I'm the innovation executive at a property management company. We manage multi-family bulk residential assets, including blocks of flats and buildings in South Africa. Currently, we oversee approximately 10,000 units.

What challenge were you trying to address with Clickmod?

We needed help developing a system for our residential letting operations and lease process.

What was the scope of their involvement?

Clickmod is helping us develop a system for our residential letting operations and lease process. Most of the system is internal, but a portion will be embedded in our public website. Initially, we provided Clickmod with the requirements specification we gathered during the discovery phase. The team is responsible for the full UX/UI design based on those requirements.

The system has several core modules. The first is a stock management and pricing module where we set up all the buildings we own, the pricing of the units, and the attributes of the units we have available for rental. The second module is lead management. We receive property inquiries from various sources, including WhatsApp, Facebook, and listing sites. Those inquiries go into the lead management module, which our presales team uses to contact and qualify the leads. This helps us understand whether the leads are genuinely interested in one of our available units and whether their budget meets our requirements.

Once the leads are qualified, they move to the deal management side, which our letting agents use. The platform allows the entire lease application to be processed. We can gather the applicant's data and documentation, such as bank statements or proof of income. The letting agents use the platform to execute credit checks and eventually get to the point where the lease can be signed. The bulk of the work is within the management platform, and our letting agents use the platform to track the progress of the application.

For technology, Clickmod uses Figma for design work. The platform is being built in JavaScript, and they use GitHub for the repository. The system will be hosted on Microsoft Azure. Once the system is live, we intend to enter into a support agreement with Clickmod to support the platform.

What is the team composition?

We mainly work with Riaan, Craig, a lead designer, and two developers.

How did you come to work with Clickmod?

Rhiannon contacted us and introduced Clickmod. When we decided to solicit proposals for this project, we included Clickmod in the RFP process.

What is the status of this engagement?

We've been working with Clickmod since January 2025, and our engagement is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We are very pleased with Clickmod's product design work. The team has been excellent at understanding our requirements and building a user-friendly UI that speaks to the right audience. The design looks good, and the team has done an excellent job. It isn't easy to share a matrix; however, I recommend Clickmod's product design work to anyone looking to do software development.

It's still early to give a full assessment of the development side, but so far, so good.

How did Clickmod perform from a project management standpoint?

Clickmod meets all their deadlines and stays on budget. We use monday.com for project management and communicate via Microsoft Teams.

What did you find most impressive about them?

Clickmod is very strong in product design and project management. The team meets all their deadlines, and their planning is very well done. They've set achievable deadlines, so we don't constantly have to replan. Their project management is very good, and the quality of work is excellent.

Are there any areas they could improve?

No, there's nothing I can come up with at this stage.

Do you have any advice for potential customers?

With software development, it's always good to have a very good understanding of your requirements. The fact that we went into the engagement with a clear idea of what we wanted to achieve allowed Clickmod to move a lot faster than if our requirements weren't as well defined. Clickmod manages the engagement very well from their side, and their onboarding process is excellent. The team has a well-established payment methodology, so it's easy to work with them.

Price Change Mobile App - Enable secure, auditable, and mobile-based price change workflows that reduce delay in pricing updates at store level while ensuring compliance.  Mapping of the existing price change approval process. Stakeholder workshops (Buyers, Ops, Finance)
Workflow Design -  Role-based workflow for initiating, approving, rejecting price changes. Audit trail logic

What were the measurable outcomes from the project that demonstrate progress or success?

Sales Figures Mobile App - >95% of area and regional managers actively using the app within 4 weeks of rollout.  <1% variance between mobile data and POS Platforms. 

Price Change Mobile App - Reduced from 3–4 days to same-day approval in >80% of pricing requests.  95% decrease in pricing implementation errors at store level.  100% traceability of all price change decisions across user levels

What did you find most impressive or unique about this company?

Their ability to accurately capture business requirements and deliver well-structured framework designs within a relatively short timeframe is commendable. In addition, their commitment to maintaining a strong and collaborative relationship with the customer is exceptional.

Are there any areas for improvement or something Clickmod could have done differently?

Expand automated test coverage to include edge cases and simulate high-load usage conditions. Incorporate regression testing scripts for all critical workflows prior to each release cycle, and adopt a formal UAT sign-off checklist involving key operational stakeholders.

We have access to Monday.com, which has improved our project tracking, including priorities, bug listing, bug resolution, and project progress. As a result, we have faster and easier communication because we don't need to use manual methods.
