While on average chatbot was processing 1500 messages per day, the peak figure was 27 000 messages per day (on the 30th of March).

Botsband was very quick with making all the necessary (and requested) changes to the chatbot. The release of the final version of the chatbot happened only a week after the start of its development. In the situation of war that Ukraine and its people currently are in, it is essential to act quickly, which Botsband did a good job in.

For instance, Botsband team was generating almost all the ideas of the chatbots’ potential functions on their own, yet, consulting us throughout the way in order to make sure that all our needs and preferences were taken into account. The bot was designed to provide client support, schedule test drive appointments with prior client validation, show available cars for sale, and list options for financing future car purchases.

The stage that involved the development of the model of potential users’ behavior was the longest out of all stages since it required a lot of brainstorming and hypothesis testing.

It was followed by the alignment stage, during which car dealership's back office had to confirm that it would be possible to integrate the chatbot into the work of the dealership center. After it was confirmed, the development stage took place and was completed in a short period of time.

Then, the stage of testing started, during which we were checking how to align the work of the back office with the work that the chatbot does in the meantime. After that, the chatbot was finally released on the official website.

The chatbot that Botsband developed has considerably helped to reduce the workload of the call center.

Besides, it allowed to perform more efficient pre-screening of people wishing to sign up for a test drive. In particular, before introducing a chatbot we experienced a problem that out of all people signing up for a test drive, a majority were using it as an opportunity to drive a good car for free.

Because of that our car dealership was losing potential customers since many times there were no vacant test drive spots available as many of them were already taken by those people who were not planning on selecting or buying any car.

One of the pre-screening questions that Botsband offered to add was a question about when a person who is trying to sign up for a test drive is potentially planning to buy a car. That was very clever as it allowed to prioritize people who actually wanted to purchase cars in the near future over those who were not planning to do so any time soon.

The botsband team was very much willing to fulfill all our special needs and incorporate all the changes. Communication between us was so effective that at some point it seemed as if they were part of our internal team.

It would be great if while Botsband team was developing our chatbot, we also decided to add a function of signing up for car maintenance, which they offered to do but we decided not to at that point in time.

For both of the chatbots Botsband developed for us, the process and the stages it included were almost the same. In particular, in both cases, everything started with creating a chatbot’s architecture brief and brainstorming ideas about how it should look. After that, there were stages that involved an alignment of the technical requirement, the product’s MVP, and the chatbot’s content. The next stage was about integrating chatbots with databases and CRM systems, followed by testing and release stages.

Our cooperation covered all steps, starting from the design of the chatbot’s communication and finishing with complex integrations.

After 2 months chatbot has been launched, 25% of our clients have started using it to identify themself on the checkout in store and get bonuses from purchases.

 Botsband offered us a suitable solution that perfectly met our needs. As for the communication tools, Asana, Everhour, and telegram group were used. In particular, all the tasks were listed and tracked in Asana. Time was tracked in Everhour. Whereas, all the communication took place in Telegram group, where Botsband crew would react almost instantly to all our questions and concerns.

Also, all our urgent requests were reacted upon by Botsband within a day, which was quite impressive. In addition to that, work was done in sprints wherein a development team worked to complete specific tasks, milestones, or deliverables. Botsband time management was great, every week we had meetings with them during which we were getting updates from them on completed tasks as well as defining tasks for the next week.

Botsband’s extensive experience in chatbot development. Already on the first call, they showed their expertise offering a good technical solution to our problem right away.

The general complexity of the project was high, involving some of the Al elements. The project was divided into such stages, as collecting requirements, research, design, solution approval, development, testing, release, and support.

The most challenging part of the project was the integration of the dynamic testing option, which implied the algorithm of changing the complexity of the testing questions based on the number of correct answers previously given. For instance, if a person gave 4 correct answers in a row, the chatbot made the following questions harder.

Besides, during the solution approval stage, Botsband performed user testing that allowed them to identify that not all users going through testing would want to take a long version of the test. Thus, they offered to make two versions of the test.

The shorter version consisted of 12 questions, whereas the longer one consisted of 24 questions. Thus, even before launching the chatbot, Botsband managed to reduce the possibility of people dropping out before finishing their testing due to the long length of the original version of the test. This was especially important since each testing ended with the offering to buy cards based on the level of English just in one click, thus, the bigger number of people that finished testing were, the bigger percentage of people who might potentially make purchases would be.
