We’re a store supplies and fixtures company, and we also do wholesale and distribution on the west coast of the US. I’m one of the shareholders in the company.

We needed someone to develop our website and do some IP work.

What was the scope of their involvement?

Vijatshi Software provided us with mainly web development and some design work. They started out with a discovery phase to identify portions that we weren’t aware of. Additionally, we also provided them with wireframes and sketches to help them with the design part. They used PHP, Amazon Web Services, Magento, HTML, and JavaScript.

What is the team composition?

We worked with three people. A junior developer, program manager, and a senior developer, who was also our main point of contact.

How did you come to work with Vijatshi Software Pvt Ltd?

One of my partners in the business has worked with Vijatshi before back in India. We talked with a couple of other vendors, but we ultimately picked them.

How much have you invested with them?

We invested around $20,000–25,000.

What is the status of this engagement?

The partnership ran from April 2019–October 2020.

What evidence can you share that demonstrates the impact of the engagement? 

Vijatshi Software was a very good and professional team. Whenever we couldn’t find answers, they’d go down and do the research and find the answers for us. Sometimes you had to drive them to get results, but most of the time they were pretty responsive. If I were to rate their responsiveness, I’d rate them 80 out of 100.

How did Vijatshi Software Pvt Ltd perform from a project management standpoint?

They were professional in managing the project and they did a really good job. We used Trello and Jira for project management, and we used email and did weekly conference calls to communicate.

What did you find most impressive about them?

What distinguished them from other providers was their dedication and commitment to the work.

Are there any areas they could improve?

I think they could’ve improved getting resources at a much faster pace.

Do you have any advice for potential customers?

I would say to just go for it and work with them. They’re good people, they want to work, and they want to make something good.

We were upgrading our website and wanted to develop our own recruitment processing software.

What was the scope of their involvement?

Vijatshi Software made our website. They suggested building it on WordPress to make it more dynamic and to allow us to upload content like newsletters and articles.

The website came in with a portal where engineering professionals could upload their CVs and go through the entire recruitment process stage by stage.

What is the team composition?

We worked with two people for the website development and three for the portal. We had one dedicated resource for understanding and creating the UI/UX, which was a critical step.

How did you come to work with Vijatshi Software Pvt Ltd?

I evaluated their field force management product when I was working for a different company — it was a professional experience. After that, I started my own venture and contacted Vijatshi Software.

How much have you invested with them?

The project cost was around $3,000.

What is the status of this engagement?

I first worked with Vijatshi Software in 2018. The project for my current company ran between June–December 2020. Unfortunately, there’s a lockdown in India, and we’re unable to fully implement the deliverables.

What evidence can you share that demonstrates the impact of the engagement?

Vijatshi Software delivered the initial website within 15 days. The website is working very well for us, and we have a database of one million CVs. We’re getting results through the website. However, we haven’t fully implemented the recruitment portal yet.

How did Vijatshi Software Pvt Ltd perform from a project management standpoint?

Vijatshi Software has a professional and punctual team. They worked based on our inputs, were well organized, and met all our deadlines.

We didn’t have any project management software in place, so we used Excel for tracking. We communicated through email and Zoom.

What did you find most impressive about them?

The most impressive aspect about Vijatshi Software was the personal touch of their management team and their keen interest in the customer. They felt like an extension of our own team, instead of an external company.

They were interested in our business and problem areas. In addition to that, their accessibility was pretty good. They’d respond if I had any issue, even on a Sunday.

Are there any areas they could improve?

They changed the project manager midway. Besides that, the overall engagement went well.

Any advice for potential customers?

They’re pretty economical compared to other companies.

We work closely with the power sector in India, providing different services. Among those, we offer IT-enabled solutions and advisory, in which we help power-generation companies automate their mechanical and electrical maintenance systems. I’m the managing partner of the company.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Vijatshi Software Pvt Ltd?

There are hundreds of employees and subcontractors working around the clock in the power generation plant. It’s a very complex infrastructure to manage, especially when we want to figure out things like who’s optimally spending time, whether or not the organization is paying fairly for the work, and whether or not people are actually staying at the workplace or just checking in and leaving.

Our work is mission-critical, high-risk, and fragile. On one hand, we have heavy machinery and equipment; on the other, heavy voltages are being generated and distributed. It’s vital to have an absolute balance in the power generation ecosystem. In order to maintain that balance and make sure that there are minimal faults, we have to ensure that all of the equipment works optimally, so there’s a lot of checking that needs to be done on an hourly basis. Information needs to be gathered and analyzed, and we need to make sure that specific maintenance tasks are done at specific times.

Therefore, we wanted to build an online system to ensure those processes and that we could customize and roll out quickly. Vijatshi had some key elements in place, like geolocation mapping and tagging, and flow-process automation. Those were the two basic pillars that we would use to build the platform, and Vijatshi knew how to do them well.

SOLUTION

What was the scope of their involvement?

Vijatshi is developing our system. It will have web and mobile interfaces, with a 5,000-page view of what’s happening on the shop floor. Its aim is to ensure that everything goes seamlessly.

First, we explained the workflows and gave Vijatshi a background for the problem statement, along with information regarding the machine assets. We then started with a system analysis of the requirements. The Vijatshi team visited various sites and generated a system-requirements document following those visits. They drew up a project based on that document. Development began once the plan was verified.

There was an existing web interface in place, but we’re developing completely new processes and modules. The mobile app is being developed natively for Android. The iOS version uses Swift, and the web app is largely built with .NET.

We’re currently in the implementation phase. Once the system is implemented and live, there will be fewer stoppages or breakdowns, higher productivity, and the cost of production will go down.

What is the team composition?

We have two project managers, one relationship manager, and 12 developers on Vijatshi’s side.

How did you come to work with Vijatshi Software Pvt Ltd?

A friend introduced me to our relationship manager.

How much have you invested with them?

We’ve paid them $18,000–$20,000 out of a total of $50,000.

What is the status of this engagement?

We started working with Vijatshi in July 2020, and the partnership is ongoing. Moving forward, we will require support and many other services.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We’re in the implementation phase right now and won’t have metrics on the impact for another two months.

However, we’ve already seen some great results on mapping and checking on people’s attendance. The platform is slowly and steadily helping us capture the productivity of each employee. The amount of details we can get is quite incredible, and the management department is thrilled with it.

How did Vijatshi Software Pvt Ltd perform from a project management standpoint?

I wouldn’t say that the project management has been impeccable, but they’re doing alright.

We have multichannel communication. We had a lot of face-to-face meetings initially, and we switched to videoconferencing after COVID-19. We use WhatsApp for day-to-day conversations, along with phone calls, emails, and Skype.

What did you find most impressive about them?

They’re eager to listen and learn, and they’re enthusiastic about delivering. They’re as interested in our success as they are in theirs.

Lastly, their entire team is down-to-earth, and this is reflected in how they communicate. We plan to have a long-term collaboration with Vijatshi, so we appreciate the attitude they have — communicating with a friend is better than communicating with a vendor.

Are there any areas they could improve?

Although most of the communication is in English, we have some language issues. We have 61 official languages in India, so team members speak different native tongues and come from different backgrounds. Bringing everybody on a single platform in an English medium can become a little difficult.

Secondly, they could add more people on their support team, but it’s not something I’d stress to them. They’re doing what they promised to, but we would’ve preferred it if they had more people in supporting roles.

Do you have any advice for future clients of theirs?

Vijatshi will be absolutely stunning in places where the medium of communication is Hindi, as opposed to English or any other language. They work fine when the medium is English, but if the client has Hindi-speaking members, Vijatshi will be much more effective.
