We comissioned Shape to design and build a gated online quality control tool that could be used across our entire agency to support medical and regulatory compliance at every stage of a project. In health communications, accuracy and adherence to national and international codes are absolutely essential. Shape understood that from day one.

They didn’t just create a checklist, they built a smart workflow. The tool guides our teams step-by-step, highlighting the right things to check at each point in the job journey, from briefing through to final sign-off. Crucially, Shape integrated the system with our time management platform, so job numbers and project details pull through automatically. This has streamlined our internal processes, reduced duplication, and given us clear oversight across the business.

The workflow logic is clear, the integration with our time-management system is seamless, and the platform is reliable and easy for our people to adopt. The quality of thinking behind the build really shows.

Project management throughout was strong. Shape established clear timelines from the outset and kept us updated as the build progressed. They brought a well-structured, full-stack approach to the project, drawing on their cloud infrastructure experience to ensure the platform would be stable and scalable from day one. Milestones were communicated clearly, and when adjustments were needed as inevitably happens in a live environment, they were proactive rather than reactive. Most importantly, they delivered key components when they said they would, which meant we were able to test, refine and roll out on schedule.

Their responsiveness was excellent. When we had new requirements or realised we needed the tool to behave slightly differently in practice, they didn’t treat it as an inconvenience. Instead, they listened, challenged where helpful, and worked collaboratively to find solutions that work for our team day-to-day. Their Cyber Essentials certification also reassured us that data security and good governance were built-in rather than an afterthought. Are there any areas for improvement or something Shape Technical Consulting Ltd could have done differently?

If we were to refine anything, it would be to spend a little more time together upfront aligning on user journeys and interface examples. In hindsight, we could have been clearer earlier on about how some of our teams work day-to-day. Shape were always responsive and collaborative, so a bit more shared definition at the start would simply have made later refinements even quicker. It’s a small point, and any easy fix for next time.
