Please describe your company and your position there.

Quantum Academy is an educational institute providing education program to help business owners of Small & Medium Enterprise (SMEs)'s and their higher management team to be competent as enterprise leaders. I am the Academic Director.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire MXGSOFT PTE LTD?

The project was to develop an in-house ERP system that manages the buseinss processes from creating leads of potential students, manage and track the progress of the following up and enrolment process, organizing the events of trining workshop, coaching sessions and oversea study trips, to the tracking the invoice, payment and reciept.

What were your goals for this project?

The goal was to increase the efficiency of the whole business process of the institute.

How did you select this vendor?

They were selected because of previous working experience on another project and their understanding of our business processes.

Describe the project and the services they provided in detail.

The project requirements were briefed to them with clarification sessions. An in-depth scoping of the project was then carried out concluded with a User Requirement Specifications (URS) document signed off by both parties. A design engineer was then assigned to the project to work on the details with modules released in piece meals and feedback on the usability and specifications. The modules were released in a sand-box environment for us to try out and learn. During which training and demonstration were carried out to help us in understanding how the system works. The uploading of the system data was broadly executed by our admin users with assistance by the vendor where ever possible. When the system was launched live, we further tried it out and feedback to the vendor on any problem we encountered through a quick WhatsApp group setup. When the system stabilized, continue support turned to a support ticketing system.

What was the team composition?

On the vendor side are project manager, project lead and the design engineer. On our end are the admin use and project leader.

RESULTS & FEEDBACK

Can you share any information that demonstrates the impact that this project has had on your business?

The project had speed up the process and convenience of business operations. invoicing and payment collections are now system tracked with increased accuracy It adds the capability of documenting, tracking and managing our coaching process which in the past it was totally not documented at all. We also have the bonus of having the event linked to our website published as and when we create one.

How was project management arranged and how effective was it?

AS described above, requirements were carefully scoped with a briefing from us and the URS documentation. During execution communication of the project progress and feedback, etc were quick and responsive via a Whatsapp group set up involving all person concerned. It was then switched to a support ticketing system that we can raise any issue and are bring tracked online.

What did you find most impressive about this company?

There are some requirements that we as the owner does not realize as a need until we try out the system. The vendor was flexible in trying their best to cope with adjustments as a result of changes made when trying out the system live. They put their heart into making sure we could use the system properly.

Are there any areas for improvement?

It was unfortunate that the design engineer half-way through the project had to return to her home country in India that we have to communicate remotely from then onwards. In any case, it was still manageable with the technology. On the data input, we thought it could have been better planned so that the old data are compiled in the appropriate format.
