What was the scope of their involvement?

Xmartlabs has been helping us build a full stack application for one of our clients. We’ve initially evaluated what the project would need and done a rough scoping of the project, including its main deliverables and estimates. We’ve signed an SOW and started working with them.

Currently, they’re building a React and TypeScript app. We’re using Supabase for our backend engine and have done some Python work for analytics and data validation. We’re also using AWS services like S3 for file storage.

We work with a project manager, a designer, and two full stack engineers.

The engagement started in October 2024, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

We’ve hit our monthly delivery goals for the entire year, so we’ve had a 100% on-time sprint delivery. Moreover, the tools that Xmartlabs has created have allowed our client’s staff to save about 50% of their people’s hours on operational processes. Overall, their work quality has exceeded our expectations.

How did Xmartlabs perform from a project management standpoint?

We set high-level goals, and I build out a month-based timeline. Xmartlabs then translates that into epics inside of Jira, which roll up to the month. From there, they set sprint goals and create tickets with individual stories. We use Slack and Notion for communication and project management. We also use Google Drive and Microsoft Office products. The team uses various tools, including Cursor, Figma, and Android Cloud Code.

What did you find most impressive about them?

Xmartlabs’ design work is superb for their price point, which is pretty incredible. Their work helps drive value throughout all our other services. They’re a great engineering firm with a ton of experience in user-centered design and fast iterative coding. They have a great set of designers who are super familiar with modern practices. 

They don’t just do user design work; they’re also great at doing UI and UX research work. Moreover, they have a solid engineering team that can execute the research and designs that have been made. Overall, we’ve been impressed with their engineering cadence and velocity.

Are there any areas they could improve?

The biggest problem we’ve had is that they’re in demand. When I want to expand the team, I can’t do it immediately because most of their staff are busy.

What challenge were you trying to address with Xmartlabs?

We needed help with the design and development of a backend and mobile app to support our hardware.

What was the scope of their involvement?

Xmartlabs provided the ideal flexibility in staff augmentation services. We were able to start with a larger team to design the system and then integrate a smaller team into our engineering workflow for development and maintenance. We started with a standard quoting process, but with Xmartlab's guidance were able to break up the quote into periods that required more-staffing and experience versus periods of lower staffing needs.  

Xmartlabs owned the development and deployment of our backend, which was hosted in AWS and primarily written in Node.js/javascript. They were also our sole developers for our mobile app, which was written primarily in Flutter, and is available on the App Store and Google Play Store. It's worth noting that our app had to work closely with our hardware, communicating over a complex Bluetooth protocol, and coordinating state with the hardware product. This experience is uncommon in the app development world. Xmartlabs also had to implement a custom graphical UI and custom visualizations of the time-series data we collected.

We started with 6–8 team members, and now we work with 3–4 people, including a backend engineer, a mobile app developer, and a project manager.

The main project took place from July 2022–July 2025. We have an ongoing maintenance contract with Xmartlabs.

What evidence can you share that demonstrates the impact of the engagement?

The app was successfully launched about 1 year ago, and has around several thousand active users. That number might not sound like a lot, but for our company, the app supports the hardware and does not operate alone. Xmartlabs has done a great job. The quality of their work meets our expectations.

How did Xmartlabs perform from a project management standpoint?

Communication with Xmartlabs was easy, and they delivered on time and within budget. Our engagement evolved over a 3-year period. We started with well-defined deliverables, but transitioned to a time and materials contract to better integrate their team with ours and develop features that spanned server-app-hardware. We used Jira to keep track of our engineering efforts and Slack for daily communication.

What did you find most impressive about them?

Xmartlabs' engineers are fantastic. They didn't just do the work they were told, they provided meaningful and thoughtful suggestions that shaped our product. The engineers that we worked with were also supported by a larger team internal to Xmartlabs, which thanks to their internal reviews, also provided excellent suggestions. We didn't have in-house engineering talent to do the work and appreciated the ability to scale the engineering resources as needed, but also retain the expertise of many. We're very happy with their work.

I can't think of anything they can improve on.

Xmartlabs is smart, and their work is excellent. I recommend working with them because they're cost-effective. Additionally, being in a similar time zone has been incredibly helpful.

We needed help with custom software development.

What was the scope of their involvement?

Xmartlabs provides end-to-end custom software development services, including UI/UX design. The team has worked on our existing MVP to analyze it and offer improvements to the architecture. We’ve had feedback sessions, which have fed into Xmartlabs' scalable solution design.

Once the design was ready, the team assigned a project manager to scope each feature and create tickets in Jira. Xmartlabs has also assigned frontend and backend engineers to support us in developing the solution and testers to ensure the functionality is ready for production. The team has also helped us with deployment and production testing.

Xmartlabs uses Figma for design and Notion as a knowledge center. Regarding the architecture, the team has built the backend on Django infrastructure using Python and PostgreSQL. For the frontend, they’ve used React and TypeScript.

As for features and functionality, the software is a marketplace where brands can launch jobs, and local creators and marketers can apply for those jobs. The brand can then review the applications and approve the creator. Xmartlabs has built a scheduling system so marketers approved for jobs can schedule and verify their visits. The system can do this with hundreds of users simultaneously. Xmartlabs has completed the original project and continues to enhance the software.

We work with a backend architect, a principal backend engineer, a full stack engineer, a frontend engineer, a tester, and a project manager.

What evidence can you share that demonstrates the impact of the engagement?

More than 762 brands use our platform, and over 3,000 creators have scheduled appointments. In addition, more than 23,000 creators have applied for jobs on our platform. The jobs done through our platform have generated over 100 million content views.

Overall, I’ve thoroughly enjoyed working with Xmartlabs. We see the value in continuing to invest and expanding our investment with them. I couldn’t be happier with the quality of their work. Nobody’s perfect, but whenever we’ve presented them with improvement opportunities, they’ve always been collaborative and genuinely cared about improving our collaboration.

Xmartlabs delivers on time and within budget. The team communicates well, and we share a Slack group for direct access. We talk every day and have daily stand-ups. The only real area for improvement is how we can use tools more smartly and effectively. We can continue to adopt new tools to improve our collaboration. We could implement AI tools to make the engineering process more effective and profit-oriented. We should use smart technology and systems to solve problems rather than just solve problems for people.

Be open and provide feedback often. The sooner you bring your concerns to Xmartlabs, the sooner you can work together to devise a solution. Open and transparent communication is key. Any future partner of Xmartlabs will be successful if they bring up their concerns and issues early.

Are there any areas for improvement or something Xmartlabs could have done differently?

Xmartlabs has a very strong set of contributors. Areas for improvement were more related to back and front end communications. This meant front end work ran ahead of the back end, leading to disconnected front end screens which demonstrated progress but which have required a lot of refactoring to ultimately make functional.

This was not always well communicated however I don't think that was intentional. Going forward, a greater focus on rewarding collective progress rather than individual progress would be more balanced. Understand need for team motivation however needs to be rebalanced to base positive feedback on both individual as well as collective. Value is created from end to end functional components as well as individual components.

What I found most impressive and unique about Xmart Labs was their ability to develop custom software solutions that perfectly aligned with my business needs. Throughout the development process, they were highly collaborative, taking the time to understand my requirements and providing regular updates and feedback on their progress.

One of the unique aspects of Xmart Labs' approach was their decision to use GatsbyJS as the frontend for my website, rather than Wordpress. They explained the benefits of using GatsbyJS, including its ability to create fast, static websites that can be easily deployed to a content delivery network (CDN) for improved performance.

After transitioning to GatsbyJS, my website saw Google Page Speed scores of 90 or better in every metric, a significant improvement from our previous scores. Another benefit of using GatsbyJS was an increase in organic search traffic to my website. Since transitioning to GatsbyJS, we have received more organic search traffic than we ever have. This increase in traffic has helped to grow my business and reach new customers.

I'm the senior director of product management for Yotascale, a cloud cost management SaaS company. We help other companies understand their cloud spend and find ways to reduce their costs. We do this by optimizing their resources and getting better visibility about the attribution and forecasting of their first-year spend.

What challenge were you trying to address with Xmartlabs?

Our challenge was to get features to market in a timely fashion for our customers. It's often difficult to hire good talent in a short amount of time, especially with the qualifications required to develop the type of software that we need. We needed people with experience in both frontend development and backend micro-service development.

SOLUTION

What was the scope of their involvement?

Xmartlabs has identified development resources to build new features for our product. We have a data-driven product with advanced data visualization and an intuitive, simple UI. We started off by identifying the qualifications and the type of experience we were looking for in terms of frontend and backend technologies.

We needed people with solid frontend design and development capabilities who could build advanced databases and dashboards. Furthermore, we needed the candidates to be familiar with data analytics. For the backend, we needed people who could build micro-services that were efficient and capable of moving data from the backend to the frontend.

We looked at languages, the platforms needed, and the types of libraries that people were familiar with. Then, Xmartlabs sourced candidates and made them available to us very quickly. We're still working with the team Xmartlabs has provided.

We work full-time with two frontend developers and two backend developers. We've also engaged an Agile scrum master and QA tester on a part-time basis.

What evidence can you share that demonstrates the impact of the engagement? 

Xmartlabs has provided top talent within a short amount of time, which has reduced our time to get features delivered. Their involvement has also helped us reduce the amount of effort and time needed to go through the hiring process and interview candidates.

They've done a good job finding qualified teammates who have hit the ground running. They've identified engineers that are very versatile and capable of using Agile methodologies. The team has understood our framework and architecture and has started producing results in a very small amount of time. This has allowed us to onboard them quickly and deliver new features faster. 

When it comes to defining the work, we create epics and user stories, and Xmartlabs does the assessment and forecast. Then, we assess their performance against their commitment to the deliverables and whether they deliver them on time and within cost expectations. They execute and deliver in a timely fashion.

How did Xmartlabs perform from a project management standpoint?

Xmartlabs performs very well; they provide very fair estimates and deliver on them. They're also committed to quality and always ensure that someone handles the QA testing before a feature is delivered to a production environment. Moreover, they handle the lifecycle pretty well. We use Jira for project management. For day-to-day communication, we use Slack. We also have meetings for sprint planning and story grooming, which we conduct via Zoom.

What did you find most impressive about them?

Xmartlabs is good at committing to a timeline and ensuring that the features that they deliver will 100% match the specification. They're also very good at implementing everything that is specified on the feature and testing it out before it gets released, so the quality of the end result is very high.

We engaged with them to create a mobile app from scratch that would allow us to control our wearable device and record and view data from it. We also needed help with developing our company website.

SOLUTION

What was the scope of their involvement?

Xmartlabs is helping us create a mobile app and website from scratch. Initially, we provided Xmartlabs with a brief to give them a better understanding of our company and requirements. From there, they proceeded with the work, mainly handling the development process from scratch. For the design work, we gave them a comprehensive UI/UX design in Figma — which was created by another firm — and their team is implementing it in the app for us.

Additionally, they’re helping us install various functionalities in the app, including Bluetooth. They’re using Flutter for cross-platform development.

We have several phases for our app development, and Xmartlabs has managed to develop the features that we needed on schedule. As a result, we’ve already completed the alpha version of the app and are currently working on the beta version.

They deliver tasks on time and continue to stay within budget. Their management team is also very supportive — we’ve met with their founder and CEO, who actively reaches out to us to ensure that we’re getting the support that we need. For communication, we mainly use Google Meet.

What did you find most impressive about them?

We’re impressed with their technical expertise; we’ve never encountered a problem that their team couldn’t handle. They’re also quite good at speaking English, so communication has never been an issue.

Are there any areas they could improve on?

No, we’re mostly satisfied with Xmartlabs’ work. They just need to continue making sure that whoever we interface with has excellent English-speaking skills.
