We also have daily standup meetings where they share their daily goals and progress. If there is a change in the schedule of a release roll out or customer-reported problem, they are quick to adapt.

I was the VP of engineering at a semiconductor company. We developed software from a low-level bootloader, UEFI to Linux Kernel, and our projects included pre-silicon verification and post-silicon validation.

We needed help to develop CI/CD type of software to improve our products’ quality. The way we were doing things before wasn’t scalable nor fast, so we wanted to start incorporating a CI/CD and testing infrastructure.

What evidence can you share that demonstrates the impact of the engagement?

The software implemented by Xgrid helped us develop and test at a faster pace. We were able to use the solution they created successfully, which helped us understand where our processes were lagging.

It was very useful for us to acknowledge where we were taking longer than usual and understand how to focus on and prioritize certain areas to improve our overall development process. Additionally, this software integration helped us improve the quality of the software we delivered to our customers, identifying where most issues and bugs were coming from.

How did Xgrid, Inc. perform from a project management standpoint?

Xgrid delivered everything on time and stuck to the agreed timelines. They were also quick and responsive. For example, we requested some changes during development, but those changes weren’t a cause for delays. We communicated via email.

What did you find most impressive about them?

Xgrid’s responsiveness was impressive, and their documentation was very thorough.

Are there any areas they could improve?

Back in 2017, Xgrid was pretty small. They could have followed up more aggressively to get more work from us.

Any advice for potential customers?

Have a clear objective and detailed needs to facilitate a successful engagement. Know what you want, keep track of it, and keep them accountable.

What evidence can you share that demonstrates the impact of the engagement?

I don't think we defined any success metrics, but we defined what should constitute the reports. We used their dashboards and reports generation mechanism pretty successfully to understand where things were lagging and it was very useful.

We were able to understand where we were a step longer than usual, and how we could focus on one area versus the other because there were so many moving parts in the overall software development.

The software integration improved the velocity of our software development, and the quality of the software that we delivered to our customers.

We were able to figure out how fast we were developing, and where most bugs were coming from. We found out what developers were spending more time on their deliverables versus others, and which area was oversubscribed and undersubscribed as compared to the time taken and the resources taken.

We can easily correlate that with the number of issues and bugs. It helped us prioritize resources in one area versus the other.

How did Xgrid Inc perform from a project management standpoint?

They delivered everything on time. During development, some changes were requested by us but I don't remember that there was a delay.

They completed a task within the timeframe that we decided. They were very quick and timely with their responses. We communicated over emails.

The documentation that they gave us was very thorough. They completed their work on time even though we changed our requirements during the phase of the project.

Are there any areas they could improve?

Back in 2017, they were pretty small. They could have followed up more aggressively to get more work from us.

Having a clear objective with what you need would help you to get a successful engagement. You should know what you want, keep track of it and keep them accountable.

Our task management application was built in the MS Access platform. Our goal was to update it so the solution supported backward compatibility to secure our legacy databases in SQL while supporting new feature requirements. We needed an intuitively modern and user-friendly application for the management of field workers on job sites.

Xgrid was referred to us by a company already engaged with them on active product development. After careful review we found them to be experts in application development with stellar, quality deliverables.

Xgrid led a series of discovery workshops to better understand our business requirements. They worked with our team on the development of the ProCon (Project Control) application to improve efficiency managing tasks and activity on our job sites.

The application was developed for two target platforms - Windows and iPad. In addition, they developed a Crew application with ProCon to allow our staff to check-in and check-out for daily schedules. This application was developed on both iOS and Android. Xgrid is also providing customer support in tandem with feature development.

The initial engagement was with an interchangeable team from Xgrid with one Manager overseeing the entire engagement. The initial engagement had a total of 8 individuals from Xgrid working on the project. Beyond that, the engagement translated to a monthly Support and Maintenance model with 6 individuals engaged from Xgrid, along with a Technical Manager responsible for the management of the team and interfacing with us.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We have multiple platforms that track employee schedules and activities. Working with Xgrid has allowed us to move towards a single streamlined application. This will improve our productivity and reporting capabilities. The impact of this upgrade will be seen from top to bottom. We anticipate that our business will have greater efficiency and process improvements from this change and we look forward to completion.

I believe that communication is a key to success. The Xgrid team is always available to talk through any aspect of the project that we felt needed a more comprehensive discussion. The attention they give to us, along with excellent communication, has led to a better outcome for this project.

Xgrid was willing to listen to every problem brought to the table and understand our needs while proposing solutions. The extra effort they make to attain the best possible outcome is what sets Xgrid apart from other companies we have worked with.

I had an existing relationship with Xgrid leadership / board members from my previous venture and I knew their team’s capabilities.

First, we ran a series of discovery workshops for the Xgrid team so they could better understand our business requirements. We developed a one-month onboarding process for the Xgrid resources and both copebit and xgrid decided to invest heavily in this set-up phase.

After the basic training, we adapted the tasks and implementations to the projects step by step. Accordingly, our organisations are aligned and can successfully implement projects together.

We currently have 6 employees working at Xgrid: 1 General Manager, 1 Solution Architect, 3 DevSecOps Engineers and 1 Full-Stack Engineer.

We have been working with them for about 3 years now. They regularly deliver the tasks assigned to them with good quality and on time. They have worked on several projects with us, but I will mention only a few to keep this article short.

The Xgrid team migrated 20+ microservices, converted them to Infrastructure as Code and automated the entire solution for one of our clients.Another client of ours needed a CLI tool to upload files in the terabyte (TB) range into an S3 bucket. The Xgrid team helped us develop a solution for this task.

The Xgrid, Inc. staff has worked on a highly scalable and cost-effective WordPress solution for other clients. They also helped us automate a Blue Green deployment across several of the client's AWS accounts. copebit plans to invest further and build a team of AWS experts with Xgrid in the coming year and take our partnership to the next level.

How effective was the workflow between your team and theirs?

You have a reliable team of engineers who are always available and willing to work closely with our team. We have established an agile organisational setup and processes. Communication and their tasks are done via appropriate tools.

What did you find most impressive or unique about this company?

Their team has a unique talent for working with a wide range of tools, techniques and programming languages to deliver world-class services.

Are there any areas for improvement or something they could have done differently?

Xgrid needs to work on their resource retention to avoid situations where experienced resources with existing knowledge of copebit workflows/processes, tools/technologies, and codebase leave Xgrid for other opportunities.

They also need to work on their recruitment pipeline as well as technical onboarding and resource upskilling plans to reduce the impact on copebit in case any existing resource allocated to copebit decides to leave Xgrid. We are looking forward to a plan where copebit does not have to invest much time and effort in Xgrid resources, and they are productive as soon as they begin working with our team.

We needed people with very specific skills to help us build certain software, so we brought in Xgrid.

What was the scope of their involvement?

Xgrid provided specific expertise in deep technology. They tried to understand what we were building and went on to implement, productize, and test it appropriately. They used Linux Kernel Level programming and software-defined networking, which back then was called private clouds and public clouds.

Their team expanded into other areas as well over time, building other components and solutions for us — such as UI designs, platforms, and other backend technologies — over the course of our partnership. They provided multiple services that ranged from development, testing, collateral generation, social media management, and marketing while doing development and testing in parallel.

What is the team composition?

We started with a team of around 5–10 people. Towards the end of the engagement, we were working with around 100 people. 

How did you come to work with Xgrid, Inc.?

Before I came to know of Xgrid, I first knew about one of their members who is a professor and top Microsoft published researcher. He had done some research in a specific area of software-defined networking and containers.

I reached out to him, and he told me that he had a consulting company that provides the services I was looking for. That’s how we found Xgrid. We went with them primarily because of the cost, but also because of their technical expertise, high-quality talent, and ability to innovate what was considered bleeding edge technology at that time.

How much have you invested with them?

We spent around $1 million–$5 million over the four years that we worked together. 

What is the status of this engagement?

We began our engagement in January 2013, and the partnership ended with the acquisition of the company in November 2016.

What evidence can you share that demonstrates the impact of the engagement?

The fact that we worked with them closely and were able to scale from needing ten engineers to then working with over a hundred people means that they did a really good job. We were happy with them. With their involvement, we were able to build mechanisms, put organizational structures in place, establish the right KPIs, and track our metrics over time. 

I found Xgrid to be very metrics-driven, whether it was with the story points that ended to be completed in a sprint or reporting and improving our processes year-over-year. They were effective in controlling their costs and identified the economics of how much was being spent on a per-unit basis in different areas.

They also managed to run an entire trade show and an event for us, managing the budget for it, staying on track, and reporting it weekly. They did all of that for us.

How did Xgrid, Inc. perform from a project management standpoint?

They were great despite the learning curve. We only had the need to put management structures in place once their team grew beyond 5–7 people. They used Jira, Bugzilla, Atlassian Confluence, and GitHub, continuously adapting to different modern tools and improving processes as we went, which I appreciated. We also communicated through video conferences, telephone calls, emails, and weekly detailed meeting notes.

What did you find most impressive about them?

Their understanding of cloud networking, Linux Kernel, other new technologies at the time was impressive. Ten years ago, very few people had that level of understanding and expertise, but they were able to help us build and test the different products. It was that technical competence that differentiated them from others, and I think it goes back to the core expertise of the founders themselves.

Are there any areas they could improve?

There’s always room for improvement; they could’ve always done things faster or expanded into other areas more quickly. We were more or less happy, though, with the way they executed the work. There were ups and downs, but I admitted their resilience when things went wrong. They always made sure to make things right.

Do you have any advice for potential customers?

Be very clear in terms of what your expectations are. The more well-defined things are upfront, the better the result over time. Also, if you're asking for some resource augmentation, make sure that you understand the division of responsibility. Engage them and give them some latitude to operate.

Mockups were shared and feedbacks were incorporated. After a few iterations, a live staging web app is ready for testing. Improvement were made along the way and very good suggestions came from the project manager.

Regarding the landing pages, they've handled everything from design to messaging, layout, format, information flow, and backend development to manage orders.
