What was the scope of their involvement?

We engaged Fulminous Software to design, develop, and deploy an AI-powered document processing system to automate our administrative document workflows. The team handled requirement analysis and workflow assessment, design and development of AI-based OCR and data extraction models, intelligent document classification system, development of a web-based admin dashboard, system integration and deployment support, and testing, validation, and user training.

What evidence can you share that demonstrates the impact of the engagement?

Our project with Fulminous Software delivered measurable improvements in operational efficiency and document management processes. We saw a 70%–80% reduction in manual data entry workload, 60% faster document processing time during admissions and verification, a significant reduction in data entry errors and duplicate records, 100% digitization of targeted administrative documents, and improved document retrieval time from hours to seconds through the centralized dashboard. These results demonstrated clear progress in our digital transformation efforts and significantly enhanced administrative productivity.We measured the reduction in data entry errors and duplicate records through a structured before-and-after comparison approach. We reviewed a sample set of manually processed documents, calculated the error and duplicate rates, and identified common issues such as spelling mistakes, incorrect roll numbers, missing fields, and repeated submissions. Then, we conducted the same audit on documents processed through the AI system developed by Fulminous Software and compared the field-level extraction accuracy, validation flags raised by the system, and duplicate detection logs. We also used automated validation reports from the dashboard to track the number of flagged inconsistencies, auto-corrected fields, and duplicate detection alerts. By comparing pre-implementation and post-implementation audits over the same document volume, we observed a significant drop in manual entry errors and near-elimination of duplicate record creation.We also used specific KPIs to objectively measure improvements in operational efficiency and processing time after implementing the solution developed by Fulminous Software. We measured the average time staff took to manually verify and enter data from one document before the implementation. After the implementation, we measured the time from document upload to structured data availability in the system. We also calculated the total manual working hours required for bulk document processing and compared it against post-automation monitoring logs. We measured the time from document submission to verification completion and observed faster end-to-end processing timelines. We also tracked the number of corrections required after the initial entry and saw a reduced rework cycle that contributed to operational efficiency gains.

Having them to handle the internal task quite fast and efficiently helped us to save time and focus more on expanding the business rather than being investing time on development tasks.

How effective was the workflow between your team and theirs?

We have a weekly meeting where we discuss tasks and progress. we discuss hick-ups, loopholes, and new deliverables. our coordination was very well.

What did you find most impressive or unique about this company?

They are able to get things done proactively. Finding the solutions and implementing the changes necessary for the workflow, they did these all with ease.
