We are a dental clinic that’s located in Zagreb, Croatia. My position is in internal marketing, communication, and organization administration.

What challenge were you trying to address with Kala Presence?

We had a different agency that we weren’t happy with because our main goal was to acquire more patients. We’re a private clinic in the dental business and in some aesthetic work, like injectables, fillers, Botox, etc., and our goal was to have better visibility and a better position on Google search. 

We also needed to establish a stronger brand, but we weren’t happy with the agency we were working with at the time, so we looked to Kala for help. They already had some experience in the dental business, so we decided to go with them. We also had a great conversation at our first meeting where we felt like they understood our needs — so far, I can say that we did not make a bad decision.

What was the scope of their involvement?

Kala initially provided us with keyword research. We basically told them the words we don't think would rank enough, and they also made their suggestions and did all the research by themselves — they’re very proactive like that. They always come with suggestions to us and they usually have good advice for us. For instance, we told them we were a bit unsatisfied with how we were ranked with the word orthodont, or orthodontist in English.

They worked on it and ended up improving. Successful results can’t happen overnight, but we’re seeing some improvements on that front as well.

In addition, I do the social media work while they provide us with advice and manage our Facebook ads. The content posting is done by our team internally.

What is the team composition?

We had our initial meeting with Matej (Owner). If we have any serious issues, he's always available for us to contact him, and he always checks from time to time to see how we are pleased with his team. My main points of contact are Stella (Account Manager) and another member of their team.

How did you come to work with Kala Presence?

We just Googled ad agencies in Zagreb and we checked who we thought was the best. We organized a couple of meetings with some of the agencies, and we just felt that some of them didn't understand what we wanted, and none of them really had any clients in the business. When Kala came, we just clicked and they already understood what we needed and what our problem areas were — it was really an easy pick.

What is the status of this engagement?

We switched to Kala in April last year, after the pandemic started. There was also an earthquake in Zagreb and the dental industry was hit really hard, and we also couldn't work for a certain time due to some restrictions. Kala took everything really quickly from the previous agency and started doing the SEO and everything else.

What evidence can you share that demonstrates the impact of the engagement?

We measure success by the number of patients that put in a call, email, or whatever way they approach us. With Kala, we got a lot more telephone calls, so that means that people find us from organic searches on the internet and not just from the ads. Additionally, we had a really significant increase of people just calling our number — whether they found us on Google maps or per search, it was really important to us because we ranked much lower under searched physicians in the past.

We have internal logs of every inquiry that comes in and how it's converted. For example, if the patients call us, we have a program where we put in how they contact us — did they come to a first appointment? Did they book another appointment for something concrete to be done? How much money was made from this appointment? We’ll have the metrics for everything. 

With Kala, we had much better performance and successful inquiries. With the former agency, we would have a lot of inquiries, but they were people who would not book appointments. We are a clinic that is sort of more of upper range in quality and money regards, and we would get people who are interested in really cheap dental work — they didn't care if it's good or bad, they just wanted it cheap. They would also comment it was too expensive for them, or they were looking for something else. While we still got a lot of inquiries, they weren’t the right inquiries for us and for our brand. 

Kala is more precise. It's more targeted at people and products, so we don't waste a lot of money on advertising to the wrong people.

How did Kala Presence perform from a project management standpoint?

Well, we’re satisfied with the performance. We gave them quite the freehand on that because I do internal marketing, but I also do a lot of other stuff so I often don't have time for a lot of things. We are very busy in the day so we like to have an agency that's proactive, understands us, and can do all the stuff on their own without a lot of instructions — I think they're really great. They understand us and they don't need a lot of pointers from us. If we think there's something going wrong, we tell them and they correct it immediately. 

We didn’t have any major issues or felt unsatisfied with their services. Recently, we had some hacker attack our webpage, and they sorted it for us even though they didn’t do our web management and posting tasks — they engaged themselves in sorting these problems and they take a lot of time for us as a client. They're always at our disposal and I can always call them on the phone and WhatsApp.

In addition to that, we communicate through email, telephone, or WhatsApp, but they prefer written communication like us — we like to have everything in black and white so we don't get misunderstood. We always have a plan at the middle or end of the month, depending on what we're going to do, advertise, or what budget we’re going to use — we also give them feedback every month.

We have sales meetings in-house, so I do the analysis of how many inquiries there were. They send us their monthly reports like metrics about ads and SEO performance. We always keep in touch from our side on what's happening and they tell us what they're doing.

What did you find most impressive about them?

We’re impressed with the results they produce — we are interested in results because if we have a business and if there are patients, we’re happy. \With them, we have like 10 inquiries in the morning shift and 10 in the afternoon shift, which is a lot. For the size of our office, this is great because with them, we are now growing. In the fall, we are opening another dental chair, so the business is growing at its own pace. 

We communicated with them at the beginning that we didn’t want to grow too fast, so that we can keep the quality of business — which they understood. We are very pleased with the pace at which we are now growing with them.

What was also great about them was that during the pandemic when we didn't have a lot of work, they were really supporting us. They didn’t charge us for some of the services, and they gave us a boost through that period — Nobody really knew if their company was going to last, and that was really nice of them. They’ve been treating us like VIP clients right from the start.

Are there any areas they could improve?

I can't really think of anything. I think the only limitation we have is a lack of a bigger budget to do certain stuff. We had some plans we had to pause because of the pandemic, but considering this situation, we’re really pleased.

Any advice for potential customers?

They're all very friendly and communicative. It's hard for me to tell how they work with other clients and other lines of businesses, but with us, you can tell that they have experience in the dental business and they understand how it operates. They know a lot of stuff and they educate themselves so I would say not to worry, because they invest a lot in their employees and that they're very picky with who they choose — they really have a good team so I don't think that you can go wrong with Kala.

For local services, we achieved sustained 5-star ranking across 20 locations within a four month span. So we expanded into GMB listings, with similar success. We have also engaged for super competitive technology clients with highly sought terms and competitors throwing tens of thousands at their efforts.

We often beat said competitors with a much more cost-effective strategy.

Initially our web site had limited content. Kala presence helped us prioritize the services we wanted to start adding content for, provided guidelines for the content and the structure of the web pages. Once the initial content was provided by the specialist, they optimized it for SEO and worked with the web site developers to have it published in a way that would optimize our ranking. Simultaneously, they built out SEM campaigns, worked with us to provide negative keyword matches, and have been managing the paid SEM campaigns. The project is ongoing as we are continue to add content for new services for which we want to improve web presence and visibility.

What was the team composition?

The main point of contact is the project manager, she then loops in other SEO or SEM specialists as needed. She is very responsive and provides constructive suggestions on new projects. Also, we meet with the owner on the company occasionally to assess progress to date and set direction for the future.

We started working with Kala Presence shortly after the clinic opened. After working with them for several months - which was around the time we were told to expect to start seeing the results of our work, the volume of patients started to increase rapidly, and has been growing ever since. We are ranked at or near the top of the organic results for many of our services.

The team is effective and the communication is good; whenever major initiatives are going on and the needs warranted it, they use workflow tools to facilitate interaction between our team, themselves, and the team maintaining the web pages. They stay on top of the web developers and catch any issues proactively.

I decided to hire Kala Presence because the owner appeared very knowledgeable, did not make unrealistic promises just to get the business, had a clear plan of action and set clear expectations. I stayed with them because the initial impression turned out to be correct.
