I am the Marketing Director at Profiles, a creative technology and marketing recruitment staffing agency. Profiles is headquartered in Baltimore, Maryland, with supporting branches in Washington D.C., Philadelphia, PA and Richmond, VA. At Profiles, we have 24 employees and counting. Our professional services provide direct hire and contract placements to mid-large size companies nationwide.

What challenge were you trying to address with WebMechanix?

We were in need of SEO work when we onboarded WebMechanix. Our existing vendor was not fulfilling our needs, and we were in the market to backfill that role by outsourcing to an agency. The motivation for SEO is really driving the B2B lead generation, cultivating qualified client leads in support of sales growth.

What was the scope of their involvement?

We started with an audit where WebMechanix helped us understand the current status of our website, including the organic traffic and lead volume we were receiving. They identified room for improvement and opportunities to update primary and secondary keywords throughout the website. They also uncovered opportunities to partner with our copywriting vendors to gain more visibility through our blog.

From there, we began writing web content together. Once we had our backbone strategy, we could execute the plan by producing new webpage content for B2B audiences. We also could start launching those webpages, optimizing them, then applying CRO [Conversion Rate Optimization] best practices. We continually A/B testing, use heat maps and analytics to increase our conversion rates on these client facing webpages. 

Creating our list of target keywords phrases around our B2B audience was a collaborative effort. The WebMechanix team consists of experts, and even their junior resources leave a huge impact. They have the "get it" factor. 

One challenge we came across was hosting issues on our site which was out of the scope for our agreement with WebMechanix. However, their level of customer service was so fantastic that their chief technology officer got engaged in assisting our account to identify the problem and provide a solution.

What is the team dynamic?

We communicate primarily by phone and email, and have standing meetings every other week. The WebMechanix team is always available at any time, and they don't wait until our next meeting to deliver pertinent news and updates found in their day to day work. Reporting takes place monthly. We have evolved from excel sheets to video walkthroughs to real time dashboards. They provide our account the time and attention it deserves.

How did you come to work with WebMechanix?

We vetted five vendors for this project, and WebMechanix was one of them. I knew of them just on brand recognition because they’re local to the Baltimore, MD metro area, which is where Porifles is headquartered. I didn’t have any personal contacts there, but I knew of them from working at a competitive agency in my past work.

We spend $5,250 per month and reallocate our time based on the business need. They have covered organic, paid search, content, design, and development needs.

What is the status of this engagement?

We started working together July 2015, and the relationship is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

SEO traffic is up 17% year over year. Knowing that our business initiative was to increase lead generation, WebMechanix has helped increase the client facing pages of our website by 97% year over year. 

Profiles has reached a record high volume of quality leads since our relationship with WebMechanix began. Those quality leads enter our CRM and are routed to the sales team in real time. 

How did WebMechanix perform from a project management standpoint?

10 out of 10, because they’re truly top quality. They’re very attentive to our account and always responsive. They don’t waste time, and they’re always providing accurate agendas. We’ve built a partnership where our communications are candid and honest, which allows us to work smarter together to achieve great results. They are an extension of our marketing department.

WebMechanix is a fantastic partner, the scale of design projects completed have been limited to dedicated landing pages and fit within our existing budget---this could very well mean a junior resource was assigned with limited hours---given that context, design would be our one area of feedback that shows room for improvement.

What challenge were you trying to address with WebMechanix?

The relationship with WebMechanix started before I joined the company. From my understanding, they were originally brought in to assist with the launch of a PPC [pay-per-click] and organic SEO [search engine optimization] campaign.

What was the scope of their involvement?

WebMechanix set the groundwork of our digital marketing. They launched PPC ads on Google and Bing, while also trying to optimize existing web properties. The relationship expanded over the years, becoming highly collaborative. WebMechanix has provided web development, building four or five websites and updating them throughout the years. They created different landing pages and have assisted with email campaigns and the development of revenue attribution in Salesforce. WebMechanix has been an on-demand partner for every problem we sought to address.

The original site was a DotNetNuke platform. WebMechanix rebuilt it from scratch on WordPress. It was again overhauled in June of 2015.

Another big initiative was the integration of HubSpot marketing automation within the website. Our previous page was all based on WordPress plugins, while the new one is entirely backed by HubSpot. With this optimization, we’ve implemented several calls-to-action, sliders, and a highly targeted interactive wizard on which visitors can answer eight questions in order to get a customized score. There have been many different options and initiatives put in place in order to generate leads and give visitors every possible chance to convert and become leads.

The SEO keyword research was a collaborative process. They tend to provide a larger segment, and we'll work together to narrow down the scope and make it more exact. We’re a very nuanced business and industry.

How did you come to work with WebMechanix?

The manager before me was the one who hired WebMechanix. I met them on my first day on the job, at which point they were one year into the relationship.

What is the status of this engagement?

We started working with WebMechanix around December of 2010. I personally started working for the company in October of 2011. We continue to utilize them for PPC and organic search work, but WebMechanix is really an on-demand digital marketing partner.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

I’ve been very happy with WebMechanix, and I treat them as an extension of my marketing department. The automations they’ve created have helped streamline our processes significantly.

Year over year, from 2016 to 2017, we increased our web leads, opportunities, and overall revenue by around 50%.

How did WebMechanix perform from a project management standpoint?

They introduced us to Asana, which we’ve tried to use internally as well with varying results. They have been timely, and the resource allocation is sufficient. We are normally in communication with their project manager, as well as with individual team members and executives.

What did you find most impressive about WebMechanix?

Their overall willingness is most impressive. They definitely have a desire to collaborate and learn as much as possible about our individual business and what we’re trying to do, instead of just shoehorning us into existing processes. WebMechanix has tried to develop a plan and strategy of what would be particularly best for us. It’s not a one-size-fits-all approach.

Are there any areas WebMechanix could improve?

In past years, we did have to reach out to WebMechanix because of a team member who was not performing well on their side. That was resolved almost instantly. There has always been an open dialogue about what’s working and what isn’t.

I’ve worked with WebMechanix for Integrity Management Services, for which I’m the chief strategy officer. It’s a government contracting consulting firm which provides data analytics, auditing, and investigative services for improper payments and program compliance reviews.

What challenge were you trying to address with WebMechanix?

We had a website but had no effective marketing business development presence on it. It was basically an online information brochure about the company, and it was visited by people who had been in contact with us at conferences or in other contexts and wanted more information. It wasn’t a true marketing and business development tool which could drive someone to find out about us and follow-up from there.

SOLUTION

What was the scope of their involvement?

WebMechanix helped us start from scratch. We knew that the website itself needed at least a revamping, if not an almost complete overhaul, in order to reach what we were looking for: a business development driver. From the very beginning, WebMechanix learned about our business, industry, and the customer universe that generates our revenue. From there, they laid out a 6–18-month scope of work and strategic plan for getting the website itself to where it needed to be, and also for starting additional activities for making it active. These included SEO [search engine optimization], identifying keywords, and finding out what we needed to be doing in terms of publishing content on a continual basis, and ultimately integrating other marketing channels we had in place, like going to conferences and producing hard copy collateral. We put in place a strategy for linking all of those channels to the website.

It started as a website project, but we ultimately ended up with a complete marketing strategy incorporating SEO and other aspects.

We’re a consulting firm, but we’re not a marketing or website optimization one, so we brought WebMechanix in to lead the process. It was extremely collaborative in the sense that they’ve had to dig in and have numerous focus groups with our staff as well as with clients. WebMechanix got an understanding of our industry niche.

Our website didn’t have anything in terms of landing pages and conversion click-throughs. Aside from specific implementations, from a more strategic perspective, WebMechanix told us what we needed and how we needed to go about implementing it. We started by looking at things like blogs and how to more actively add content to the site; we moved into doing trial runs of conversion pages and developing microsites within the site.

More recently, we’ve started linking those to other marketing channels like our conferences. We attend four or five a year, and make sure that, for at least 150 days prior to the event, we’ve started generating traffic through the website and marketing for the event.

How did you come to work with WebMechanix?

They are a local company in northern Virginia. At the time, we were working with a small contractor who had done some basic website development and referred us to WebMechanix when we decided to adopt a more robust use of the site. We went through a rigorous interview process, contacting three or four different firms. WebMechanix’s principals came in and talked to us. It was easy to explain our business to them, since they had all the knowledge and experience for what we were asking in terms of website enhancements, SEO, and so on. It was an easy business relationship from the very beginning, and we could address relevant questions which we didn’t have an answer for at the time.

What is the status of this engagement?

We started working with WebMechanix in August 2014.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

I couldn’t cite any exact numbers, but qualitatively, we’ve seen a world of difference. We had nothing but the website itself in the beginning. There was no way for the website to even make conversions, or work as a business development resource. I am one of the people making final reviews on our content, and I go through multiple articles on a monthly basis. We now get feedback and requests from the website on a continual basis, even to the point of requiring a full-time person who manages this as a considerable part of her job. We didn’t have a need for this when first starting with WebMechanix.

The relationship with them, particularly over the last year and a half, has really transformed into a strategic marketing relationship. In the beginning, we simply needed to focus on the site, and get it to where it needed to be, as well as integrate our other marketing. We’re still website-focused, but we’ve also gone beyond that. WebMechanix is a part of our overall strategic marketing efforts.

How did WebMechanix perform from a project management standpoint?

Most of the time, WebMechanix needs to remind us of the things we have to deliver to them, not the other way around. We communicate through phone, email, and Skype. In addition to this, we have on-site visits. WebMechanix has come to our office on a regular basis and sat with the owners and senior executives of the company. They do a very good job of getting into deep focus groups. We know that any upcoming meeting with their team will be a true test of our brains.

What did you find most impressive about WebMechanix?

They see the big, overall picture. I’ve been able to work directly with Chris [CEO & Founder, WebMechanix] from when we first started. He is a small business owner himself, and he understands what that implies in terms of overall marketing strategy and business development. WebMechanix isn’t simply coming in with an exclusive vision for building a website and making it work. They actually understand what small businesses need to do, from a big picture point of view.

WebMechanix is also very results oriented, not just process oriented. Chris is always talking about what results we’re seeing in terms of conversion numbers, click-throughs, and effective keywords. At the end of the day, he cares about how many contracts we’ve signed.

Thirdly, one of the main reasons we picked WebMechanix was that they’re very easy to work with and attentive to customers. They’re usually holding us accountable for work we owe them.

Are there any areas WebMechanix could improve?

We started working with WebMechanix early and had the opportunity of being one of their first clients while the business was growing rapidly. Being a small business ourselves, we know that there will be growing pains, and we have to learn how to deal with going from having a few customers to a lot. WebMechanix has managed this exceptionally well.

We are a small university that competes with much larger universities throughout the United States. I'm the marketing strategist and analyst. I help our team with strategy creation and analyzing our marketing performance, particularly when it comes to external communications for the university, which is mostly digital.

We needed a partner who could help us manage the digital components of our marketing strategy including PPC [pay-per-click], SEM [search engine marketing], and display ads. We have a good sized internal team but we needed to augment our staff with someone with the expertise to execute our multi-channel marketing strategy. Most importantly, we needed a partner that would go beyond just placing ads.

WebMechanix has helped us with creating ad copy, site links, ad extensions, and call outs. They also handle testing for the ads as well as landing page testing and optimization. For the display ads, they help us with demographics as well as behavior retargeting. We've been able to achieve our marketing goals on all of that. They work very closely with our team and are a great partner that fits our needs.

We are now working with WebMexhanix on the organic side, including SEO and overall site improvements to help us rank better. Our goal is to have more organic clicks and a cleaner experience for users. They are helping us with keyword research including what keywords are working and knowing what our target demographics are. We had some keywords in mind, but it's been a collaborative approach. This will eventually evolve into helping us figure out our overall content strategy.

In my previous e-commerce life, I had worked with strong digital marketing partners, so I knew there were plenty of good companies out there; we just needed to find the right fit. I was at an education digital marketing conference and I ran into the WebMechanix team. I stayed an extra day and took a master class that their founders were teaching. We hit it off and I could tell that they were the best for what we needed to be doing. We started out with small projects with them and our relationship has continued to expand.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

We've seen significant improvements since working with this very conversion- oriented partner. We’re getting more traffic and users are spending a couple of more minutes on the site than they did before. Overall, we’ve been able to be more efficient. Cost per click has gone down because our ads are more targeted. Google and Facebook are rewarding us for having more relevant ads and more relevant content that’s causing people to click through. Also, our cost per conversion is probably half of what it was. We’ve seen improvement in our keywords because everything is more methodical. There are fewer keywords now; we had too many keywords before and it wasn’t well thought out.

How did WebMechanix perform from a project management standpoint?

They’re very responsive. I like to steer the project myself, but they’re very good at planning and setting up a timeline. We approve the timeline and they do the work. We use email to communicate and have weekly meetings using an online platform. When the project started, I was working with their CEO, Chris and also Jarett [Director of Business Strategy, WebMechanix]. Over time, we began working with Tyler [Client Success Manager, WebMechanix] who is my daily contact and account manager. He’s great; we have weekly calls with him and other members of the team. There are a few more resources that have been involved with this new SEO project we’re currently working on.

Chris has been in the process of starting a newsletter for his clients. He’s reached out to me to see what I’d like to hear about and what questions I have that can be addressed in the newsletter. I appreciate that proactive outlook. It’s great to know that I can interface with anyone in the company if I need to. Their team has skill sets across the board. Tyler’s really strong on Google AdWords. There are other guys that are really strong with Facebook. There’s also the SEO team that I’m working with more now. The team is very accessible because they’re all in the same room. If you have a question someone can’t answer, they can go ask another resource.

What did you find most impressive about WebMechanix?

They’re a modern digital agency but I like the fact that they’re not siloed. They do a lot of different services including website work, PPC, SEO, social strategy, etc. I’ve worked with vendors in the past who won’t help out with anything but what they focus on. I like to have a partner that I trust and that can do anything.

WebMechanix is not a content marketing company, but we’re very heavy in content marketing. They have a good understanding of it and how everything plays into that. A lot of people don’t realize how ingrained SEO is with content marketing but WebMechanix does. They make sure we know what we’re going to have to do if we change platforms, etc. They’re not afraid to give suggestions. They understand the context of display ads as well, which they’re willing to discuss and lend their ideas.

They’re as close to being a hybrid ad/digital agency as can be, even though they don’t necessarily do that. They give great advice. These days, content strategy connects to what we’re doing with WebMechanix. They see the bigger picture more than other providers I’ve worked with.

No. I address any issue the minute it comes up. They take care of things right away. There have been times I’ve asked them things that are out of scope, but they helped out or provided feedback anyway. Their size and the fact that they’re not isolated makes them be able to work that way.

We needed to connect with customers and how to explain our value proposition to them and what we offer.

What was the scope of their involvement?

It was a complete call to action. In the beginning, they helped us revamp our website so that the text and the content would be more appealing. We have our own developers that built the site. They changed the content and layout to make it a lot easier for people to interact. They were huge proponents of making our site responsive so it searched well from mobile devices. They’ve come to us with a number of suggestions to make our content friendlier towards search users. They added a blog to bring in fresh content so the search engines would categorize us as important. They researched keywords that people were searching in our space, targeting the US and Canadian markets. Europe is in a bit of a depression, so we pulled our focus from Europe at the moment, especially because it’s so expensive to fly to Jamaica from there. WebMechanix added content to our site so that we would be found with those keywords and rank fairly high. We continue to update the keywords. They also do some paid AdWords for us for some of those. Things are changing all the time, and we’ll change our focus periodically from weddings to family vacations to couple getaways to corporate retreats.

How did you come to work with WebMechanix?

I was referred to them by somebody I knew in an entrepreneur’s group. I met with them, and they seemed to understand our product and what we needed. They’ve consistently delivered. After two years, I did a review where we put the work up for a competitive bid, and it continued to be a positive relationship for both. They spent time down at the resort, so they understand the product.

We went from seeing maybe 100 people a day on our site to about 800. In this business, it’s very difficult to attribute success to any one thing. As the economy goes up, we go up. When the economy goes down, we go down. We’re the definition of a fair market consumable good. We’ve received positive reviews on the website.

I meet with them every other week. They’re always available to chat. They respond very quickly by email. We communicate by email and phone. I work with Luke [Director of Client Success, WebMechanix] and Camille [Client Success Manager, WebMechanix].

When I did the competitive bid, there were firms that put together a very fancy deck and misspell your company’s name. With WebMechanix, from the very beginning, you could tell they care about their customers’ success. It’s personal for them. They get highly involved in understanding the company. They realize that strategies have to be tailor-made; it can’t be a cookie-cutter thing where they use the same strategies for every company.

Are there any areas WebMechanix could improve?

We’d love to do more business and get more customers. We’ve got a very complicated product in that we’re not like Sandals, which targets only couples, or Beaches, which targets only families. We’re targeting everybody, and it's difficult to explain that we can be everything for everyone. Certainly, we’ve given WebMechanix quite a challenge, and they’ve done very well. But, you can always do better.
