Please describe your company and your position there.

I am the Managing Partner at Matrix Technology Group. We are a technology infrastructure design and integration company serving private and public companies across the US and beyond.

For what projects/services did your company hire WeDo Source?

Our company provides many services in support of design and integration of technology infrastructure. These services are consumed by private and public business ranging in size and location. The challenge that we ran intro was scaling our operations and administrative support to keep up a growing client base. We had challenges finding the right people and like every other business we needed to keep our overhead low.

How did you select this firm and what were the deciding factors?

We started working with WeDo Source in 2017 using their resources to support us with procurement and accounting. Each project that we perform is unique and requires a lot of administrative support. We started with small projects and having WeDo Source help us with finding the best price and availability of material. We also used WeDo to help us with account payable recording and billing reconciliations to make sure their resources were capable. The WeDo Source team was capable and willing to put in the effort to learn our processes while also making improvement suggestions. Their team felt like an extension of our team leading to an ongoing relationship that is 5 years and growing.

How many resources from the vendor's team worked with you, and what were their positions?

We have been working with Ilir Kurti as the main point of contact. The services we've been consuming are: - Estimating for Design and Integration Project. This starts from the time a proposal is requested all the way down to client follow-up and handoff to our internal Project Managers - Account Support: Payroll Processing, Accounts Payable, Reconciliations, Reporting - Data Analysis: Creating custom data analytics for our project management and reporting platform - Procurement: Creating and maintaining relationships with current and new suppliers, finding best price and availability for material/equipment, managing procurement log, maintaining material pricing on periodic basis

Can you share any outcomes from the engagement that demonstrate progress or success?

The team is eager to learn and put in extra time to develop a more streamlined process for each service they offer. They are growing week to week in terms of services and being able to deliver them with little supervision.

How effective was the workflow between your team and theirs?

WeDo Source feels like an extension of our team.

What did you find most impressive or unique about this company?

The team is open to learning and eager to complete all tasks. They are proactive in their follow up to make sure the work gets done.

Are there any areas for improvement or something they could have done differently?

As the firm grows there will be a need to provide more services. Growing pains are typical for all firms. WeDo Source is providing great service which turns into requests for more services.

Introduce your business and what you do there.

I'm the founder and visionary of Unpain Clinic. We’re located in Edmonton, Alberta Canada.

What challenge were you trying to address with WeDo Source?

I tried three accounting companies in Edmonton for two years and working with them cost me over $50,000. Despite that, nobody was able to streamline our accounting and bookkeeping. As a result, we hired WeDo Source for their accounting, SEO, video editing, and graphic design services.

SOLUTION

What was the scope of their involvement?

WeDo Source has been helping me for the last two years, and they serve as my invisible workforce. The biggest thing they’re doing for us is managing our accounting needs for all the companies that we have. Their work involves bookkeeping, tax preparation, and financial planning.

We’re a clinic, so our CRM doesn't automatically communicate with QuickBooks. When WeDo Source has started their work, they've been able to put everything in place within two weeks. When I go on QuickBooks, I have exact numbers, and every month they provide us with a financial statement where the numbers are. In addition, they take care of everything including social media posts, presentations, television (TV) slides, internal marketing, banners, brochures, and business cards. The only thing we’ve handled is the logo.

What is the team composition?

We’re interacting with their integrator, accounting manager, and SEO people. Their integrator takes all the tasks that I put on Asana, and he’s responsible for making things happen with his team and my team. We’re working with their graphic designer and their video editor, too. 

How did you come to work with WeDo Source?

We found them online when we were looking for vendors. In fact, WeDo Source was in the same country as us. We chose them because of their work ethic and their process. We also liked that their owner follows through with things.

How much have you invested with them?

We’ve spent close to $50,000 CAD (approximately $38,600 USD).

What is the status of the engagement?

We began our partnership in June 2020 and we’re still working together.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Our accounting cost has decreased by 10X and our CRM has improved our efficiency by 50X. With two other accounting companies we’ve worked with, we’ve only been able to view our numbers within two months. However, WeDo Source has been able to give us daily numbers. Overall, we plan to continue working with them.

How did WeDo Source perform from a project management standpoint?

They always meet the deadline and sometimes, they even finish ahead of schedule because they’re eight hours ahead of us. We use Asana as a collaborative and task managing tool. We also use tools such as Zoom, Slack, WhatsApp, and QuickBooks.

What did you find most impressive about them?

They're very easy to deal with and fun to work with. Everything is very efficient, which is why I recommend them to my clients. 

Are there any areas they could improve?

They can probably add more services like HR services. However, at the moment, their team is doing everything very well.

Any advice for potential customers?

They can do whatever you need them to do so you must be clear about what you want.
