We wanted to expand our tracking capabilities beyond what we offered. Because of a lack of internal capacity for an additional module at that moment, we reached out to Volpis. We asked Volpis to start with a business analysis phase so we could validate the idea before committing to it. Their BA worked with our product team to map out the existing tracking flows, interview our internal stakeholders, and document requirements for the new module. The output was a set of user stories, acceptance criteria, and a technical approach that we reviewed and signed off on before development started. From there, their team built the module and integrated it into our existing platform. Key deliverables of cooperation included: Discovery and business analysis documentation, including requirements specs and user stories; technical architecture and integration plan for the new module; backend development for the tracking logic, including data processing and API endpoints; QA and bug fixing through several rounds of testing. Their developers worked directly alongside our in-house engineers.

The business analysis phase caught a few requirements gaps early, which saved us from rework later in development. The module was delivered and released within the planned window, with no slipped milestones.

Project management was solid. We worked in two-week sprints with a dedicated PM (Oksana) as the main point of contact. Every sprint ended with a demo call where they walked us through what had been built, and we got a written status update in between. The agreed scope was delivered on schedule. The project ran from February to May 2026 as originally planned, and every sprint commitment was met. Scope changes were handled well too. Communication was mostly through virtual meetings and messaging, and we typically had answers within a few hours during their working day. The team was communicative during our meetings, and their CTO was directly involved in the process, answering all our architectural questions.

What did you find most impressive or unique about this company?

Volpis is highly experienced in fleet management and logistics. That shortened the ramp-up significantly. They are also not afraid to push back when it makes sense. During the analysis phase, their BA questioned a couple of assumptions about how users would interact with the feature, and we made it much easier than initially planned. Communication was also consistently good, with regular calls and clear written updates.

Are there any areas for improvement or something Volpis could have done differently?

Nothing I can outline. We finished cooperation because the initial goal was met, and we grew the internal capacity to continue the work in-house.

Communication was timely throughout, and diligent project management kept everything running smoothly, on schedule, and within budget. The thorough discovery phase and the team’s thoughtfulness in anticipating how the product might evolve over time worked especially well. They wrote this phase into their proposal—which no other team I interviewed considered—and it proved to both enhance the final product and become the backbone of our work together.

I really appreciated suggestions for improvements or alternative approaches when the team saw opportunities for better performance or usability. It's clear they've understood my project goals, including building for future adaptability, and they've structured the database and backend accordingly in a very user-friendly way.

Each team member demonstrated strong expertise in their respective areas, and I felt confident in the project's execution.

For future projects, I suggested intentionally holding space for an exploratory phase once the full engineering team is on board to workshop where the project pushes new capabilities or technologies. Midway through, we hit some challenges translating product vision into the existing technical structure — which led to change orders and moments of frustration. The team, particularly the project manager, handled those situations very well, but a dedicated technical exploration for trial-and-error early on could help prevent roadblocks and unlock even more innovative outcomes.

During requirements engineering, the team produced both a business requirements document (BRD) and a software requirements specification (SRS) to ensure alignment between business goals and technical feasibility. After meeting with management and making sure they are capable of solving complicated tasks. One of the main factors was honesty of management and deep analysis of our technical task by the CTO.

We provided design and detailed technical task at the beginning, which has been modified several times over the development process. The concept of the app was changed multiple times during the development. The technologies used were nodeJS for backend, Kotlin for android app and Swift for IOS app.

Over the course of the project the team size was variable, but we always tried to maintain approximately 4 full-time developers to cover backend, Android and iOS frontends and a tester.

In result we received fully functional and tested product and all challenges was solved. There was no detected major bugs or problems which could stop us from further project development and growth.

Project management was done with the help of part-time Project Manager from Volpis. There was no signs of mismanagement in the team. Communication was perfectly configured with the help of Jira, Slack, daily team standups and weekly management calls in google meet.

I was pleasantly surprised of their CTO communication skills and ability to understand and listen to the client (in this case - me, the product owner) by both their management and backend developers. Since I am experienced backend developer myself - my ideas was heard, properly discussed and implemented. I would describe the ability to communicate about technical questions as the most positive in the company.

Are there any areas for improvement or something they could have done differently?

The only improvement which I would recommend to do is gaining global experience in backend development by hiring senior backend developer to the core team for supervision and improvements.
