are there any employees from the service provider's team that you would like to give a shout-out to in this review?
I would like to give praise to Alex. She has been handling our project from Israel and has worked with me hand-in-hand from the beginning of the project. She constantly makes sure everything is good and assesses if we're satisfied with the recruitment pace. She also steps in whenever we have issues. Although she's not physically in Georgia, it feels like she is because everything is handled in time. Overall, she feels like a true partner.

What did you find most impressive about them?

Although I can't compare ALLSTARSIT with others because I'd never worked with outside contractors in the past, I'm really happy with this collaboration overall. They work well, and their recruitment is very accurate.

Are there any areas they could improve?

I visited our Georgia site three weeks ago and had personal discussions with the annotators there. Upon gathering their feedback, I noticed that a few things were missing from the office, such as a coffee machine, closets, and lockers. When I came back to Israel, I asked ALLSTARSIT to purchase all of the missing items.

I expected that to be taken care of within a week after my return to Israel. However, comparing prices and making the purchases has taken ALLSTARSIT longer than expected. Still, they're taking care of it now, which is good.

Do you have any advice for future clients of theirs?

There's no particular advice I would give. I can only recommend them because they're doing a great job. If anything, I can advise you to understand that the project will take longer. Recruitment is not magic; it takes time.

ALLSTARSIT can recruit fast and on time, which has resulted in us getting several surveys and hiring three engineers for our team, and we're looking to hire three more. I believe the team is doing their best because our requirements can be challenging in this market.

ALLSTARSIT's project management is good. The team constantly sends me CVs via Slack, their office administration is great, and my internal staff is satisfied with the rest of ALLSTARSIT's team.

We work directly with Maryna. We've had an initial cold start to understanding each other and our culture, and she's been very communicative, willing to help, and advising on challenges. I like working with her.

What did you find most impressive about them?

ALLSTARSIT's team is direct and doesn't hide facts behind a nice story. The team is very communicative, which is important because other providers have tried to sell me their services without delivering results and stopped responding to my emails — very unprofessional. Overall, I like ALLSTARTSIT's communication, straightforwardness, and proactive approach.

Are there any areas they could improve?

ALLSTARSIT's team can be more analytical rather than only focusing on getting just our job descriptions. Whenever we provide them with a requirement, I'd expect them to get the candidate pool size from LinkedIn and its quality, for example. The team has told us that our position is challenging without giving us an explanation of where or making a comparison with us and other clients of theirs.

Overall, I'd appreciate it if they could reflect their feedback in real analytic numbers — that would put ALLSTARSIT in a much higher position.

In order for them to be efficient, don't get super theoretical and be specific with your needs and job descriptions so they can do a proper background check on their resources in terms of their technology expertise, cultural differences, and other characteristics.
