Introduce your business and what you do there.
I’m the co-founder of Party Tents Direct. We started the business in 1984. We sell and rent outdoor party tents as well as other products related to events, such as inflatable games. We also do online logistics and procurement.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Brainvire Infotech Inc?
We’re a very traditional organization. My partner and I are non-technical people. We hired an IT manager because we didn’t know what to do. We were running e-commerce and had a manufacturing warehouse. We also had an international logistics account team. All of those things cost a huge amount of money, but they weren’t working well.
I had to spend a lot of time and evenings to manage everything. We ended up using Excel Sheets and even pen and paper because we know that the best. We understood that if we wanted to grow, this wasn’t going to work out. We decided to hire a CIO, and then our CIO decided to hire someone to help.
SOLUTION
What was the scope of their involvement?
We started with small work and found it to be of good quality. Then, we started exploring the different business challenges we had. We talked about accounting, e-commerce, warehouse management, CRM, and management of salespeople. These were our key challenges. We continued to share information with Brainvire. As they learned our business more, they began providing a solution. That’s the stage we’re at right now.
They developed an e-commerce website and built and implemented our CRM, which has transformed our sales process. They’ve since done 5–7 more Magento websites.
Brainvire has helped with accounting. They recommended ERP solutions to us, and we did a couple of demos. We implemented the ERP with inventory accounting, a warehouse CRM, and a few other parts as well. They also did a logistics integration and some quotation changes.
I’m still in discussions with them. Whenever we get the chance, we continue to upgrade our systems.

I work with their CEO. He comes to meet me sometimes to discuss things. We have one project manager who I speak to monthly. My CIO works with a couple of the other developers.

What is the status of this engagement?
We started working together in 2014 or 2015. In February 2018, we started this ERP project, and we continue to work together.

What evidence can you share that demonstrates the impact of the engagement?
I have seven salespeople, 10 people in the warehouse, five people in marketing, and a couple of other operational people who rely on this one software suite. It constantly has to be upgraded. Before the ERP, it took 15 minutes for my salespeople to send a quotation. Now, the same work can be done in three minutes.
Previously, we were losing money in shipping. Due to the integrations, Brainvire has increased our profitability on the cost by around 15%. Initially, five salespeople were working 10 opportunities in a day. Now, they are able to work 18.
How did Brainvire Infotech Inc perform from a project management standpoint?
Project management is good. We talk to their project manager once a month. He provides honest opinions and transparent feedback on where we stand and how they are going to move ahead. I really like the project manager we have — he’s a good person. He gave us a transparent timeline, and they’re always on time. If there are any issues, we are made aware in advance.
What did you find most impressive about them?
Communication and their expertise in my business and technology are most impressive. They’re always available. I can talk with the project manager and CEO at any point in time. Every two months, the CEO comes to Buffalo to meet us. We can understand their English. From a technology perspective, they did a good job and selected a good technology for us. We’re able to see the results right away.

I have a geolocation tracking application which also has chat functionality and other functionalities so users can see many people traveling together. We also have functionality to for people to create an event then track users coming to that event. We also have arrival and departure notifications that users can receive.
What was the team composition?
The team was comprised of senior developers and mid level developers and QA people and a Project Manager.
RESULTS & FEEDBACK
Can you share any outcomes from the project that demonstrate progress or success?
These guys were able to do a few tasks but could not even finish the first milestone! They could not do basic tasks like importing phone contacts in our app. It was super buggy and did not work on many phones yet they kept saying it worked great. I wasted so much time creating videos to prove to them that everything they said worked, actually did not!
How effective was the workflow between your team and theirs?
Communication was not good. In fact, it was abysmal. I spent so much of time teaching them, training them, talking to them about all the issues that was not my job to do.
I hired them to fix issues so they didn’t need to keep wasting my time asking me if it worked or how it worked…what I had them do was fix issues so they should have just fixed them and not wasted hours of my time daily with nonsense questions! I also did so much QA work as their QA people were not able to figure anything out and kept saying things worked when they never did!
What did you find most impressive about this company?
NOTHING!
Are there any areas for improvement?
STAY AWAY!!! You will thank me! I hired Brainvire Infotech to help me complete a geolocation tracking application in March of 2020 due to all their “great” reviews but I learned the hard way that these guys are HORRIBLE! Sadly, I had a very bad experience and despite all their 5-star reviews on Clutch, I had the completely opposite experience.
In summary, I hired these guys to help complete a geolocation tracking app, and here is what happened:
Developer Capabilities – I would put this at a 2 out of 10 in terms of developer capabilities. It was such a bad experience working with them because the tasks were simple and I am not a developer so they should just be able to fix things and make them work but their poor developers kept asking me to help them because they were not capable. After wasting so much of my own time trying to help them I gave up because those were all signs that they just were not a capable development team.
Missed Milestones/Time Delays – They missed multiple milestones because they were not able to fully complete even the first milestone! And by the time we parted ways, they did not even deliver our first milestone by the time they were supposed to have completed the third milestone!
Improper Billing – They billed me before they even did QA and completed milestones. And when I did not pay them they kept pressuring me to pay them saying they were still working.
Project Management – Horrible. I kept repeating the same things over and over to the Project Manager and in my opinion, he was not really capable of managing this project as I don’t think he was even capable of understanding simple things I told him. He kept making me repeat messages to him since he either did not read them or he could not understand the simple messages. When I complained to management that he needed to be replaced and that the developers were not capable and not able to do this work, they never changed anyone. They just told me to talk to the person I complained to and they made no other staff changes.
Communication – This was abysmal. I spent so much time teaching them, training them, talking to them about all the issues that were not my job to do. I hired them to fix issues so they didn’t need to keep wasting my time asking me if it worked or how it worked…what I had them do was fix issues so they should have just fixed them and not wasted hours of my time daily with nonsense questions! I also did so much QA work as their QA people were not able to figure anything out and kept saying things worked when they never did!
Development Issues They Could Not Fix
Importing/Updating phone contacts – They could only get this partially working and never were able to figure out how to fix this fully on all different phones and operating systems.
Notifications – They were never able to fix notifications of users' arrival or departure. Then they kept lying to me telling me it worked when I kept showing them proof it didn’t work repeatedly.
Tracking – The core of the app they could not fully fix and they were not even capable of reading the documentation of a third party plugin…these guys did not read the documentation and kept expecting me, a non-developer to teach them. Horrible.
Chat issues –
so many issues here that they could not fix. When I told the company, I wanted another company to take over, they were super slow in getting me the codebase and kept asking me if they could keep trying over and over and over again. They would not let go. I cannot even tell you how much of my own time I wasted because they did not have the intelligence to do this work and their QA was not capable so they always said stuff was working when it was all broken.
You have no idea how many videos I had to show them as proof that things they said worked, actually did not! And then when they finally agreed to part ways, they demanded money from me despite never even finishing one full sprint. And then when I told them how bad of an experience I had and how nothing worked, the main guy started lying to me saying that all the things I said were broken, were actually working.
The total lie that was and I showed them proof time and time again yet they said they didn’t believe me. At that point, I knew this COMPANY COULD NOT BE TRUSTED. They will come off to you that they are the best thing since sliced bread, but trust me they sucked. In my opinion, I would recommend anyone to STAY AWAY FROM THEM because they lied to me over and over again and they could not even figure out how to make app import contact properly which is so basic in most apps.
If they cannot do that and other basic things how can they do anything else?? Tip: If you are crazy enough to decide to use them make sure you have an “out clause” in your contract that they must let you out if they fail to deliver. I am guessing you will need that!

The vendor responded on October 6, 2020.
Initially given a scope, we met in Los Angeles to discuss the features. Everything was smooth until the sign-off. When we started delivering, he began to mention things that weren't included, but we tried to accept them and keep moving. Then, we came to a stage where he was asking for features that were more than the initial scope, but we kept doing the work for the relationship.
Once we started saying no to extra work, he threatened to migrate to another company, give us a bad review, and dispute our payment over PayPal. (By the way, we've won the dispute case against him, so now he's trying to get things done without payment.)
In 20 years, we've never come across such a client. We always believed that our overseas clients were trustworthy and held mutually beneficial relationships, but this person is ruining that. He's gone through five companies in the last four years, but his product hasn't launched because he wants to make things for free. We should have trusted the experience of the last company that worked with him, suggesting that we avoid working with him.
We can't endorse this business relationship. He trapped us in the work and wasted lots of time. Our employees were also frustrated because he tried to connect with so many of them. Please check out our other reviews to see how we've maintained a 95% customer retention rate.

I’m the e-commerce head at Zestpost Inc., a startup in the kitchenware industry. We are e-commerce based only.

What challenge were you trying to address with Brainvire Infotech Inc?
We are coming up with a marketplace plus e-commerce portal where we plan to carry high-end products. Our target market is the US and Canada. We needed someone to develop it for us.
SOLUTION
What was the scope of their involvement?
We just started with a concept. Brainvire was generous enough to come to our office a couple of times last year. They looked at our requirements many times, spent a lot of time understanding the whole business, and recommended what type of platform they should build.
They started with the development and UI/UX design. They built a custom-designed Magento platform. They also offered suggestions in the business process.
The project was divided into 2–3 phases. They will be working with me for another 1–2 months. They’re adding shipping and tracking features as well as other integrations and enhancements.
What is the team composition?
We work with 6–8 people. My initial conversations were with Chintan (CEO/President) and Santosh (CEO).
In the weekly meeting, I work with a couple of people for marketing and technical issues. For the development part, I only speak to the project manager on a regular basis.
How did you come to work with Brainvire Infotech Inc?
I did an online search for developers. I was also looking for expert recommendations. After talking to about 15 companies, we realized there were a lot of factors we weren’t thinking about. The initial need was development and finding the right platform. We also considered the vendor’s price, experience, and portfolio. As a startup, we needed someone who was flexible and could bring in more than we asked for.
I spoke to Brainvire for the first time in 2019. We found them online and filled out a form on their website.
We started working together in July 2020, and the engagement is ongoing. The platform has been live for 3–4 weeks.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The development experience was great. They finished our project in a really short span of time — it only took one month, which is nearly impossible. It’s a very beautiful website, and I’m impressed. The aesthetic design is very strong, and our product page is one-of-a-kind. Considering the site only took a month, it’s fantastic.
When working with developers, you typically just tell them the requirements, and they handle development. Brainvire went above and beyond in this regard, as they looked into different possibilities and made recommendations.
We had a good experience and decided to look into their other services. We’re in discussions about keeping them on retainer to work on our marketing launch plan.
How did Brainvire Infotech Inc perform from a project management standpoint?
They’re highly professional, very organized, and on time. Everything is structured in a very simple and straightforward way, so there’s no confusion. They work with documents, agreements, and dashboards, and they use Jira. Even if I send them one change requirement, I get a call from them as well as an email stating when it’s done.
When you communicate and send your requirements, people can perceive it differently. When you’re working with someone who understands exactly what you’re trying to do and then presents that to you, you know this is the kind of agency you want to work with. Brainvire spends a lot of time listening to requirements. Their calendar planning was strong. They told us way ahead of time what we needed to give them and how long it would take. They helped us set up the right expectations to get the right results.
Even though we did sign an agreement with them initially, there were a lot of changes. They were very patient and happy to make those changes. Based on how they worked with us, it’s evident that they’re looking to build long-term relationships. Their work didn’t change or falter, even toward the end of the project; that’s a rare quality.
What did you find most impressive about them?
Their willingness to be flexible and go above and beyond is impressive. They meet the needs of customers of all sizes. Not everyone supports startups.
Are there any areas they could improve?
After 1–2 weeks of working with them, they changed our project manager. Although they had a logical reason for doing so, I had to rediscuss the project again with the new project manager. It would’ve been nice if the original project manager handled the knowledge transfer. It wasn’t the end of the world, but in my entire experience, this was the only thing that wasn’t a great experience. After that, the project manager had time for me every day, and they never changed.
Do you have any advice for potential customers?
Set up the right expectations and know your requirements. Sometimes, you need to listen to their ideas rather than being stubborn. At the same time, don’t just listen blindly.
They’re very flexible. If you ask them to make something, they can develop anything. Not everything suits everyone’s company. The research part and setting up the right expectations is the key to getting it done on time.

The solution has only been live for a few weeks, so our data is limited. So far, we’ve seen good traffic to our apps and expect to see all of our old users migrate to the new solution. All functions seem stable, so I’d consider the project a success.

Because we had a fixed budget and wanted the app done in such a short timeframe, we gave them the choice to select the tech stack. They ended up developing our product using Xamarin Native, but we would’ve loved to have seen hybrid networks like Flutter or React Native. Using more standard technologies would’ve been helpful in the long term.

They’re reliable. If they give their word on a commitment, they’ll stick to it. You should also make peace with the fact that mistakes might happen in a development project. What’s important is acknowledging them so that you can correct them.

I’m not a professional developer. I didn’t know much about how to make a website, so I needed someone to support and help me. I didn’t want to waste my time learning how to do it if someone else had experience and knowledge.

What was the scope of their involvement?
Brainvire developed our website and iOS and Android apps. I had a vague idea about what I wanted, but I wasn’t quite sure about it. They pointed me in the correct direction, providing technical and business guidance.
We’re still working on the website’s main page. There is so much information that has to be fed into the website. I’m the one who has to collect the information, which is challenging. For instance, there are many brands within the automotive section, and each brand has several cars beneath it. I have to contact each of the companies to provide me with the right information. We will go live soon.
What is the team composition?
I was in contact with one person who introduced me to the team. After a while, I had a very good opportunity to visit their office in India for a couple of days. I was able to break any barriers. Since it was my first project, I didn’t want to do it fully remote; I prefer face-to-face contact.

Brainvire is really supportive. I’m the one delaying some of the tasks because of legal terms and some technical concerns. This is my first project, and I don’t have much experience.
The largest impact for me has been obtaining knowledge about the digital market. Everyone knows about social media and development, but not everyone knows what happens in the background. The truth lies in the background. For example, a lot of people post on Twitter who don’t know what happens in the background. Brainvire Infotech Inc helped me a lot in gaining that expertise.

When I give them a task, they do it in a couple of days. The team is amazing. I met them at their office before COVID-19. I understand how the team works over there. We review what they do, and they make any changes we request.
If I want something outside of the scope, they’re cooperative and avoid extra charges. That’s really good. To communicate, we use email, WhatsApp, phone calls, Google Meeting, and Zoom.
What did you find most impressive about them?
Brainvire is a cooperative team. They helped me get experience that I didn’t have. There were things I only had an idea for, and they helped me. They’re really supportive — every time I need something, they’re willing to guide me.

Our client was short on time and our resources were tied up with other projects. As we didn’t want to let them down, we decided to an IT company.

We prepared wireframes and started iOS development but had resource shortages on the Android front. Brainvire developed the Android version of the patient engagement app for our client.
The platform aids patients about to undergo surgery. It explains how patients should prepare for surgery, what happens during their procedures, and what care and precautions to take.
Our second project involved development using the .NET framework. Now, we’re running our third engagement with Brainvire.

We searched Google for companies that could help and fortunately found Brainvire, which is based near our office in Mumbai. I spoke to a few of their sales personnel who were cordial and honest. I then spoke with the developers who would work on our project to understand their experience, problem-solving abilities, and out-of-the-box thinking. I found them more promising than our other options. Also, they had a relevant portfolio.

Our first engagement cost about $6,000. Our second project cost between $15,000–$16,000. So far, we’ve spent between $2,000–$3,000 on our third engagement.

Brainvire takes accountability. I don’t have to look over their shoulders to ensure their team delivers.
It’s difficult to provide statistics for software development projects, which is a form of creative work in my opinion. I’m definitely satisfied with their work, though.

I set expectations and timelines and then engage them throughout the project. I frequently review their team’s progress.
For the first two projects, we had Brainvire’s team members come to our office and allocated machines for them. They took minutes during meetings. At the end of each day, their team sent simple progress emails.
On the current project, their developer works from home. She sends us an email with updates before the day’s close. We use Microsoft Teams for internal communication, and we onboarded her onto it.

Brainvire offers us networking, software development, and web development. We’re also doing report writing with them.
We’re leveraging them for a lot of different types of projects. The initial project they did was rebuilding our public website with my assistance. After that, we started working on our portal, which services all clients, both internal and external to the company. They’re also helping us revamp our company’s entire network system, which we’re working on winding down.

Another impact is speed; using Brainvire allows us to multiply our IT department so that we can get multiple things done simultaneously across different teams. It’s easy for us to manage those teams so that we can get a lot done.

They do pretty well. Their team leaders assign who we’re going to work with, and then once they’re assigned, I mostly work directly with the individuals who are doing the work themselves. I manage the team itself once Brainvire assigns who is going to be working with us.
We used Jira for a little bit. For smaller, less detailed projects, I type up all of the requirements and qualifications, send those to the team leader, and they assign the teams. Then, we work through the requirements via Skype and email.
We’re looking at using project management software again for some more complex projects we have coming up. It’s better for tracking purposes and helps us handle all of the pieces of bigger projects.
What did you find most impressive about them?
They’re very professional and hardworking. They’re good at building relationships between us and making sure we’re staying on track.
Are there any areas they could improve?
Communication was a little bit of a challenge when we started out, and it’s gradually been improving. That’s one of the reasons I want to lean back toward the project management software. However, they continue to improve as we move forward and forge that relationship.

I’m the CIO for PogoBounceHouse, a company that sells inflatable and inflatable-accessory party and event rental equipment online. We also have a dedicated direct sales staff. We sell on our Magento platform as well as Wal-Mart and eBay.

What challenge were you trying to address with Brainvire Infotech Inc?
We had two significant challenges. The initial challenge was getting more of an omnichannel presence and bringing all of the ways we sold under one roof so that we could better manage our sales and get better metrics. Then, we had significant inventory challenges. We brought Brainvire on to help us with the omnichannel environment to better assist sales and inventory.

We began working with them in a digital marketing capacity to try them out. Once we saw that they did a good job with digital marketing, we expanded our scope with them.
Brainvire developed our website from scratch and migrated us from some other platforms we’d been using to Magento 2. They developed an opensource CRM for us and helped integrate Odoo as our ERP.

For each project, I had a single point of contact. For the Magento work, I worked with their program manager. I worked with Montu (Team Lead) on the CRM and then someone else on Odoo.

Brainvire had a booth at one of the tradeshows or conferences I went to, and I started talking to them. What really impressed me about Chintan and his team was that they are always in the US. Even though we were going to do offshore for development, they had a significant presence in the US in terms of customer service, access, and problem-solving. The face-to-face with the members of that organization impressed me, as did their size; they’re a big company, and they’ve done a lot of impressive work.

We’ve spent $250,000–$300,000 over the four years.

What evidence can you share that demonstrates the impact of the engagement?
We’ve seen the impact of their service in a lot of ways. The way we measure the ROI with Brainvire is whether we have stock to sell and how much of it we’re selling online. We’ve calculated an overall company growth, but because we have a dedicated sales team and sell on channels that pretty much market themselves, we’ve really looked at the growth of online Magento sales. We’ve also looked at the growth of the dedicated sales team and income-producing activities since we integrated the CRM.
From an inventory ERP standpoint, we were constantly running out of stock before. We really measure our inventory analytics based on stockless and partial stock orders as a percentage of overall orders, and we’ve seen a steep decline in that since bringing Brainvire on to manage our ERP portion. We’ve also seen significant growth in online sales. Because we did a lot of direct and marketplace sales, our online sales weren’t generating a lot of income for us. Now, Magento orders are one of our best marketplaces.
How did Brainvire Infotech Inc perform from a project management standpoint?
Project management is excellent. Our primary method of communication is Skype for day-to-day direct messaging and check-ins. Since we have so much going on and are growing rapidly, I use Skype to check in and address more urgent or emergent things that we don’t want to input as a task that would then need to be managed.
We do project management through Jira. We’ve set up Jira boards for each project, so we have a CRM board, an Odoo board, a Magento board, etc. We manage tasks through Jira. Since everything is cloud- and smart app-based, it’s very easy for me to manage my projects through them.
They manage their teams, and I only have to talk to one person for each of our projects. On a day-to-day basis, I just work with each resource group manager. That’s big for me; I want to go to one person, and then they manage their team and make sure the work gets done. If I have any larger issues, I go to Hiren (Head – Custom Solution & Mobility). He manages all of the projects. Above him is Chintan (CEO & President), but I’ve never had to go to him.
What did you find most impressive about them?
Their turnaround time and ability to strategize on projects set them apart. They do a really job of delivering within the time they say and oftentimes even early. Overall, what stands out is that they can suggest improvements to what my vision is. They’re very good at suggesting better or alternative ways of doing things.
They also have a very impressive client roster. They do a lot of different things; we’re having them look into a mobile app and progressive web apps. They have a big scope in terms of what they can do. They can handle everything in-house, so we don’t need to look elsewhere for other developers.
Are there any areas they could improve?
I can’t really think of anything. Overall, they’ve done an excellent job. It’s up to me to manage the projects, so as long as they’re delivering on what my vision is for the project, I don’t have any issues. They’ve gone above and beyond.
Any advice for potential customers?
You definitely need to have somebody in your organization who's dedicated to managing your projects on a day-to-day basis with them. Because these projects are intricate and complex, things could fall through the cracks if you don’t have somebody who's dedicated to managing these projects with them, whether it's on Skype or Jira. Also, having that dedicated person from their side is a big plus.
