Describe the scope of work in detail. Please include a summary of key deliverables.1. Initial analysis of internal processes and data management Touch4IT conducted an initial assessment of how we work internally, including where our data is stored, how different systems exchange information, and how data is managed and backed up. The goal was to understand our existing setup, identify inefficiencies and gaps, and determine where digitalisation could bring the most value.
2. CRM selection and implementation Based on our needs, Touch4IT helped us select and implement HubSpot as a central CRM platform. This involved establishing a structured approach to stakeholder data management, setting up properties and data classifications, and developing workflows and processes to improve data consistency, reduce duplication, and make information more accessible across teams.
3. System integration, process automation and AI readiness Touch4IT has been supporting the next stages of our digitalisation, including the integration of different tools used in event operations, the automation of selected processes, and the development of an AI assistant. An important part of this work is ensuring that the underlying data is properly structured, consistent and reliable, as data quality is essential for the AI assistant to deliver accurate and useful results.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success? The project is still ongoing, so it is too early to quantify its full impact in terms of time saved, cost reductions or operational efficiency. However, several concrete outcomes demonstrate progress:
- Organisation-wide adoption of HubSpot as a central CRM platform - HubSpot is increasingly recognised across the organisation as the primary tool for stakeholder data management. Approximately 80 employees have HubSpot licences, providing a foundation for broader adoption and more consistent ways of working.
- Migration of key internal processes from spreadsheets into HubSpot - Teams are gradually moving their workflows and data management into a shared system, including speaker, VIP and audience lists for events. Fundraising processes are also being progressively incorporated into HubSpot. This reduces reliance on separate team-specific spreadsheets and creates a more centralised and consistent approach to managing information.
- Progress towards a connected digital ecosystem - Work is underway to connect HubSpot with other internal tools and platforms, including E-Pcom and SharePoint. This is an important step towards reducing fragmented information and manual data handling. The integration with Happenee and the development of AI-assisted processes are still at an early stage, so their impact has not yet been measured.
Touch4IT began with a thorough assessment of our needs and existing processes, providing a solid foundation for the CRM implementation and the initial transfer of data into HubSpot.
I particularly appreciated the individual support provided by their consultant when I took on the role of internal CRM Coordinator. Touch4IT also delivered initial training sessions for our teams. While some colleagues found these sessions rather technical, I believe this was partly because the consultant was still becoming familiar with our organisation's specific processes and context. The initial focus was on explaining the platform itself, while translating its functionality into our day-to-day organisational needs required a more tailored approach.
I subsequently took over much of the internal training and user support, adapting the explanations to our workflows and organisational terminology. This helped us build internal expertise and move towards greater independence in managing and developing HubSpot. We now hold regular meetings with the Touch4IT consultant and our internal IT expert to exchange updates, discuss ongoing developments and agree on next steps.
Regarding timelines, I did not have a sufficiently detailed project timeline to objectively assess whether individual deliverables were completed on schedule. However, I believe some processes could have been implemented sooner if we had been able to coordinate the necessary internal steps more effectively. The project also coincided with preparations for our largest annual forum, a period when the organisation had limited capacity and was understandably less receptive to introducing significant changes. It also took time for me to settle into my new role and develop the expertise needed to coordinate the internal implementation effectively.
In retrospect, the timing of the project was challenging. At the same time, it created an opportunity to consolidate as much stakeholder data as possible in HubSpot. As the project progressed, we also had to adjust our initial expectations and divide the broader digitalisation ambitions into several implementation stages.
Overall, I appreciate Touch4IT's collaborative approach, individual support and willingness to work with us as our needs evolve. The experience has also highlighted the importance of internal coordination, organisational readiness and realistic phasing when implementing changes of this scale.

What I find particularly impressive about Touch4IT is the combination of its international ambitions, technical expertise and company culture. As a Slovak company with an international presence and experience in specialised areas such as space, aerospace and defence, they bring an interesting perspective and expertise that could potentially create opportunities for future collaboration with GLOBSEC, including enriching our Forum programme with new topics.
On a more personal level, I appreciate their team spirit and their willingness to understand the specific context in which our organisation operates. As an NGO with a long history, GLOBSEC has traditionally relied heavily on institutional knowledge, established habits and the experience of a relatively small number of people. Translating this knowledge into structured processes, reliable data and sustainable digital systems is a significant challenge, particularly when it also requires a change in the way people work and think.
I appreciate that this transformation is not viewed purely as a technical implementation, but as an ongoing process that requires cooperation, knowledge-sharing and an understanding of our organisational realities. Changing established habits and mindsets takes time, and the process is still ongoing. However, I believe we are moving in the right direction and are gradually building the foundations for tangible results.
Are there any areas for improvement or something Touch4IT could have done differently? One area for improvement would be to establish a more detailed and realistic implementation roadmap from the beginning, with clearly defined milestones, priorities and dependencies on both sides. Given the scale of our digitalisation ambitions and the limited internal capacity available during the preparation for our largest annual forum, a more phased approach with clearly prioritised deliverables could have helped us manage expectations and coordinate internal efforts more effectively.
Another opportunity would be to make the initial training sessions more closely tailored to our organisational context and day-to-day workflows. While the technical introduction to HubSpot was useful, colleagues needed more practical guidance on how to apply the platform to their specific responsibilities. This became particularly clear as I gradually took over internal training and translated the platform's functionality into our organisational processes and terminology.
Finally, I believe that even more emphasis on knowledge transfer and change management could have supported the adoption process. Our organisation has traditionally relied heavily on institutional knowledge, established habits and informal ways of working. Moving towards structured processes and centralised data therefore requires not only technical implementation but also a gradual shift in organisational mindset. Closer alignment between the technical development, internal process owners and the people expected to use the system could help make this transition smoother.
Overall, these are opportunities for improvement rather than fundamental concerns about the collaboration. The project is still evolving, and I believe that a combination of realistic prioritisation, context-specific guidance and continued collaboration will help us translate the work completed so far into tangible organisational benefits.
