Ultimate Systems started by holding several meetings for us to describe what exactly we wanted on our website. Then they went back and created a few possible versions of how the site could look. After we chose our favorite option, we had additional discussions about the details of the site layout. Finally, they developed the actual website. They continue to serve as our tech support whenever there are any changes or problems on the website.

Can you share any outcomes from the project that demonstrate progress or success?

We received a lot of positive feedback from our customers and architects once the website launched. They find the new site to be really user-friendly. It's very easy for customers to quickly find what they're looking for, which was our main goal.

How effective was the workflow between your team and theirs?

Ultimate Systems’ workflow was perfect. There were no problems with communication. Our project manager was friendly and helpful. He even offered us numerous ideas on how to make our website better. It worked out great having one main contact. He was always available whenever we had any feedback or questions, which made the process super smooth.

Great communication is the key to successful cooperation. Ultimate Systems did a good job of keeping to scheduled deadlines. We also really appreciate that they offer tech support after project completion.

I’m the owner of NorthStar Consulting, a sales consulting firm helping companies scale B2B sales and go international. We mainly work with central European clients and some companies from North America and western Europe.

I have to be really precise in terms of statistics, control, and overall monitoring of sales. I had some specific needs for client communication and client relationship management. I needed a tailor-made CRM system to help me with my needs, but also to help and guide some of my clients in their sale cycles.

What was the scope of their involvement?

They built a tailor-made CRM to help me build not only my business pipeline but whole relationships. They helped me manage the sales funnel. We needed a full workflow dedicated to our targeted group, to our clients. We needed simple things like easy access to some data statistics and analytics.

Since the owner is a designer and knows a lot about UX, he was able to not only give me coding but also sit down and do the functional mockups. Based on the mockups, we could discuss how different functionalities would go and how different flows would be managed. I then confirmed what I wanted them to code and what we wanted to optimize.

We had different sprints and we tested it in six months. We’ve finished the main framework, but it’s still a work in progress. We’re a building a mobile app on top of the web system. Even when they’re developing the mobile app, it’s not like the web isn’t changing. We’re testing a lot of things and planning to implement integrations with other services.

I worked with the owner, a designer, a lead developer, and another team member. I was mainly in touch with the owner, who served as the project manager.

I worked with them previously, when they specialized in web design. I had known the owner for some time, and I liked the relationship and his business approach. He’s a graphic designer and knows a lot about UX. He has different UX and technical approaches, along with business ideas.

What evidence can you share that demonstrates the impact of the engagement?

Their system gave me a clear overview of what was going on with the communication with my clients, when to follow up, how to follow up, and when to start closing without being pushy. I opened a new office this year and within one month, we were already fully active and had clients. It was helpful in scaling our business and literally getting everything on track within a couple of weeks.

How did Ultimate Systems perform from a project management standpoint?

Project management was really good. In some sprints, we had situations where we went overtime, but that was mostly because I changed some functionalities.

What did you find most impressive about them?

Their approach is to understand the technical aspects and the business aspect of what I’m doing, and then filter it not only through technology but through a full UX approach. They not only deliver code but also think about how it will be helpful. They check whether I’m satisfied and what needs to be changed in terms of communication with the developers or designers. They really care about what’s going on.

Are there any areas they could improve?

I’m really happy with what they did. If I still had the same approach building this again, I would do it again with them.

If someone has something that needs tailor-made work, they’re a really good partner. They’ve been building different process automation and process improvement tools for different types of businesses. They have a lot of experience in process automation.

They designed a new web backend containing the mechanism scheduling tours, along with a corresponding UI. The UI has a built-in calendar for each tour guide’s availability, and the system analyzes that input along with other criteria, such as the guide’s experience, to create a full tour schedule accessible on the website.

We cooperated with a project manager and a programmer.

Can you share any information that demonstrates the impact that this project has had on your business?

Our new system is very fair for our guides. In addition, it gives us the chance to focus on promoting our tours rather than working on scheduling.

Their project manager constantly asks us about our needs, even if we forget. Our communication was swift and easy. They follow up with us regularly and they make changes quickly.

What did you find most impressive about this company?

They had a client-oriented style. We organized working sessions with them at our office and they were easily approachable whenever we needed them.

Are there any areas for improvement?

Once, if I recall correctly, we had to wait for a response a bit longer than we expected, but other than that, we were completely satisfied.

I’m the CTO at Aeternus Group, a real estate, insurance, and mortgage company. I’m responsible for all the IT systems and websites.

What challenge were you trying to address with Ultimate Systems?

When we started, we were doing everything on spreadsheets and paper. As new sectors were added, we wanted everything in one place. We wanted a custom system to include our database and all the workflows for each department to see how the process works for each client.

What was the scope of their involvement?

They developed our CRM system to help us to manage customers and workflows for each department. We can print reports to get insight on deals, budget, and the processes. They used .NET, MySQL, and SQL Server. The most important part was the information configuration because we wanted it to be on our server in our office. 

They provided the development, full implementation, configuration, training for me as an admin for our few consultants, technical documentation for me, user documentation for our consultants, and two support agreements.

We had a three-month advanced support agreement because we knew we’d discover changes that we’d want to make. We also had a standard support agreement.

What is the team composition?

The project manager was my point of contact. He understood our requirements and needs. I interacted with the developers as well.

We knew of Ultimate Systems through recommendations from our partners and friends. I reviewed their offer along with the offers of other companies. The recommendation was the biggest deciding factor.

We worked together from April 2016 until December 2017.

What evidence can you share that demonstrates the impact of the engagement?

After the initial phase and implementation, it took us about two months to get used to it and move away from the way we worked previously. The implementation they provided was vastly useful and we used it to onboard new starters. It helps us to communicate within the company tremendously. We wanted to be competitive and provide a better service, which we are doing. The speed of work is way faster than it was before we had the system.

How did Ultimate Systems perform from a project management standpoint?

The project manager was the owner of their company, which proved helpful in understanding our business changes and requirements. He managed the team and was involved in the project as well.

From the initial meeting, we had reminders of what documents to send for the next stage. If it didn’t happen, they’d remind our advisors. If it still didn’t happen, our managers would see a reminder. They provide an extremely high-performance service.

We had demos and sprint planning sessions where we reviewed the process and progress of the work. We worked with them in a Scrum agile methodology. We had a lot of online sessions to discuss the progress and technical questions. When I had technical questions, I asked the developers directly. Sometimes they highlighted areas if they saw that they would cause difficulty for us.

The most important part of this process was the communication and their understanding of our business requirements. They wanted to deliver a product that we were pleased with and that would allow us to achieve what we wanted.

I started Fauna Viva Colombia with a couple of friends based on an idea that I’ve had for many years. We create designs based on different Colombian animals for objects such as coasters, bookmarks, and magnets. We manufacture everything in Colombia and we sell them through different stores in the region.

We had the idea of selling online, but before that happened, we needed to create a system for inventory and stock management. We needed to find a company to help us implement automation for selling online.

SOLUTION

What was the scope of their involvement?

Ultimate Systems built a fully web-based inventory and stock management tool using JavaScript technology. We started with its design, after which they created a small prototype of the system. We went from a completely server-less solution to using Amazon Web Services S3 as a static system, along with some computing elements on the platform. The inventory management system is quite streamlined and can be accessed from any device.

What is the team composition?

I believe they assigned five to six people for development and testing, along with a project manager, whom I believe was the owner of the company.

How did you come to work with Ultimate Systems?

I’m based in Europe, so I know the market prices for this type of project. A friend of ours knew about Ultimate Systems, and they managed to create our solution at a very good price. Poland has one of the lowest price points in Europe, almost better than Colombia. We also looked for companies there, and though we found a couple, we weren’t sure that they could deliver on our timeline.

How much have you invested with them?

The final cost was just below $60,000.

What is the status of this engagement?

We started working with Ultimate Systems around January 2018 and development took around 12 months to complete. We divided the project into phases, given that I wasn’t sure what their performance would be.

We’re now considering using Ultimate for future integrations, but that depends on what our sales will be like. We’re still trying to recover our investment.

What evidence can you share that demonstrates the impact of the engagement?

We didn’t have anything in place initially, so going from paper to an online system has had a huge impact. Since we’re a startup, an upgrade like this brought great business value in our day-to-day operations. It allowed us to start selling online, to keep an inventory of our products, and see what’s in demand, which allows us to make decisions for the future. Ultimately, the system helped us move to international sales, which was our goal.

I believe their project manager has graphic design experience, which contributed to the look of the platform. Ultimate Systems is a small company, and they tried to do their best. We had a good experience from my point of view, as someone who’s worked abroad. Aside from the service itself, the pricing was also good, from a European and South American perspective.

They have their own project management tool in place. I was used to Microsoft Project, but I agreed to use their software, which proved very useful. We had weekly meetings, and they were prompt with emails and information sharing. Overall, they’re a professional team.

  • Scheduled Investments - users can set up recurring investments on a daily, weekly, or monthly basis. 
  • Round-up - users can link spending accounts (credit, debit, Paypal, etc.), and then automatically the spare change will be round-up from every transaction. 
  • Social Impact - users can direct a percentage earnings to one of a handful of nonprofits for free. 
• Design: The product design team worked on developing new features while redesigning the visual style and creating a design system. The brand creation and product landing page design were carried out simultaneously.

What were the measurable outcomes from the project that demonstrate progress or success?

The collaboration between the Ultimate Systems team and my company has always been dynamic, with two teams working in tandem and progressing towards common goals. The Ultimate Systems team is composed of Flutter developers, QA testers, product designers and product delivery managers. We always follow an agile approach in our work, adjusting and embracing changes. One example of this was the pivot that occurred during the branding concept. 

Even though the deadlines were strict, we changed direction a few times in the exploration phase, working closely with Ultimate Systems. This resulted in outstanding mobile appp and an impressive landing page which showcases the real value of the product to users. We worked in iterations with as many touchpoints with the Ultimate Systems team as possible, which ensured that we were always on the same page and minimized wasted effort.

We operated on a time & materials model during weekly meetings. Both the team and the project manager quickly responded to changing business situations and adjusted the project to current business priorities. Ultimate Systems was responsible for developing a solution enabling tracking and analysis of fleet vehicle data. Our expectation was a ready-made SAAS solution that could be marketed internationally. Ultimate Systems' responsibilities included comprehensive support in improving our business processes (consulting) and end-to-end implementation of the ready solution. Given our extensive experience and business knowledge, we supported Ultimate Systems from the inception stage. 
The collaboration proceeded according to the plan, as communication was at its highest level, and project management tools aided us in better organization, information exchange, and timely project completion. In developing the software, our aim was to create an application that could be scaled in-house and further developed to meet the evolving business needs of a market that undergoes dynamic changes every year, posing significant challenges. 
After several months of intensive work, we received software that we could test with the first group of end-users in the field. Upon receiving feedback from clients regarding necessary improvements or enhancements, we implemented them promptly. Additionally, we have noticed a significant enhancement in the application's performance and a reduction in maintenance costs. This is because our previous in-house project, due to technological obsolescence, incurred substantial maintenance expenses.

Our project was executed according to the previously agreed schedule of work. The first part of the project was implemented on a fixed price basis. Once the live product version was completed, we provided it for testing to our target group, which consisted of our client's truck drivers who conduct freight transport within the European Union. After a 1.5-month QA process at our client's site, the Ultimate Systems team proceeded to execute an additional contract on a time and material basis. 
Software development work continued for over 2 months, during which we met with the Ultimate Systems team weekly to address application development needs based on our clients' requirements. I evaluate the cooperation very positively. Communication was truly at a high level, and the communication tool they provided us with met our expectations so well that we implemented it in our company.

Moreover, by implementing the Historical Server API and opting for DynamoDB over a distributed database, they successfully eradicated significant data transmission delays between servers. This optimization allowed for the processing of millions of requests within a single second.

We hired Ultimate Systems to create a web application that will be the main tool for measuring results. The application must be connected to Google Analytics and the internal accounting system.

How did you select this vendor and what were the deciding factors?

We were looking for a creative company that would help us choose the best functionality of the application and user-friendly. We also wanted the implementation to be as soon as possible. It was our expectation that the team would be creative in creating and help us with later changes.

For our part, we had an idea how the application is to help us in the work. The team from Ultimate Systems has prepared a preliminary plan and outline of the application. During the cooperation, we had weekly meetings during which we discussed the progress and further scope of work.

After testing, additional useful functionalities were implemented in the application, which was proposed by Ultimate Systems.

On our part, we wanted to contact us by e-mail and, in urgent matters, by phone. We had online meetings every week. We worked in the SCRUM method.

The biggest surprise for us was the amazing commitment of the team and the project manager, who answered every question and suggestions that made our work incredibly easier, and we didn't think of it ourselves. The solutions they proposed significantly increased the team's efficiency.
