I’m the founder and CEO of Respect.Studio, a digital marketing agency that focused on B2B lead generation. LinkedIn is the main platform we’re working with, helping other companies keep their sales teams busy with new leads.

What challenge were you trying to address with Wht.agency?

Oftentimes, our clients don’t have the proper sales process setups. This includes one very important resource, namely a CRM, and it can go further than that.

Our clients will ask us whether we can recommend someone or help them with that. We don’t have internal developers, so we started searching for partners and found Wht.agency.

SOLUTION

What was the scope of their involvement?

Wht.agency has helped our company with two main challenges: website development and quick code fixes, and CRM integration.

The deliverables are in the form of websites, either updated or done from scratch. A typical task would be implementing code for heat maps.

We confirm the client's scope during the strategy phase, after which we communicate with Wht.agency for the execution part.

We work with WordPress, and the sites aren’t usually very complex. They’ll usually be landing pages, so the goal is to create something we can easily test and adapt. We’ve had some projects made with other technologies.

CRM projects are usually much more complicated, depending on multiple factors. Wht.agency has a comprehensive onboarding form, which helps us as a marketing team understand the tools and process.

The client may sometimes have previous experience or tools they want to integrate into the CRM ecosystem. There are two ways in which we can go. One is to use an existing CRM like HubSpot with API hooks. Those can be public or done manually by their team. We provide them with the direction we need and how it should work, and they make it happen.

The more complicated option is to build a custom CRM. We have CRM templates available, which are customized to our needs. Usually, the client has all their internal processes in place, and they want us to make those more integrated, not recreated from scratch.

What is the team composition?

We usually work with their CEO. We’ll have a call with him to set up each project, and he’ll provide us with other team members based on the goal.

Those can include a project manager, a lead developer, and a graphic designer. Their frontend developer helps with the design but also does a lot of assembly work.

How did you come to work with Wht.agency?

The search took quite a bit of time because we looked for a partner, not just someone to do a small task. One of my contacts sent me their case studies, and I liked what I saw there. I found that we were on the same page.

I gave them a small test project to gauge their communication style, project management skills, and the ability to stick to deadlines. Once we saw that, we proceeded to a client project.

How much have you invested with them?

I believe the total cost of their work so far is $30,000–$50,000.

What is the status of this engagement?

We started working with Wht.agency around January 2020, and it’s ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Since the beginning, we’ve had at least 10 projects with their team. Because a lot more businesses were looking to go digital after COVID-19 struck, we’ve scaled up.

It’s hard for me to talk about the quality from a technical perspective because I don’t look at the code itself, but it works for me and my team. It’s all working fine, so I believe that the quality is good. We’ve had to ask them for a few revisions, but nothing critical.

How did Wht.agency perform from a project management standpoint?

Their team isn’t really big, and we can feel it in the communication with their CEO, who’s the first and main person to work with us. Other agencies would give us an account manager, who’d be managing several profiles in parallel.

I give them excellent marks in terms of meeting deadlines. We’ve had some struggles in the beginning, but it was because of our team not understanding the process. This is very technical work that their team is teaching us. After a month of work, we got on the same page, and it’s been smooth after that.

What did you find most impressive about them?

Their communication style was the most impressive. I could compare them with other providers in terms of technical work, but I can only do that from a top-level perspective. As the CEO, I don’t work with them daily, telling them what to code.

Most of it is their communication with me and the results at the very top level, and Wht.agency is doing a good job there.

I can sleep knowing that everything’s fine and that we don’t need to double check everything. I receive frequent updates on how things are going, and I really appreciate this part.

Are there any areas they could improve?

At the beginning of collaborations, they should focus more on explaining how things work to non-technical clients. There was some misunderstanding in the beginning, but their team has high communication skills, so everything was fixed quickly.

From the general perspective of deadlines, everything’s good.

Do you have any advice for potential customers?

The client should have someone dedicated for the collaboration. Most projects they take on are quite big. A CRM is something that requires weeks or months to build, so having a main point of contact that can speak from an owner's perspective is very important.

I feel that a lot of details are missed when no one streamlines the project development. It’s not a set-it-and-forget-it engagement, where we pay them the money, and they do everything. It always requires attention because they’ll be asking us questions and making suggestions on how to build the product.

The more time it takes to receive a reply, the longer it’ll take for the project to be done.

I run a company which is doing real estate and apartments construction/repair in Lviv, Ukraine. We are working for more than 5 years here and we have 219 completed projects. For now we have 7 employees and working 6 days a week. More than 57 satisfied customers in whole Ukraine (including Lviv, Kyiv, Krivuy Rig and Kharkiv)

For what projects/services did your company hire White Marketing?

I came to White Marketing with a purpose of creation a responsive, prestigious and animated website to show our services and create one of the best websites among all contruction and repair companies in Ukraine. I really get what I wanted.

What were your goals for this project?

Our goals, which I described to White Marketing team were: - responsive website; - prestigious website; - to show all my services clear; - cool animations; - fast downloading; - fast realisation.

How did you select this vendor?

I get known owners of White Marketing when they did to me a complex branding for my food delivery company a year ago. As I know that they are doing websites development, so I know how they are doing things and working, I considered to come to them also for a website development for my another company.

Describe the project and the services they provided in detail.

They created an UI/UX design in Figma, gave to me an access to edit a design file (in order to edit texts and photos there). As we confirmed all design in Figma and choose what animation type we will use - they started a development stage. I have been waiting for almost 2 weeks and I got my website on the domain and they transfer to me an access to Wordpress admin panel.

What was the team composition?

The project team had 3 people which includes UI/UX designer, Wordpress developer and team leader. On the whole project duration a Team Leader were perfectly answering and comunicated with me. We had a chat in Telegram where were all the team participants.

Can you share any information that demonstrates the impact that this project has had on your business?

They realised my target to create a prestigious website that I will send to my clients, potential clients and partners. This website shows all my services very clear and beautiful enough to present my company in Internet!

How was project management arranged and how effective was it?

Our communication and steps were perfectly marked in the beginning and our work scheme of starting a website development only after all design and content approve is perfect, because it saved a lot of time and money to me!

What did you find most impressive about this company?

The most impressive to me was the work scheme and communication with their team leader. Just because of that I get a cool animated website in just 3,5 weeks!

Are there any areas for improvement?

I don't really know what to improve there now... Maybe there were some issues while work was going, but they were inconsequential.

We’re targeting doctors in New York City, so they’re helping us introduce our software in that specific market on LinkedIn. We meet, discuss our direction,  and their team creates content for our social media accounts.

We followed a recommendation from our CTO.

We’ve spent around $1,000 so far. Our monthly cost is about $500.

We began working together in August 2019, and the engagement is ongoing.

White Medical Marketing has already earned many connections for us. We’re in contact with several new leads and are planning meetings. They’re doing their job very well.

How did White Medical Marketing perform from a project management standpoint?

They’ve done a good job managing the project. We have regular meetings using Zoom.

What did you find most impressive about them?

White Medical Marketing is great at what they do and follow through on their promises. They’re able to work with minimal supervision, which is exactly what we want. All they need to do is ask for our goals, and they deliver.

There’s nothing they could change—I’m impressed with them and am going to keep using their services.

Please describe your company and your position there.

I am a CEO of Ai-clinic. This is a new generation CRM system for dentistry from all around the world.

For what projects/services did your company hire Wht.agency, and what were your goals?

Firstly for the development, but in the end it has grown into much more services. Wht.agency provided my company with full Back-end and Front-end development cycle, UI/UX design, Graphic Design, Website Development, QA and helped with marketing campaigns.

SOLUTION

How did you select this vendor and what were the deciding factors?

The owner of wht.agency is actually my friend's friend, so I looked at the portfolio of these guys and trusted my friend's choice.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

We've started with the architecture of the project which was created in Miro and then transferred to FidJam. After that we proceed to UI/UX design which took us 3-4 months to make. We worked a lot with wht.agency design team to collect requirements and list of functions that need to be developed. As design started we've tested design a lot in real dentistry clinic, here in Lviv, to see if our ideas and prototypes are valid and useful for real users.

While wht.agency was finishing design, they also started back-end development to build the basic architecture of the project. And in about a few weeks we started the front-end development as well. In about 4 months of the development we launched a beta-version of a smaller version of the product in the next 2 month we launched the full version of a beta.

How many people from the vendor's team worked with you, and what were their positions?

Especially on my project there worked 9 people. 6 developers, w designers and 1 project manager.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

When the active phase of development started wht.agency ipdated the project 2 weeks, basically at the end of each sprint. There was a small delay on the delivery of the full beta bersion, it should be a few eeeks faster.

Describe their project management style, including communication tools and timeliness.

As I said before, we used Scrum technique in project development and have small releases every 2 weeks. I had a full access to task management software, so I could see the progress of all tasks in real time.

What did you find most impressive or unique about this company?

I had a full access to a task management, so a full trust on how things in project are moving, plus the team released something new every 2 weeks, so we could test it all out. They are very friendly and I could talk to all developers and designers directly to tell them my opinion on the work.

Are there any areas for improvement or something they could have done differently?

Timing was a little changed while we were developing the full beta version
