We engaged Esteplogic to build a secure digital vault where families and businesses can store their financial documents and share controlled access with their chartered accountant. We came to them with an idea rather than a specification. They handled the entire process—requirements gathering, functional documentation, UI/UX design, branding, development, testing, deployment, and ongoing support.

Key deliverables:

• Three separate web applications: a client portal, an advisor portal for accountants managing multiple clients, and an admin panel for platform management.
• A document library organised by entity, category, financial year, and document type, covering seven entity types and sixty-three document types specific to Indian financial and statutory filing.
• Passwordless authentication using one-time codes sent to email and phone, with no passwords stored.
• Encrypted document storage, file-signature validation on upload, and automated virus scanning with quarantine.
• An approval workflow so documents uploaded by an accountant require the client's acceptance before entering their vault.
• A document request system allowing clients to request specific documents from their accountant and track fulfilment.
• Secure external sharing with link expiry, view limits, and recipient email verification. Subscription billing across three tiers, with storage add-ons, prorated upgrades, grace periods, and automated invoice generation.
• Nineteen in-app notification types and twenty-four transactional email templates.
• A complete audit trail covering forty-three action types. 
• Full cloud infrastructure setup and configuration, including storage, database, email, and hosting.
• TRAI/DLT registration and approval for SMS delivery in India.
• An automated deployment pipeline with testing gates and automatic rollback.

What were the measurable outcomes from the project that demonstrate progress or success?

The platform went from first requirements meeting to live users in about ten weeks, and has run continuously since launch in April 2026 without any downtime. Measurable outcomes so far: - Around 40% of client accounts are on a paid plan.

For a product with a free tier, this is well above what we expected — most freemium products convert in low single digits.

- The first paying customer came within 15 days of launch. We opened the platform in late April and had revenue by early May.

- Users are loading historical records going back to 2013–14 — thirteen financial years of documents. People aren't only filing the current year, which tells us they trust the platform enough to move their existing records into it.

- Uploads have grown month on month, with the most recent month being the busiest since launch.

- Zero discrepancies between platform records and our payment provider. Every live subscription was audited against the provider's own data, and an automated reconciliation now runs nightly.

- Application performance is excellent — pages load almost instantly with no waiting, which was a specific requirement given the document sizes involved.

- We regularly receive compliments on the application, and people frequently ask who developed it.

The whole experience with Esteplogic was smooth from start to finish. We shared our idea, and they took care of everything with very little involvement needed from our side. The application is extremely fast, and the quality exceeded our expectations. We keep getting compliments, and people often ask who developed it. Really happy with the outcome and the way the team handled the entire project.

I’m the owner of Q2 Digital Marketing, a full-service digital marketing agency. We work primarily with small and medium-sized businesses that are trying to leverage more out of their internet presence to get more traffic, visibility, and performance.

What was the scope of their involvement?

They’ve mainly been developing websites for us. We work in LAMP Stack. Our teams are pretty collaborative; we create the design and work with them through the process of their development. Sometimes we get into pretty integrated data management solutions where we’re integrating with a server or third-party data source. They have the scale to be able to handle it and manage the programming of all of it.

What is the team composition?

Dixit (Director & Co-Founder) is our main point of contact, but there are about 20 people on his team. There are always a couple of developers on each project.

How did you come to work with Esteplogic IT Solutions Pvt. Ltd?

I found them out through a brokerage service. I was working with another company that kept dropping the ball with me, so I reached out to Dixit. I gave him a couple of projects and they turned out well, so I gave him more and more.

How much have you invested with them?

We’ve invested about $50,000–$75,000 so far.

What is the status of this engagement?

We began working together in January 2010 and our relationship is still ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

They're able to develop about 14 websites a year for us and they are all of good quality. We receive a lot of good feedback on our websites from customers and have a number of five star reviews, which reflects on them as well.

How did Esteplogic IT Solutions Pvt. Ltd perform from a project management standpoint?

I tracked their progress through time reporting from an accounting perspective. We have a time system that manages the time on each of the projects and then we look at each project as they come through to see how the time matches what the estimate is. They’re very responsive; they communicate and deliver everything we’re asking for.

What did you find most impressive about them?

They live up to what they say they’re going to do and if it’s not right, they’ll do whatever it takes to make it right. It’s been a good trusting relationship for us. Their flexibility and commitment to service and delivery are hard to find in today’s marketplace. Trust can be hard to build in this industry, especially when on the other side of the world.

Are there any areas they could improve?

There’s a bit of a language barrier, but overall it’s not that hard to communicate.

Do you have any advice for potential customers?

Make your strategy clear and document what you need so that they have that as a tool to work with and then follow up to communicate. Take projects you're comfortable with and test them with anyone you’re working with. You can make judgments and evaluations as you move forward on other projects.
