We licensed WHMCS Global Services' VMware module to automate virtual server provisioning for our hosting clients, and their OVH/SoYouStart module for dedicated server management. The modules were integrated into our WHMCS billing platform and used in daily production operations since 2017. The scope included quarterly licensing of the VMware module ($49.90/quarter via PayPal subscription) and annual licensing of the OVH module ($120/year). WGS was responsible for module development, updates, bug fixes, and technical support. The modules themselves functioned as expected. However, WGS's billing practices were fraudulent: they systematically charged us twice for the same service every quarter for over 4 years through a combination of automatic PayPal subscription charges and manually triggered duplicate payments caused by fraudulent late fees applied one day after payment was already processed.

What were the measurable outcomes from the project that demonstrate progress or success?

The modules themselves functioned correctly and allowed us to automate VMware server provisioning for our hosting clients. However, the measurable outcome of our business relationship with WGS was a net loss of $549.52 USD due to systematic duplicate billing over 4+ years. Three PayPal disputes were resolved in our favor confirming the fraudulent charges. Despite six written commitments to refund, only $284.67 has been recovered to date. A formal complaint has been filed with the Indian Ministry of Corporate Affairs (CPGRAMS ref DCOYA/E/2026/0003563).

Their project management is nonexistent when it comes to billing issues. In December 2021, we reported systematic late fee errors via support tickets #411849 and #658467. Their agent acknowledged the error and removed fraudulent late fees four times, but they never fixed the root cause. The problem continued for 4+ years. When we filed a formal claim in April 2026 for $549.52 in overcharges, WGS first denied everything, then offered a credit instead of a refund, then committed IN WRITING to refund $384.85 — six times over 25 days. As of today, only $284.67 has been recovered (three PayPal disputes resolved in our favor plus one partial payment of $120 that arrived only after public exposure). $264.85 remains unpaid despite written commitments. What did you find most impressive or unique about this company?

Their ability to sustain systematic duplicate billing for over 4 years without detection was, in a perverse way, impressive. The mechanism was subtle enough that most customers would never notice: an automatic PayPal subscription payment on the 21st, a fraudulent late fee added on the 22nd, and a second manual payment triggered by the false balance. It took a complete forensic audit of 41 invoices cross-referenced with PayPal transaction history to uncover the full extent of the overcharging ($549.52 USD). Even more impressive was their response when caught: deny everything, then offer credits instead of refunds, then make six written commitments to refund over 25 days while paying nothing. Where to begin. They could have:

1. Fixed the late fee configuration that was causing duplicate charges when we first reported it in December 2021, instead of manually removing late fees four times and ignoring the root cause for 4+ years
2. Not denied the duplicate billing when confronted with irrefutable PayPal Transaction IDs proving two payments for the same service period
3. Offered an actual monetary refund instead of a platform credit that would force us to continue buying from the company that defrauded us
4. Honored any of their six written commitments to refund $384.85 instead of stalling for 25 days while paying nothing
5. Responded to three PayPal disputes instead of ignoring them entirely and letting PayPal rule against them by default
6. Treated a 9-year customer (since 2016) with basic honesty instead of systematic deception

As of today, they still owe us $264.85 despite written commitments. Formal complaints have been filed with the Indian Ministry of Corporate Affairs (CPGRAMS ref DCOYA/E/2026/0003563), CCPA India, and econsumer.gov/ICPEN (ref 201011408).

We launched in August and have had exponential growth, it was beyond our expectation and this is generally due to the quality of product we were able to deliver thanks to some great work on WHMCS Global Services end.

Here are the following things impressive about this company:

1. Quality of the work, there were very less flaws in the work done.
2. Efficient working, our server work gets done in less then 24 hrs while for other companies it takes about a week.
3. Communication is great and the team member is available 24 hrs to provide support on any issue.

The initial period of development had some delays which were not entirely caused by the company but still we could have made the changes earlier that we made later to fix the problem.

Our project requirements was to create the Rich user experiences website where we can show all the web hosting plans and show the offer as well. We were looking the client area for user login and mange their services and make the payment online.

Initially the only one team member was working on the project once WHMCS relise project will go long they put the server team , added the project QA , and designing team also. Yeah it take us a little time to under their project management tool which we feel they need to work on that part.

After moving the gpdhost.com online our IT cost reduced which help us to spend the money in infrastructure now we are serving more than 10,000+ Online customers with recurring payment.

We were providing them only point of contact who contacting them to just give the idea and some reference they are very flexible for the revision.

They are one stop shop if you are looking to setup the hosting company you will be in the right hands with them. As after development they are managing our servers , sales and marketing part.

Project management and bug tracking part i think they need to work on because sometime we have to remind them for the fixing.

WHMCS’ scope was to first develop a landing page. It needed to include our product portfolio and the domain name of each service. We offer hosting services, SSL certificate reselling, a platform as a service product, and a payment gateway. We have integrations with WHMCS for all of these services. The timeline was very tight. We only had a month to do the MVP, and we were able to complete 85% of it on time.

We had a project manager, a technical lead, and a few developers working in the background. We were in contact with only three people from their team.

How did you come to work with WHMCS?

We looked up multiple providers online. We made an inquiry to WHMCS, and they responded on time. After multiple conversations with them, we found that they met our expectations.

We spent between $5,000–$10,000 with them.

What is the status of this engagement?

We started working with WHMCS in September 2019. We were able to demonstrate the MVP by mid-October of that year. It was a tight deadline, and that was a big achievement for us.

We’ve had a few customers sign up recently. I’d rate our satisfaction with the project as 8.5/10. WHMCS was very good and on time, but some things needed to be improved.

How did WHMCS perform from a project management standpoint?

Project management was well-tracked, but I found some gaps. They’re using a system that’s not familiar to me. It’s a very useful tool, but the tracking is missing.

What did you find most impressive about them?

They’re a flexible and agile team, which is good for startups that need to run with multiple ideas on the fly.

Are there any areas they could improve?

It would be good if they had multiple people for certain skill sets or technologies.

Do you have any advice for future clients of theirs?

WHMCS is a wonderful company and was able to deliver on time. I’d definitely refer them. I’d advise clients to implement some kind of tracking system to maintain the timelines though.
